Zoom Workplace Communicates

We were running out of licenses for our on premise phone system and rather than invest in technology that was outdated, we decided to go with a cloud based phone system. Zoom Workplace has been put through the paces in our environment since 2020 and we have been able to trust it in crucial areas. The AI summaries have been an added plus for us.

Pros

  • Audio quality of phone calls is spot on. Calls are clear and crisp.
  • Video quality of video meetings are clear and there aren't any pixelization artifacts that some systems can have.
  • Having AI summaries have been life changing for us. We no longer have to concentrate on note taking, like we did in the past. The summaries are accurate and enable us to put our efforts in the meeting or conversation. Plus, we can save them into our practice management system as required.

Cons

  • We would like to have the AI summaries across all phones, including desktop phones. Right now we only get them when a call is on the computer client or a mobile phone client. It would be hugely beneficial for us if they were on all calls, regardless of device.
  • AI companion can use some work on pulling data from Microsoft 365. Right now it isn't pulling all the data we would like, but realize it still is in the beginning phases.

Return on Investment

  • We are still early in our adoption of Zoom Workplace for business, so we don't really have any data to show cost savings.
  • The ability to take a call summary or meeting summary and add it to our practice management system have been remarkable. It's a quick copy/paste and it's in the system. Prior to this, we would have to scan in notes and save them into the system, if it even got that far. Mostly, attorneys would be searching through legal pads for the notes of a previous meeting or phone call.

Use Cases and Deployment Scope

We use Zoom Workplace for outbound virtual meetings, Webinars, and Zoom Phone. Our teams utilize this as multiple avenues for our team to meet with clients and give them a way for the client to want to have a meeting and not just be stuck with needing to be on a pointless meeting at their computer but could opt in for using their cellphone to call our CS team and company. We hold webinars also for learning events with the CEO and Marketing Leadership.

Efficient Organization Tool

Use Cases and Deployment Scope

Zoom Workplace is used for phone calls, meetings, virtual open office hours, team chat, document sharing and measuring call volume. We also use Zoom Workplace for telehealth delivery and for large training events both externally and internally. Zoom has been a cornerstone to our success as an agency, keeping our team connected across the State and nationally.

Pros

  • Chats, keeping teams connected in both fun and practical ways
  • Virtual Office Hours, keeping team members connected in a virtual workspace
  • Training, allows for training to be delivered in real time or asynchronus

Cons

  • It would be nice if we had some kind of warning before video glitched or froze.
  • More video settings for lights and filters
  • Volume control per user

Return on Investment

  • We were using another virtual phone app before that was totally unreliable, changing to Zoom improved our process flows drastically.
  • We are able to engage in real time with our clients and staff with great ease.
  • The SMS feature has also improved our client care.

We use it as VOIP and our meeting provider. We're an HOA company so we use the meetings feature alot with different communities and even within the company.

  • Customer service can close tickets when we tell them something is solved

  • Marketplace has an app for anything needed
