Great for small business

Our company uses Expensify for our Petty Cash spending. Multiple employees have cards, all drawing from the same bank account. It's handy to have a bigger spending limit per card, as well as the automatic receipt generation for several types of purchases. Also, the repeated reminders to upload the receipt for larger purchases are a lifesaver. We have several employees who have historically thought of receipts as unnecessary paperwork, leading to accounting hounding the employees for receipts or spending time asking vendors to email missing receipts. This has led to discontent between departments. Initially, adding the new system created an organic change in procedure requirements that employees could understand but not take personally. Now, Expensify automatically does the "hounding," so forgetful employees no longer have a person to be mad at. When a card is lost or compromised, the ability to turn off a card and order a new one is very smooth. While waiting for the physical card to arrive, it is nice to still be able to use the virtual card. Altogether, I would recommend Expensify, especially for smaller businesses where all the employees know each other.

Cons

  • Once a batch is closed I cannot edit any information, or add a receipt
  • Once a card is locked, I cannot order a new card. Your AI chat suggests to lock a card first, then order a new one, which then requires unlocking the card. The order of opperations needs to be switched or allow for ordering a new card once an old card is locked (which also makes sense).
  • Adding an option to talk to a person when openining Concierge. The AI is really good, but is still limited.

Return on Investment

  • Employees know we are able to see their spending in nearly real time - reducing questionable/vague purchases.
  • Accounting labor has gone way down, in reconciliation, fixing coding errors and in hunting down receipts.
  • General employee labor has gone down as cards are no longer being rejected at the register, and spending limits are higher.

We use Expensify to easily submit our monthly expense reports to upper management for approval. Expensify solves the burdensome problem of remembering expenses, compiling receipts, and generating a manual report using an Excel spreadsheet. Many employees (including myself) were submitting late expense reports and our management is using Expensify to make the process much easier.

Pros

  • Easy to access online portal whether using a mobile device or desktop app
  • Receipts can be uploaded in a breeze and automatically categorized
  • Expense Reports are submitted monthly on autopilot
  • Expenses for gas is calculated on the app by entering the starting/ending destinations.

Cons

  • It would be helpful if the reports section could provide a summary of the monthly totals (I only saw I was able to generate reports with each individual transaction listed)
  • I understand a monthly subscription charge is paid at the beginning of the month. It would be helpful to not charge a monthly fee if an employee did not have any expenses that month to submit.

Return on Investment

  • Positives include - timely expense reports to reconcile our fiscal year financials
  • Negatives include - the monthly service fee per employee (even if no expenses were generated that month) - it is not cost effective for ALL of our employees to utilize the application.

Our organization uses Expensify to streamline our financial operations, specifically for expense management and optimizing procure-to-pay processes. Employees leverage Expensify's mobile app and SmartScan technology to capture both reimbursable and non-reimbursable expenses in real-time, automatically extracting data from receipts. Our configured expense policies and multi-level approval workflows ensure compliance and proper categorization, minimizing out-of-policy spending. Expensify also automates employee reimbursements, ensuring timely payouts and reducing administrative burdens. Beyond individual expenses, we use it for managing direct vendor bills. A critical aspect is the seamless, automated syncing of all approved expense reports and bills directly to NetSuite. This ensures real-time data consistency between our systems, eliminating manual efforts and providing a unified financial view. Expensify solves several key problems: it transforms time-consuming, manual processes into efficient, automated workflows; provides real-time visibility into spending; enhances data accuracy and reduces fraud risk; accelerates reimbursement cycles; and simplifies reconciliation, moving us toward a paperless environment. Great Product that Improved our Controls

Expensify has been an incredible tool for our nonprofit organization. It allows us to empowere our managers with their own credit cards. They have an app that allows the manager to submit their spending reports. It all links to our accounting software so all transactions are imported into the correct categories. Managers can also submit reimbursements through the system. Receipts are auto generated so there is no more lost receipts!!! We love it! Oh and their cash back opportunities makes it super affordabale. I would highly recommend Expensify to any nonprofit looking for a simple way to empower your staff and helping them improve their reporting.

Pros

  • Credit Cards management. No different than any high quality bank card.
  • Expense report management. Amazingly simple and has improved our staff's reporting quality.
  • Reimbursement and spend approvals. You set the approval process we have multiple people who supervise approvals and the system is easy to set up and use.

Cons

  • They pushed a new update to the website that was confusing, but they allowed us to chose to see the original version of the website so it helped.
  • Like all Credit Cards fraud seems to be an issue, but I do not beleive this is unique to them. I am glad they settle these issues quickly and professionally.

  • We went from paying credit card fees with no approval process to a no fees and complex approval processes.
  • I personally save time in not having to develop a spend report I just have my admin assistent fill in the details of the auto generated report and it is done. Went from an hour long process to 5- 10 minutes max to prepare a high quality audit ready report.

I use the Co-Pilot function as an accountant and tax preparer. My clients use Expensify to create reports for reimbursements, quarterly expenses, and to store receipts digitally. This lets them save on storage and paper by prioritizing digital receipts. The ease of use, especially for the mobile apps, allows users to submit receipts in real time. None of my usage has used the expense claim tool, but I see that as a tool with high value.
