What is OnPay?

OnPay's payroll and HR is designed for people who want to spend more time running their business, and less on back-office tasks. The application aims to enable users to:

• Run payroll

• Automate taxes

• Let employees do more themselves

• Simplify HR processes

• Offer benefits in any state

OnPay is $49 plus $6 per person each month. The monthly fee includes integrations with QuickBooks, Xero, and time-tracking software, as well as all quarterly and year-end tax filings, and a set of HR tools. OnPay’s team helps users get set up by adding prior wages and employee information. Users can add on integrated benefits, a 401(k) plan, or pay-as-you-go workers' comp.

Pros

We use OnPay for payroll. The biggest solution it provides is an easy-to-use tool to track PTO, employee records and handle all legal aspects of payroll. We recently integrated a 401(k) plan into it to simplify the process of giving employees an easy way to manage their own savings as well as ensure the company's match is paid automatically. In 2026, we'll again integrate an HSA plan into OnPay.

  • Customer service is easy to reach and helpful.
  • Easy to set up and run as an employer who's wearing all operations hats.
  • Easy to use for employees.

Cons

  • It's sometimes difficult to find the right information using the search function, so I end up calling.
  • When setting up new employees, it would be helpful to make sure I've filled out everything required.

  • I would love to get email reminders to run payroll 2 days in advance

  • An accountant wanted $300/month to take care of the IRS stuff, and OnPay charges something like $40 and does IRS stuff and payroll

We use Onpay across our organization which includes two companies. It helped reduce our payroll costs greatly.

Pros

  • Customer service is great. So many ways to address questions.
  • It is user friendly and easy to navigate.

Cons

  • The only issue I've had is when we use FFCRA sick time I have some difficulty seeing where the deductions happen.
  • Wait times for customer service have increased.
