We use ShareFile to securely send tax documents to clients for signature, and to send copies for their files as well.
We find it to be an easy to use product, even for our less tech-savvy clients, who seem to be perfectly capable of finding the correct forms, signing, and then having them automatically returned to us.
Pros
Returns Signed Documents
Easy-to-use for clients
Easy-to use for our firm
Cons
Would love to be able to sign client copies of returns electronically without having to use the signature feature
Likelihood to Recommend
Perfect for providing tax documents to out of area clients. Also a great way to obtain necessary signatures on forms requiring signature.
My organization uses ShareFile to meet compliance goals for our Special Education Team! Working at a school in the Special Education Department, ShareFile makes it easy to share confidential materials for signatures or sharing with members within our school and with related service providers. We recently made a switch to all digital compliance filing and ShareFile has made the transition a breeze.
Pros
Checkbox Feature
Signature Feature
Signature Certificates
Cons
Only able to send 6 reminders per day - why not more?
Downloads sometimes go to the wrong folder or I can't find them
Logging in is sometimes difficult - why doesn't it remember my domain/username/password even after I press the "remember me" button?
Likelihood to Recommend
When having to get signatures for compliance paperwork in the education field, ShareFile is extremely well suited. In the technological word we live in, there is simply no need to be tracking people down to get paper signatures when I could just send them out via email so that everyone can sign at their convenience!
Each month, we publish a magazine in 22 versions. We use ShareFile to store and share art files. The most used portions are the workflows and approvals. Previously we relied on PDF comments and emails. With the annotation system through ShareFile we have sped up our approval process and secured a method for reliable corrections.
Pros
Messages clients with pertinent information.
Provides unlimited storage.
Allows for individual user permissions and access.
Cons
Moving files is frustrating. I'd like to option to remember the last folder accessed.
The dashboard could use some more customization options. My only options are: Recent files, Shortcuts, Tutorials, and Favorites. Why can't I have two favorite lists? or perhaps a separate list of recently uploaded files.
When I view the activity log, it would be great if I could click on the item name and be taken to the location. I'd also like to modify the size of the columns.

Good:
Collaborative Magazine Production: ShareFile excels in multi-edition magazine publications with collaborative content creation, offering real-time co-authoring and secure file sharing for editorial teams.
Content Approval Workflow: ShareFile is ideal for streamlining content approval processes, enabling reviewers to access and comment on magazine drafts securely, making it efficient for users to provide feedback.
Bad:
Individual Content Creation: If magazine production primarily involves individuals working independently without collaborative needs, ShareFile's collaboration features may be overly complex and unnecessary.
Limited Resources: For publications with limited budgets, ShareFile's robust feature set may be cost-prohibitive compared to more budget-friendly file-sharing solutions.
I have used Citrix RightSignature to confirm and finalise documents relating to building work and contracts. Most of the paperwork is now online and it is becoming rarer for companies to use hard copies of documents
Pros
Offers an online solution to contract signing
Ensures that documents can't be edited
Allows all users to know that documents are official
Cons
Explaining the process to the other user can be difficult
Sometimes the formatting gets difficult when editing documents
Likelihood to Recommend
It's been really useful for documents within a local environment; I'm not sure how it easy it would be to use in a wider world environment as I've heard that online signature technology is taking time to become established.
The CEO and all contractors are users. Contractors include psychiatric rehab program (PRP) service directors, their PRP supervisor, and myself--the compliance officer (I am also one of two ShareFile administrators for our online account). As an accredited and state-licensed service provider with requirements to keep regular HIPAA-compliant client records and reports, we chose ShareFile because our needs for doing so were best met out of all the electronic medical records SaaS companies that we reviewed. We are a very small company, we currently don't offer psychiatric services, so we pretty much needed an a la carte SaaS that we could customize for record keeping, have robust encryption across other online platforms, and would offer secure authenticated electronic signing capabilities. We don't do our own billing, which was another feature we didn't need.
Pros
Authenticated electronic document signatures--self-signing, and sending out for signatures. This is a robust feature that also allows for additional information to be added to documents being sent for signatures, such as dates, notes, and items omitted but needed.
Encrypted emails through ShareFile, Citrix apps for Outlook, Gmail, and Mac email systems. Encrypted email messages cannot be cut/pasted, nor forwarded without encryption. If only the attachments need to be encrypted, the email message can be unencrypted. Also, two options for securely opening an encrypted email (one with less credentials, one with more).
Cons
Documents that need to be signed multiple times by one client but on numerous different dates. If this is being signed electronically, it can be a tedious process.
Because of the encryption level that we need, MS Office documents aren't editable online in ShareFile. However, because ShareFile SaaS can be synced with MS File Explorer, docs can be edited by opening them directly from File Explorer and resaved directly back to ShareFile through File Explorer, instead of needing to download from/upload to ShareFile.
Likelihood to Recommend
Well suited for high encryption purposes, such as HIPAA compliance. This is a major reason we chose this SaaS. We also had a choice of encryption levels if we hadn't needed such a high security level.
Well suited for electronic signatures, be that by keyboard, mouse signing, or finger signing on tablets and mobile devices.
Not well-suited for service providers who need structured EMR templates for billing, insurance coding, etc.
Well suited for large state/local government agencies to capture required documentation from contracted providers, especially large-capacity documents that surpass email attachment size limits.
I use it kind of like Dropbox, as a place to securely store clients' tax files and tax returns. I love that I can easily invite clients to set up an account and grant them access to just their specific folder. It is wonderful that it is both cloud-based and desktop-based, like Dropbox and they auto-sync generally pretty seamlessly. This works great for being able to password protect sensitive documents, UNLIKE Dropbox.
Pros
Secure storage
Ease of use for clients
Plenty of storage space
Unlimited client users
Cons
Email templates
The "Note" feature in the cloud-based version does not show up in the desktop version
Expensive for more than one firm-level user
Likelihood to Recommend
This has been the perfect, affordable solution for my one-person business. However, if I had additional employees, I don't know that this is the tool that I would use. It gets very expensive to have multiple firm-level users. My clients have generally been able to use it without trouble, which is a huge plus. It seems to be widely accepted by the accounting community, so I feel that it is trustworthy from a sensitive data standpoint.
RightSignature was used in my organization to communicate and obtain signatures from clients on vital documents for quoting and binding insurance policies. It made our jobs easier because of the electronic capabilities as many of our clients are contractors that work on site and do not readily have access to a computer. This was really the only part of the program that I was able to use, while some other users have experienced other capabilities. We had recently switched to another, more comprehensive system to better fit our business needs, but this program certainly did the trick for what we needed it for and the time used.
Pros
Electronic communication
Ease of use
Integration with business management systems
Cons
More comprehensive system
Editable documents rather than use of only .pdf
Allow Multiple users/signers for one document
Likelihood to Recommend
This program would be best suited for an organization who readily requires signatures for documents and needs them quickly. The capabilities of this program would be great for that. An organization that conducts business face-to-face and can obtain signatures that way would not necessarily benefit from this program. Additionally, organizations that do not use signatures or documents requiring them would not benefit from this program.
I use RightSignature for all our documents that need to be signed. It solves us having to send hard copies by mail and storing them in a file cabinet. The fast turn around from when we send the documents to the customer and it gets signed and sent back allows us to complete our admin duties much faster and is more efficient. What would take weeks now can take just a single day. Also, it is secure and doesn’t get lost in the mail. I am no longer tied to our office location. I can be on vacation and completely process a customer. We use RS for our customers, our clients, and even our employees. Anything that needs a signature is sent through RS.
Pros
Safe and secure signature documentation.
All digital format, no need to print and file.
Super quick turnaround.
It can be sent to multiple people at the same time.
I designate where I want initials, signatures, dates etc.
Cons
It would be nice if when you grab the signature box it would automatically snap to the size of your line on the document.
Likelihood to Recommend
For our purpose of sending multiple documents back and forth to be signed in a quick manner, it works great. I don’t know of any reason to not use this service.
We use ShareFile for all of our field teams to be able to easily access the project documents while they are on site throughout our area of operations. Using ShareFile has helped our "out of the office groups" have access to all their necessary project documents while having them backed up, all without having to wait for long download times from remote servers. It also allowed our teams to share pertinent information with our subcontractors as needed while still keeping them safe from tampering.
Pros
I think that one of ShareFile's greatest strengths is its ease of use. With the outlook plug-in sharing large documents is so quick and easy.
I also like the security and control that is provided for who can access the documents and tracking the changes within them. I think it does well at protecting information that leaves the company.
I also think the website is well organized and easy to use. It was very easy for us to implement and train our employees on the proper use of the website and software.
Cons
One of the downsides that I noticed was that there is no document lockout tool so if multiple users were to access and edit a file at the same time there is potential for version errors.
Strong internet coverage is required. Without good internet, accessing files and syncing them to the cloud could be difficult.
The price can be a bit high especially for the smaller businesses but you do get the support that is not available for free cloud services like Google Drive.
Likelihood to Recommend
Industry-tailored workflows: ShareFile has 10 key industries and the workflow will match that industry. For example: for accounting, the app will display options for clients to sign documents, which cuts out on them having to post or fax documents. I think it is not as good for small businesses especially if you have part-time employees as paying for their access as well can add up quickly for overall costs.
Citrix ShareFile is relatively new to us. We are using it to share files with partners and vendors outside our agency as well as to begin the process of digitizing tenant files (we're a property management company and nonprofit). Sharefile helps us to share large files with people as well as organize our existing files.
Pros
Set up templates for your folders so every folder has the same structure.
Work with project management software (such as Podio) to automate some organizational tasks.
Communicate with outside vendors and share large files with people that shouldn't be emailed due to size or confidentiality.
Cons
There's a bit of a learning curve getting Sharefile templates and user profiles set up, but once you're set up it is very user-friendly.
We haven't been clear on what "ShareConnect" is and so we haven't been using it.
The desktop app for Sharefile has less functionality than the browser version, and it caused some confusion initially. Again, we just don't use the desktop app.
Likelihood to Recommend
ShareFile is great for setting up files that need to be set up in the same way every time, i.e. tenant files, client files, etc. The templates make it easy for several staff members to use the system in exactly the same way. ShareFile is also great for sharing large or multiple files with vendors or outside partners. We've also used ShareFile to accept applications that require a large number of supporting documents by using the integration with Podio webforms and GlobiFlow automations.
