Love Sage Intacct

We replaced QuickBooks with Sage Intacct in 2021 to better be able to track restricted dollars. I selected the product because it seemed intuitive—designed by accountants. Sage Intacct is great. It offers several dimensions, so you can slice and dice your financial data in innumerable ways. We are currently using Intacct as our ERP.

Pros

  • Segregates transactions associated with different funders
  • Maintains records electronically
  • Allows lots of customization in reports

Cons

  • The grants module is difficult to understand/implement
  • Training isn’t geared towards NFPs

Return on Investment

  • We had outgrown QB. I never have to worry that Sage Intacct will crash and we’ll lose everything.
  • When I came on board, accounting did not have a good way to track restricted dollars. Sage Intacct fixed that.
  • We are able to close each month much faster.

Use Cases and Deployment Scope

We use Sage Intacct in our organization for accounting and procurement purposes. The product addresses our accounts payable, accounts receivable, purchase orders, and tracking our expenses and revenues by cost center and grant sources. The scope of our case involves using Sage Intacct as our accounting system and considering the addition of the fixed assets module.

Pros

  • Help with the creation of invoices for our customers.
  • Bill payment.
  • The creation of General Ledger accounts.

Cons

  • The budgeting module is archaic. It needs to have more application features, including tracking changes made throughout the year.
  • The creation of reports is complicated and lacks sufficient filtering options during the process.
  • The Purchasing module should be more flexible, allowing users to add change orders to an existing PO rather than creating a new one.

  • Negative impact - The purchasing process is clunky and time consuming.

Sage Intacct A Great Product.

Sage is a more robust product than what we were using. It provides lease accounting for our company cars that are leased. It provides prepaid expenses that we previously did not have. It provides an online portal for our customers to pay their bills. It not only downloads payroll data from ADP, but it also downloads statistical data. We need to calculate and distribute bonuses to our employees. The product is significantly more advanced in the accounting world than anything we've experienced before. I especially like the bank reconciliation. It is much more user-friendly than our prior software program. We now have automated expense reports for our employees. Paper expense reports and paper receipts are a thing of the past. The report writer is amazing. I have detailed sales tax reports to use to file my 15 sales tax returns. I also appreciate the sandbox. We can play and test before we do it live.

Real Feelings with an Open Mind

In my current role we utilize Sage Intacct primarily for advance consolidation in reporting. While I understand the product can be difficult to understand and at times frustrating to maximize its utilization, I do find that there is a lot of promise when it comes to reporting and customization. Specifically speaking to advance consolidations, we are beginning to better understand the capabilities of inter entity mapping and the impact it has on our due to and due from accounts. We are currently pouring a lot of our time in understanding the flow of data to ensure we have a good pulse on how we want to use the product. At the end of the day, I think it is this...one can either remain stuck with tool they have or look forward to doing more to maximize a resource that is both dynamic and robust.

  • Steep learning curve around advance consolidations
  • initial customer service reps may come across as too simple in understanding the product
  • Quarterly invoices are missing the details of ad hoc charges and generally need to follow up with rep for more.

Return on Investment

  • Because of the deep learning curve, they really do tailor opportunities to their customers to provide learning. I especially liked the low key in person meetup in Chicago to network with other companies that utilize Sage Intacct. It was within the same month I found out a way to use ICRW to fulfill Auditor requests.

We currently use this software to address our accounts payable and financial reporting. It helps with us paying our bills each month and ensuring we know our expenditures. On the payroll side, the software integrates with ADP and we upload our payroll which then is included in the whole reporting of our finances some the year.

Pros

  • Easy to find commands such as accounts payable > bills, etc.
  • Tons of training videos with walk through steps when addressing problems.
  • The interface is simple and it overloaded with tons of information when you first log in.

Cons

  • Wish it would customize the pay bill section where we could select the same filters as we do on the bills page.
  • The software is slow recently and not sure if there are bugs or too much coding but it used to be faster when loading between modules.
  • Wish we could open selected options in a new tab vs the same tab or a window in the same tab. Repetitive steps when going from company report to another.

  • This product helps us ensure our financials are ready for the tax filing year
