Great tool for Expense Reports

Use Cases and Deployment Scope

Our organization uses SAP Concur for expense management and travel bookings. It is an easy way for employees to submit expenses for reimbursement in a streamlined way. It also has great travel booking processes built in so that employees can easily book work related travel with all the best options available.

Pros

  • Easy for employees to track and submit expense reports
  • Built in approval processes for expense report approvals
  • Simple to book business related travel to find the best options

Cons

  • It is not very straightforward on how to add in loyalty programs. I've had several instances where my loyalty programs don't carry through with my booking
  • Expense reports are tedious to build, especially when you have several expenses to enter from a company trip
  • The new AI functions for reading uploaded receipts has never worked for me, requiring me to do it manually anyways

  • Employees are reimbursed fast because of the automated approval processes
  • Less time managing reimbursement via spreadsheets or emails
  • Better tracking of expenses across the organization

We have been using SAP Concur organisation-wide since 2020, and it has been running very smoothly. This product is used for travel and expense management on a day-to-day basis. SAP Concur has automated the process from travel bill to convert all details into expense form, which is a very useful feature. User doesn't need to fill in the details from the form. It is very easy to integrate with other ERPs like SAP. It has an inbuilt Map, which helps to calculate the total travel distance when raising the expense form.

Pros

  • Fill the details from uploaded Bills, Users don't need to fill manually
  • MAP calculates automatically the distance
  • Re-submit option if any bills has missed
  • Easy to integrate with any SSO or MFA

Cons

  • Itemization of Bills are very granular and some fields should not mandatory
  • Sometime performance lag
  • Follow-up reminder mail should trigger

  • Reduced the time of getting reimbursement
  • No more follow-ups from Accounts team
  • All the records has audit trail

Use Cases and Deployment Scope

I use SAP Concur as an expense reporting tool to submit my own report and to approve other's reports for processing. The "problem" that this product addresses is submitting reports for expenses. I wouldnt classify expenses as a "problem" but more of a need, and this need can bi filled more effeciently by another app, or maybe by some clarificaitons from SAP to our accounting department. The scpoe of our use case is collecting expences to track spending and control outgoing payments.

Pros

  • tracks expenses
  • communicates the status of submitted reports

Cons

  • getting rid of 2FA
  • allowing historical look ups for users not just admins
  • being more user friendly on mobile versions

Return on Investment

  • there is an increase transparancy (positive)
  • employees feel forced to submit on time reports (positive)
  • there is not a reminder to employees on when reports need to be sent (negative)
  • there is a limit on amount of reports that can be submitted (negative)
  • A returned report being resubmitted counts as ANOTHER submittal

SAP Concur is taking care of all the business-related travel and miscellaneous expenses we are spending for the resources which means it tracks and keeps the invoice for all the data. It helps with the reimbursement of expenses in case we have given from our pocket for any events later with this application we are getting reimbursed. Also it has very good approval setup in place which maintains legitimacy.

  • Applications feels too heavy so lighter version would be better
  • Sometimes UI looks too clumsy some improvements are expected
  • Usage of AI should help more with latest tech stack addition

  • For any employee it gives overall picture of expenses in one page
  • Process is very easy and simple which is very good feature to have
