Use Cases and Deployment Scope

Each team has a page entitled their "team space" with their employees, ongoing project board, calendars for their ongoing projects etc. We also use it as an FAQ hub where we can all find answers to questions. We even have a page for reporting the lunch menu for the week. It helps to stop us to keep up to date on our colleagues work and stop working in silos.

  • uses colours and imagery to keep things engaging

Cons

  • The app is often glitches
  • The app slows down my entire computer
  • There should be a bit more guidance available at all times to see what you can and can't do

Notion works really well for organizing project boards, task lists, and teamspaces—it’s great for keeping everything in one place. But when it comes to calendars, it’s not the best since syncing is clunky. If you’re using tools with two-factor authentication, it can be a hassle. Also, embedding Miro or Google Sheets can be tricky.

We use Notion for various activities, such as organizing tasks and demands, planning projects, and creating daily to-do lists. I also use it as a library to gather relevant information and insights. With Notion, I don't risk losing information, as it is saved in the cloud and the entire team can access it.

I use Notion to keep track of projects, initiatives, and personal finances. Notion has enabled me to be sharper on my delivery and to keep track of my achievements and goals, Notion has also helped me deliver work on other companies as a translator, this was done on my time working on Web3

Notion is great to keep track of progress in projects, also great for personal goal tracking and many other options. Not great to collaborate in real-time, but it is Great to collaborate on a project async, and very useful to keep teams involved and informed. Notion - The Digital Assistant We Didn't Know We Needed

Notion has become the best virtual assistant that I could ever ask for. Currently, I'm utilizing the Free license as I'm the only one that needs access to it, but I'm heavily considering moving to a paid tier so I can support the Development Team as they continue to build out new features.

As it stands, Notion has become my 2nd brain of sorts, where not only can I quickly jot down meeting notes and track projects within it, but it allows me to plan out my weeks in advance, make note of any upcoming meetings, and ultimately become my one-stop shop for any information I need.

This doesn't just apply to my business life either - I've been able to segment spots for keeping up with home shenanigans, wedding planning, and my side-hustles in a way that no other app has come close to allowing me to do. And with templates available that inspire new and unique ways to use the system, I find myself better managing all aspects of my life thanks to this app.

Pros

  • Note Taking - It's incredibly easy to jump into a new page and start taking notes or linking key files for future reference.
  • Project Management Tracking - With a Kanban board, I'm able to extend my PM work within Notion, giving any and all space it needs.
  • Information Staging | Planning - Notion allows me to plan out my content creation schedule, with spots dedicated to keeping track of metrics, as well as open areas to brainstorm.

Cons

  • Offline Backups - While Notion does give the ability to export to PDF, HTML and other factors, not having a hard backup is a bit of a hard selling point to new users.
  • Difficult to Start - Notion gives a lot of opportunity to build it out however you want to, and there's plenty of loaded templates to use, but it can be overwhelming.
  • Forced AI Integration - Notion has been trying to run its AI within the program, and while some have found great use cases for it, for most users, it's not really robust or reliant enough to use daily.

Likelihood to Recommend

Notion is a perfect assistant for users who are struggling to keep hold on everything - it's private, able to sync across devices, and the free plan is more than enough to get yourself up and going so on that side of things, it's an incredibly easy sell. However, on the opposite, there are things that Notion does that would keep some away from the program; The lack of offline backups, the inability to opt-out of Notion AI, and the lack of a predefined structure to start using the app to the point where it can feel like you need to have a Notion Degree before you can start using it are just some points that'd keep new users from giving it a go.

That said, given some time to learn the program and its features, I think anyone could find themselves using Notion as a second brain of sorts, even expanding out to sharing it with a whole team for greater collaboration than what Microsoft or Google could do with their productivity suites.

Notion is a powerful tool that allows us, in a single access point, to manage all aspects of the execution of each project that we carry out with our staff, with the aim of increasing efficiency and delivering the product in the time offered to our customers. In Notion, all project work is managed interactively, with effective schedule organization for deliverables, saving us time and keeping budget on schedule.

  • The organization of human resources that works on multiple projects simultaneously.
  • The mechanisms offered at the 'views' level to filter the tasks to be done for each user of the project.
  • The assignment of permissions to indicate who can be notified and interact with a specific project.
  • Notifications about the delay in activities, without being very invasive.

Cons

  • The increase in integrations with third parties will always promote the adoption of the platform in companies.
  • Personalization with logos and corporate colors sometimes makes the difference when selecting a tool in a corporation.
  • Having multiple functionalities for working in manufacturing companies and with devices developed by third parties encourages other companies to select Notion as their flagship tool to offer implementation packages under alliances that favor its use.

Notion is effective when we need to increase efficiency in work teams that make daily implementations in multiple companies, since it facilitates the follow-up of each person, regardless of how many projects they participate in.It also allows each field engineer to report progress, issues and attach supporting documentation for evidence.

Sometimes there is an overwhelming amount of projects running at the same time, Notion has helped me and my team get a clear view of all projects we have on going, have flexible views, get details on pending tasks and know who is doing what.

Likelihood to Recommend

Great for complex project management and task tracking. I don’t see that it has been very useful for simple daily to do’s or projects, because it requires a lot of work to introduce to the tool, which is definitely worth it if you want to take full advantage of the tool.

We use Notion for a variety of purposes. Our company OKRs, personal OKRs, project management, directory, employee handbook, requesting days off, etc. It's our home base for all aspects of our company. Notion is really helpful for storing all of our HR-related items and is a great place for us to host things like time-off requests.

  • A little hard to navigate without a tutorial
  • I wish there was a way that completed tasks would automatically archive

Likelihood to Recommend

Very well suited for a large company that has a lot going on. It helps to segment parts of your company and teams and to track what's going on. It's well suited for a company that has many moving pieces because it allows a company to focus and organize OKRs and not get lost in the mundane. I don't think it's well suited for a smaller business (less than 10 people).
