Exclaimer Cloud - Signatures for Office 365

Overall Satisfaction with Exclaimer

It was always challenging to get the Outlook signatures of all users in the company to match. Directions were given, but with varying levels of technical experience, it proved to be difficult for users. There were always those instances where someone missed a font size, color, etc. Exclaimer allows the IT Dept to take this out of the user's hands. We lock out any local signatures via Exclaimer. Creating a template in Exclaimer that can be applied to all users gives our company that one defined look. This proves to be very helpful to our Marketing Dept. too when there may be subtle changes that they request. We wish to represent as one company thoroughly connected, and this gives us one piece towards that goal.

Pros

  • Locks out the end users from creating local signatures.
  • Applies signature details globally.
  • Syncs with our Office 365 / Active Directory integration.
  • Allows the user to see the signature in their email locally prior to sending.

Cons

  • The old configuration interface was more user-friendly than the new one, but I was used to the old one. The new interface is quite different.
  • A format painter like Microsoft Word has to pick one master field and then others to match font, size, color, etc. would be handy.
  • Maybe an option for a short version reply rather than signature rather than the need to create templates for short reply signature.
  • It has saved IT & Marketing countless hours of walking users through updating their signatures. We used to spend 20-30 hours or more working with users when there was an update to our signatures. Typically, it could be months just catching up with everyone that did not have it formatted correctly.
  • Our brand is represented as a cohesive unit.
It can be time-consuming to get the framework set up. This labor is offset greatly once it is set up. Changing the signatures is a breeze. It is easy to ensure that the signatures remain consistent company-wide.
We have been growing through acquisitions. Exclaimer allows us to create templates for these new acquisitions and transition them to our name with ease once the company decides our name will replace the old company name. By applying groups from Microsoft 365, we can apply signatures in bulk.
Exclaimer had more flexibility in their signature options at the time we were considering a cloud-based signature service. The user interface is a little easier to navigate.

Exclaimer has worked well throughout the company. It has been a great addition to our Marketing & IT Departments. We are 140 ± employees it would be difficult to ensure signatures are representative of the company otherwise. I can't think of a scenario where it is less appropriate. There are occasions where there are users that have different acronyms after their names which requires us to create separate signatures for these users but I think there will always be that scenario.
