Acumatica is our ERP system. We run Rental360 on top of the system to manage all our rental business across 2 companies and 4 locations. We additionally use work order management for service and repairs, and inventory for tracking and charging parts. We use multiple companies to manage our sister companies for Insurance, Properties and Holding Company. Their modern web-based and user customizable interface makes it the right product for us.

The thing that I love about Acumatica is that it has carved out a reputation as a robust, cloud-based ERP system, which has been tailored for small to midsize businesses (SMBs), though its scalability also appeals to larger organizations. Here’s a breakdown of its strengths and considerations. Strong and secure platform for cloud-based ERP and hybrid and remote systems 2. It has really good and advanced servers, which help. Acumatica’s interface is modern and intuitive, with a clean dashboard that centralizes key metrics. While newcomers might face a learning curve—common with comprehensive ERP systems—the navigation feels logical once users acclimate. Its mobile-friendly design is a plus for teams on the go.

We track customers in Acumatica including invoices and inventory. We use this system to keep track of our customers, their contact information, the inventory they may have and customer billing. In our system we have clients who can be a customer of a client as well.

Acumatica is our core ERP system utilized for anything from processing sales/purchase orders to tracking inventory, loading sales information, reporting/KPI's, finance & accounting, and payroll. We have the commissions and CRM modules in addition to the standard ERP.

  • Out of the box payroll is tedious and has several unnecessary steps.
  • Sales reporting out of the box could be more detailed, perhaps the option to customize the first 3 reports specific to the company's needs would be helpful.
  • Allotted support hours included in annual subscription. We currently use a 3rd party which can add up quickly to ask simple questions or request basic modifications.

Likelihood to Recommend

Acumatica is moldable, most importantly, and is also overall easy to learn and use. The most tedious thing is customizing it to match our business model and keeping those customizations up to date with each upgrade.

We use Acumatica to take care of all of our accounting ERP needs that we have, and we use it to integrate with Procore who does our project management, and so we need a system that is able to integrate back and forth between our accounting and our project management.

Pros

  • We just went live recently about two weeks ago, so we are here at Acumatica Summit to see all of the things that it's capable of. One of the things that it is capable of is the dashboards and the integration with some of these third party people to make sure we can get the data that we need when we need it, and so we're really looking forward to getting all that live for us.

Cons

  • We don't know too much yet as we're just now going live, but the customization that the thing that's nice about a software like this, you are able to customize it very well easily, but that takes a little bit of understanding to get to know that and so we're not quite there yet. That'd probably be my complaint, even though it's not really a complaint, it's just able to do too much for us.

It provide pay as you need model that saves lots of money. Fastly integrated with 3rd party solutions. It has AI capabilities that provide insights for decision-making. It ensures streamline of manufacturing process and boost business productivity.

Use Cases and Deployment Scope

We use the product primarily to track our finances. We use it for payables and financial statements. We create purchase orders and projects, pay invoices, and all that fun stuff. So, as with most of your users, we were on Sage, and Sage blew up because we were overusing it, so it addressed our ability to move on to a much more stable platform as well as the fact that it addressed the self-service aspect of the financial world, allowing our different communities because we've got communities all over the state of Florida. They're all very much independent, although they all roll up into us, and so it allows the communities to have much more control over what they do, at least financially, where things are coded and so on. This allows us to be more accurate in our reporting.

Pros

  • It truly allows our communities to really code their own invoices, at least by the way of creating purchase orders first. Many of our people have never used purchase orders before, and so it's been a bit of a challenge training them, but it's a pretty darn easy product to use Acumatica that is, and as long as our folks understand the different GL codes and so on and so forth, they can do just that and they provide us with everything we need in order to fold them up into our financial statements. I think the project module is also very easy to use, and because of who we are and what we do, we do a ton of construction work, both in the way of new units and refurbishing old units and all of that. And so the project module helps us a lot with control of finances and expenditures and so on and so forth. And I could probably talk for four more hours, but you've probably heard enough.

Cons

  • I think where we've experienced the biggest weakness is with the training on how to use Acumatica. Our people, many hundreds of them simply pointed at different videos and things and said, learn it. And I don't know if we're the average or not, but our people have struggled with learning all the different pieces and parts of it, and so that's been a bit of a challenge. I know that Acumatica has a lot of partners that consult with companies like us. We use one of them, and they've helped us a lot because they kind of bridge that gap, which is good. But I'd like to see Acumatica take a bigger role in that training and just be more available to answer questions and things.

Scenarios within our own business or scenarios out there in the world. Well, again, for us, construction, we do a lot of construction. We have a division that does construction. We own so many different kinds of living facilities. We have life plan facilities and rental facilities. We have something for almost everybody who wants to retire, but we have to keep those units up to code. We have to keep them clean, nice, and new. We have to make them very, very livable and beyond. And so we're constantly working on doing refurbs, and when somebody moves out, we have to do a quick unit turn, meaning we've got to get it ready again for a new resident as quickly as humanly possible so that we can preserve our cash flow and so on and so forth. So the project tracking mechanism that Acumatica has is really a great way of allowing the construction vision to create that project, lay out the task, lay out the cost coding, lay out the budgets, and then track each and every piece of it along the way, making sure that we stick to our budget and so on and so forth. So that's been a big help. Again, the self-service coding for our communities has been a big help because they can put things where they need to. They don't always do it right, but it's the way of the world, I guess. So I guess that's a good start.
