Ramp Does it All

Use Cases and Deployment Scope

We use Ramp to track everyday expenses, travel requests and expenses, and any other expense that staff members incur for professional development, continuing education, and other unforeseen purchases. We have approximately 22 users and are able to monitor spending by utilizing Spending Program requests and having permissions set for daily spending.

Pros

  • Ramp gives us visibility into staff spending, allowing us to monitor and set limits to avoid any overspending on unnecessary purchases.
  • Ramp makes tracking travel expenses a breeze by grouping travel spending by dates and person. This is much cleaner than our previous system, and makes my life much easier!
  • Having the ability to text receipts into Ramp as soon as a purchase is made has proven to be much more effective than our previous system of saving copies of receipts to an outside shared drive.

Cons

  • The reports options could be more customizable, and the CSV exports should be easier to clean up and save.
  • Changing travel arrangements, specifically airfare, could be a bit easier, as we have had times where we were unable to do it online and were stuck calling customer service, which took over 2 hours.

Return on Investment

  • Having Spending Programs in place has allowed us to cut spending costs by approximately 13%. We have had issues in the past where purchases were made prior to approval, so having Spending Programs in place has let us avoid these unapproved purchases.
  • The feature to upload receipts via text has saved us(me) HOURS trying to track down each spender and have them find their receipts, some of which are weeks old, and upload them into our Share Point. Being able to text them to Ramp has saved me quite the headache!
  • Ramp has helped us improve accountability, as staff members know their allowance, and are now required to make the request through a spend program prior to booking/purchasing things outside of the everyday, pre-approved expenses.

My Ramp Experience.

Use Cases and Deployment Scope

Our organization has implemented Ramp as our comprehensive financial management platform, encompassing credit card expense tracking, employee reimbursement workflows, and procurement operations. This strategic integration has significantly enhanced our month-end closing procedures, streamlining the reconciliation process and reducing processing time. The platform has strengthened our internal control framework by providing real-time visibility into expenditures, automated approval workflows, and enhanced compliance monitoring. Additionally, Ramp has transformed our employee reimbursement system, enabling faster processing times and improved accuracy. The comprehensive reporting capabilities have elevated our financial oversight, providing leadership with actionable insights for strategic decision-making and budget optimization across all departments.

Pros

  • Credit Card Expense Management.
  • Procurement Workflows.
  • International Expenses (Both AP and Credit Card).

Cons

  • International bank account Bill Pay.
  • Continue to innovate with the integration of AI into the platform.
  • Notification customization.

Return on Investment

  • Our company's growth would have required us to hire additional headcount if we hadn't implemented Ramp. That is at least a savings of $50-$75k.
  • Last year we redeemed over $100k in credit card points.
  • We have reduced our month-end close process by 50%. While the return on investment may be difficult to quantify in traditional financial terms, this improvement has significantly enhanced our operational efficiency and represents a substantial value driver for our organization.

Stellar platform with high functionality

Use Cases and Deployment Scope

We utilize Ramp for both corporate card spend and for full-cycle AP processing. On the credit card side, we have been able to streamline our submission process for receipts and coding, eliminating up to 30 days from our reconciliation cycle for our corporate cards. On the AP side, we are able to process payments via a variety of methods, including physical checks, ACH payments, domestic wires, and international wires.

Pros

  • Ramp syncs to Sage Intacct smoothly, pulling dimensions in directly from the ERP.
  • Coding rules within Ramp are easy to customize, allowing for logic-based options following the path of the GL. This use of smartlists for dimensions dramatically lowers the instances of human data entry error.
  • Approval routing rules are easy to create and change as the business changes. Approvals can be based on either the user or the coding of an individual transaction depending on your business needs.
  • The out-of-office delegation function allows the approval process to continue without delays when key personnel are away on vacation.

Cons

  • Ramp frequently releases new features but doesn't notify admins of the new functionalities, often creating confusion when changes have been rolled out and are found accidentally.

Return on Investment

  • With over 60 cardholders, Ramp has allowed us to shorten our card reconciliation by at least 15 days, every single month. This has allowed our overall month-end close to accelerate as well.

Ramp Review

Use Cases and Deployment Scope

We use Ramp for company expenses/reimbursements, tracking credit card usage and paying our contractors. Ramp also allows us to issue physical or virtual cards and set and edit limits immediately and seamlessly.

Pros

  • Allows us to issue company credit cards - virtual and physical
  • Sends invites to new vendors so they can upload their payment info
  • Keeps track of all our payments and reimbursements

Cons

  • Sometimes our contractors become employees, and we have to re-enter their info into Ramp. It would be nice if we could just sync the 2 accounts
  • Sometimes the search boxes don't come up with what I'm specifically searching for
  • Most recent uploads/reimbursements should be on the top of the page. Sometimes I have to scroll to the bottom of the page to see the ones that need review

Return on Investment

  • Ramp helps us to stay within our budget and track where funds are being spent
