Overview
Synthesised from 8 reviews | Last Published April 23, 2026
This product assessment of Nintex Process Platform synthesizes insights from 8 recent reviews, covering overall satisfaction, areas for improvement, ROI, and integrations. Nintex is primarily used for workflow automation, with 7 of 8 reviewers leveraging it to streamline data gathering, improve approval processes, and reduce errors by customizing workflows beyond standard SharePoint capabilities. Three reviewers also utilize the platform for process mapping, documenting workflows across departments, aiding staff onboarding, and tracking savings on initiatives. While Nintex delivers efficiency gains, some users (38%) express concerns regarding integrations and APIs, citing the need for manual coding and a desire for more built-in integrations. Additionally, 25% of reviewers cite cost and licensing as potential drawbacks, particularly the per-process map charging model and the licensing model for workflow cloud automations. The perceived ROI is tied to automating mundane tasks and promptly meeting business needs, but this value is weighed against the expenses associated with its licensing model.

At [...], we are a company that provides professional automation services, and our partnership with Nintex is based on offering a professional roadmap that covers all phases of Digital transformation from digitization to robotic process automation. This allows companies to gain visibility and control over their processes, resulting in optimization that drives a significant boost in productivity.
Pros
Digitization of processes in a collaborative and user-friendly environment
Advanced RPA platform and digital documentation
Provides analytics and mobile-friendly environments within its applications
Nintex applications connect to and work with the most important applications in the technology ecosystem
Cons
Nintex can enhance and strengthen Automation Cloud by integrating Kryon's advanced technology into a single cloud-based platform.
smaller plans available for small businesses and SMEs in Latin America.
Enabling multi-language support in the most important applications
Likelihood to Recommend
Nintex is ideal for large enterprises as well as those with subsidiaries in other countries, since its digitization platform is hierarchical, highly organized, and can be used across the entire organization. It allows processes to be divided by departments or countries and makes it easy to adapt to the specific variations of each. However, for small local businesses, it may be an oversized solution.
We use NIntex for forms and workflows. They assist us in building complex solutions and extending what SPO can do out of the box. We use it to build anything from document approval systems, to support request sites. Our group's support request tool is 100% built in SPO and Nintex.
Pros
Approvals
Ticketing solutions
Complex forms with logic
Cons
Workflow reliability (items don't always trigger)
Load speed/efficiency
Form customization
Likelihood to Recommend
Nintex is well suited in environments where custom forms are required but you do not need the extra features and complexity of Power Apps. While Power Apps is more feature-rich, Nintex forms is easy to learn and far faster in terms of setup. We can easily build good looking, custom forms in >30 minutes using Nintex and this is not possible with Power Apps. It also does well when quick notifications or approvals are needed in workflows. In general, Nintex is an easier to use solution than Power Platform equivalents, though for some more complex applications, Power Platform is better.

We process contact & activity data belonging to 10 - 20k hotel bookings monthly. The data needs to be very secure, and we usually need to create a pdf of it to send to the hotel and guests, and take signatures and payments when necessary. In that regard, Nintex has been an absolute wonder to have at hand because we've been able to automatically create, send, document, and report on all the surveys and forms our guests interact with. We can design a form, send it out to whoever, accept and log payments, and then send it over to QB for invoice management. It saved us a lot of time and effort.
Pros
Smooth document creation
Hundreds of integrations which is great for the hotels we work with because we can exchange data quickly
Security & compliances
The support team is also fantastic
Cons
It's hard to start using it properly. We had to get to grips with it for a couple months before we could use it with confidence
The contract stage was a bit longer than we'd like
Likelihood to Recommend
It suits our general use case very well which is collecting bookings and other data/feedback from hotel guests. We get the data from them with forms we design through the platform itself, then integrate it to Quickbooks and Looker to sort out invoices and drawing up reports. Compared to exporting and importing all this data by hand, doing it with Nintex saves us hours upon hours, and capital.
It might be less suitable if you need the service running 24/7 without ever cutting off because we had a couple instances where it crashed when it really really shouldn't have.
Nintex helps in providing our company with business automation. Human dependency has been decreased due to nintex. All human intervention is replaced by robots. Also it's pretty simple to create forms using this software.
Pros
Helps to monitor business processes and workflows.
Operational cost has been reduced.
Likelihood to Recommend
It is pretty useful to manage workflows using this software.

Nintex Workflow Platform helps your organizations to
increase the overall efficiency by analysing their processes to guide the team
for better decision making. When your business has the correct automation tool
in place, you can definitely save time and money by delivering proper analytics
eliminating human error. With Nintex Forms, you can easily design modern and creative
forms to engage with customers and evaluate your products and services.
Pros
Can create modern and interactive forms to gain customer feedbacks.
Office 365 and SharePoint compatibility for better data extraction.
Can integrate with SAP and Salesforce for reporting and analytics.
Cons
$900+ monthly subscription probably not for small to medium businesses.
It's a bit hard to implement at the beginning without proper training and technical support.
Mobile platform has lots of issues need to attend.
Likelihood to Recommend
Nintex
is basically designed for large organizations that use SAP, Salesforce in their
systems. One big advantage of Nintex forms is that you can easily build them
for both Office 365 and SharePoint to analyse data and capture feedback. With
the stock Nintex form layouts, we can add our own rules and customize forms to turn
them into a more user-friendly experience. Also, we have the ability to digitalize
the whole human resource department and decrease their manual human error risk.

Nintex Promapp is used throughout the organisation. We use it to guide the team on how to do their jobs, induct new employees and to introduce potential clients to the Nintex Promapp platform.
Pros
Easy to Use
Links to other systems
Provide useful improvement features
Cons
Limited ability to analyse data
Lack of an open API
Likelihood to Recommend
Nintex Promapp is the best process management solution I have come across in a long time. It combines simplicity with useful features that helps an organisation to manage processes well. The integration to the broader Nintex suite (e.g. workflow management and RPA) also offers organisations with the ability to rapidly improve processes.
The Nintex Platform is used primarily as our "Thank You" letter generator for gift acknowledgements by a single user. I have found its integration with Salesforce cumbersome and the ramp-up time to support it overly complicated. For the Salesforce NPSP, a reduced package streamlining an easy step-by-step letter upload/generator process would be greatly beneficial. Certain aspects are still not compatible with Lightning and cost significant time debugging.
Once up, it works fine. But going back in for modifications makes me take a deep breath. Upgrading to the latest version took days.
Pros
Generates Documents in Bulk
Incorporates Salesforce Fields
Support is responsive
Cons
Integration with Salesforce NPSP is overly complicated. Simple interface would be beneficial.
Upgrade procedure involves way too many intricate steps.
Interface is archaic as Lightning integration is incomplete.
Likelihood to Recommend
If you want a simple document generation for your Salesforce platform, a word merge is much simpler. Once up and going, through much pain, Nintex performs fairly well unless you have to look under the hood.

We use Nintex form generation to generate and send Acknowledgment Letters for our constituents' donations. We also use it to create applications for our Fiscal Sponsorship program. It is being used across the whole organization. It makes the creation of certain documents not only contained within the same system but gives a ease of use when sending via email or snail mail.
Pros
It lives within Salesforce which has eliminated the need for separate programs.
It is easy to not only create the forms but also to setup and build the templates.
Customer service has always been top-notch. Quick and useful.
Cons
I don't have much to say about improvements as the software has always met our expectations. I am excited to see updates and additional functionality.
Likelihood to Recommend
Our use case is creating forms directly from Salesforce. If anyone is looking for an easy way to create Acknowledgement Letters, send them to the appropriate person, and log that the letter was sent I would highly recommend Nintex.
We've used Nintex for the past five years as part of our web-based training for engineers. Nintex helps to drive the automated certificate creation for thousands of engineers who take our courses.
Pros
Robust, which allows me to use it for other purposes
Easy to use, which makes adding new processes straightforward
Reliable, which allows us to trust that it will always work
Cons
The new UI is great, but adding fields for drawloop in SF objects is always a pain. Other than that, great tool!
Likelihood to Recommend
Nintext Process Platform is great for automating certificates and other processes!
We are using it as a self service portal for IT functions. This includes updating user details, alias email requests, new user accounts, licensing requests and help desk tickets.
Pros
Paging in forms.
Dynamically changing requested information on forms.
Automating repetitive tasks.
Update forms quickly if information needed changes.
Let our apprentices update forms.
Cons
Querying third party data sources on the form live (Equipment).
Save and resume later.
Error capture.
Likelihood to Recommend
We have found it's great to remove phone calls to the IT team, we take far less calls with a self service portal. It also creates users pretty easily in O365 so those little tasks have been taken away from the team so we can improve other systems rather than fix users issues/update details. I can see how this could really help other departments and we are looking to add it to these areas soon.
We tried to automate licensing but the XML querying is awkward and we find repeating sections hard to work with if you want to get data out of it.
