We use Nintex Process Platform to identify issues in backoffice workflows but also in worflows which are used by our engineers. These are timeconsuming adminstrative processes which we want to automate for the most part. With the use of the Nintex platform we are able to check where we can enter information by hand only once in the whole process or even better where we can use information from other resources without manual entries.

Nintex is best suited when processes are drawed by the business and then can be furter enhanced by IT professionals. When only used by business units we see that there are some lose ends in processes and some bagic process knowledge is needed. Therefore it is wise that the persons in the business who will use Nintex have some basic knowledge on how to set up business processes.

Another thing that makes me recommend the use of this tool strongly is the ability to deliver accurate and timely business processes outcomes.

Nintex Process Platform is well suited when there are no existing systems in place or when information is stored within Excel spreadsheets as opposed to a dedicated system. It can also be used to replace existing paper-based forms or word/pdf forms where the information is difficult to summarize due to the data being relegated to each instance.
We intended Nintex to address problems across the board, however, Sharepoint On-Premise product has been neglected since Nintex was acquired and began getting into other products such as 365 and RPA, as well as there’s much more [customization] necessary than advertised. I would not recommend the product if asked.

Forms need to be more intuitive, too much JavaScript is necessary.
Still cannot use SQL and web service calls in the mobile app.
Document generation should be free. Not much value when everything is nickel and dimed.

Out of the box Nintex forms doesn't allow you to connect across site collections. With flat structures including 1000s of site collection becoming more common, this is important.
Helpdesk has not been responsive or helpful at times.

Nintex is being used across the lower 48 for our company to track our behavior-based safety performance. Slight adjustments have been made to the program/forms to make it more user-friendly, but the biggest issue that we have found is the mobile application does not work. I have contacted multiple groups with no successes. Even when logging into the server via computer, I receive many reports of persons entering BBS cards but for some reason, they do not show up in any report.

The mobile application, when working, is particularly good - for remote workers that are in the field to enter information in a timely manner.
The interface with our company's Spotfire dashboard for BBS reports is very easy to view and analyze.

Even in using a company's server or a database, I think it would be good to have a single point of contact or owner that a person using the system could contact for issues or suggestions.
Senex Energy embarked upon a robust review of its entire Business Management System about two years ago. This involved a ground up review of all policies and procedures throughout the company. We wanted a comprehensive tool that allowed us to document processes in a consistent way using a common language. Promapp process flow documentation methodology delivered that. Promapp is used by the entire organisation and is the way that we document and communicate all processes. We also use the Risk Management module as it also connection from the Risk Register to the supporting processes.
Pros
The Promapp Team have a strong process flow methodology that underpins the software. This facilitates a more consistent and robust review and documentation process - rather than having intricate "if/then" types of process flows it encourages the user to focus on the key points and how to communicate these.
Promapp is software as a service in a cloud hosted environment that allows cost effective set up without having to worry about the systems infrastructure. Performance of the application has been consistently good.
The team at Promapp actively work with their user community to develop improvements to the system. This community approach is beneficial for teams that are new to comprehensive process mapping and improvement.
The training requirements of the system are relatively light given the intuitive nature of the user interface. Obviously as you get more adventurous it helps to have a cadre of committed and well trained users.

I believe that Promapp is a great tool to assist in resetting the way an organisation thinks about documenting policies and procedures. The methodology of keeping process flows streamlined and focused gets people away from the trap of documenting intricate and complex process flows that don't involve the users of the documentation. The ability to link processes to Intranet pages and to share snapshots of a process with third parties are powerful ways to make process management more involving. The ability to manage the companies risk register and link risks mitigations to controls in a process flow is the ideal way to communicate the importance of process integrity - this is a visible demonstration to users about how risk management is being addressed by processes and controls.
We are currently using Nintex Workflow for unstructured processes as well as a few more structured processed across the whole company. We have implemented solutions that will be used by any user, i.e. Company gift and business declaration system, to training requests. We also have solutions in Supply Chain, HR, Engineering, Mining, IT all the way up to our Company Secretary. We also use Nintex to integrate or get data from SAP ERP, our time and attendance system, SQL, Project Server and even Active Directory. We use this information to run certain processes. Recently we even used Nintex to connect to the internet to a messaging server for tracking and sending messages. We don't use Nintex for functionality that exists in a formal ERP. We have the ability to apply the Nintex tool to any department and almost any area.

Speed of development - Because or the drag and drop and quick configuration, it is possible to setup JAD sessions and build the solution with the users around the table.
Integration capability - The Execute SQL, Call Web Service and LDAP query actions allow for integration into almost any system. We connected to an IOT database with the EXECUTE SQL action and configured it to ODBC capability. With the web service we connect to our SAP environment, etc.
Tracking of workflows - it has nice built-in functionality to help you track the workflow.

Document integration features exist but it is a bit of work to get the doc template ready and update the document through a workflow
Debugging a workflow. This is not a problem if the workflow is 5 - 50 actions big but as workflows get bigger and bigger it becomes more difficult to debug through a whole cycle.
More standard connectors will help to improve speed of development but not such a big concern.

Perfect for an approval of any request. Review the data and approve or reject with feedback. It's also very good at managing the process. The workflow is a visual design of a process. Less easy to do data integration from a process and then populating that data in a document. It's possible but slightly more involved process.
