Great portal for board engagement

Use Cases and Deployment Scope

We needed an online portal that allowed our board members to access a library of board documents. Previously, we were sending documents via email and there was no singular place to go to find and keep track of all of those attachments. Additionally, we needed a space for members to have digital access to all of our past, present, and future meetings. Our hope is to eventually reduce the amount of paper we use on printing meeting materials and rely more on the digital documents that are offered through OnBoard Board Management Software.

Pros

  • Allows admins to build a customized library of documents and files for easy access.
  • Permission settings allow us to pinpoint who has access to certain documents and meetings.
  • The digital signature feature allows us to easily capture signatures on board documents in one central location.

Cons

  • Resource folders are currently organized alphabetically/numerically from A to Z. I wish we had the ability to organize them however we need them to appear, which may or my not always be alphabetically in order.
  • The minutes builder can be finicky and takes some getting used to.
  • I wish there was a way to upload your own document to be used as the meeting agenda. The agenda builder is fine, and we will get used to it, but I do wish it was optional.

  • We've been able to confirm increased engagement from board members via the portal.

We use it for board and board committee meetings. The program allows everyone to see the meeting packets in one place. It also allows for everyone to join virtual meetings from one place, in the meeting packet.

Cons

  • The virtual meetings are sometimes hard to join.
  • 'Join via Zoom' and 'Join via OnBoard' are confusing to users.
  • 'Edit Agenda' should be in more locations than the top of the agenda so you don't have to scroll all the way up to get to it. OR the option to just click to edit and not have to click 'Edit Agenda'.

  • It was less expensive than our other program and easier to use.

We use OnBoard Board Management Software to manage our board committee meetings and committee assignments. This way, the communication is protected and our board information is located in one place - OnBoard!

We host our board policies, financial policies, and bylaws on OnBoard Board Management Software as well as our financial reports and minutes from previous meetings. It's one stop for our Board members, and they've all adopted it!

Pros

  • Minutes are done in a blink of an eye if you've set up your agenda correctly.
  • Board members read the minutes and approve them before the meeting using the OnBoard Board Management Software approval functions!
  • Consent agenda's can be approved before the board meets!

Cons

  • RSVPing is easy if your members remember to do it. If the admins had access to mark people as attending it would be very helpful! No more guessing for food at your event.
  • Spreadsheets don't show up well on OnBoard Board Management Software, you need to make them into pdf's to view better.
  • The pricing could be lower for smaller non-profits.

Return on Investment

  • Once we let our board know that we receive notification if they've read their agenda and financials, we noticed that everyone is on the same page when we meet. The Agenda is clear as well as our objectives. I'd say 80% of them have looked at the materials in advance.

User-Friendly Board Management Platform!

OnBoard was my company's first venture into the world of online meeting management. We viewed several options and ultimately selected OnBoard because it was user-friendly and met our established needs. In the over 4 years we have utilized OnBoard, it has exceeded our expectations. Prior to OnBoard, all board and committee packets were paper. They were prepared in advance which sometimes required addenda when additions or revisions were made. We spent a lot of time preparing, mailing, and if needed, updating the packets. At the end of board meetings, the paper packets were typically left behind on the conference room table. Transitioning to OnBoard has saved a tremendous amount of time and effort, not to mention paper and postage. Some of our board members were initially hesitant to utilize an electronic platform. We have board members of varying ages and some have served for upwards of 15-20 years. They, in particular, were set in their paper ways. All have successfully transitioned to adeptly using OnBoard, including survey and electronic signature features. Our new board members are immediately introduced to OnBoard for onboarding components and rarely need assistance figuring it out because it's so user-friendly and easy to navigate.

  • Allows for easy additions or changes to the board packet.
  • Provides imbedded electronic signatures easily linked to appropriate agenda items.
  • Provides an easily downloadable copy of the packet and agenda.
  • Allows companies to upload documents of significance such as Bylaws into a centralized Resource Center which is securely accessible.
  • Customer support is excellent. You can always get a timely answer via phone or email. The follow-up on issues that can't be resolved immediately is very timely and thorough.

Cons

  • I'd like to see the electronic signature feature upgraded to allow signature box rotation. Sometimes documents are a combination of portrait and landscape and the current setup only recognizes one orientation when inserting signature boxes.
  • There is a syncing issue that occurs during seasonal time changes that sometimes prevents users from accessing OnBoard. Our IT department has needed to help board members resolve this and regain access.
  • There are several new features to OnBoard now, but they come at a cost. While it's nice to demo these features, it would be great to have some new features included in the already purchased package instead of at an additional cost.
  • The Zoom integration is nice but doesn't meet our needs. You do not have screen share or other Zoom features available while using it integrated within OnBoard. For remote meetings, we use Zoom and screen share OnBoard within its own browser.

  • Downloadable agenda, attendance and packets.
  • Ability to modify agendas and packets easily and quickly.

Return on Investment

  • It has saved us money on paper and postage.
  • It has streamlined annual processes for conflict of interest, confidentiality, and other routine processes via its electronic signature and survey functions.
  • The cost increases annually and if you want to add newly released features, so it could at some point become too expensive to maintain as our chosen platform.
