Use Cases and Deployment Scope

We use it to organize, share, and distribute information. It is a good way to publish information to different departments so they can find general information about our team and what we do. It fulfills multiple needs as a landing page for team info, a wiki, and document storage while keeping it all fairly organized.

We use this as our Intranet. All documents are stored in Sharepoint so that everyone has access to it. And since it is in the cloud, it is accessible at any time. We can also easily ensure a particular document, folder or library can have restricted access. The use of metadata is also useful when filtering or searching for a particular document. The fact that multiple users can edit and collaborate on the document at the same time is also really useful. It also keeps previous version(s) which can be rolled back at any time.

Cons

  • It is not easy to identify "archived" documents. When searching for documents, all documents show. The only way to do this is to put "archive" in the document name before setting the metadata to "archived" (eg [ARCHIVED] Document Name).

We use SharePoint as a "Home Screen" for internal staff. When you open your browser, it defaults to this screen. It is used to navigate most departmental functions and link you to your software that you need to use as well. This helps with making everything an employee may need centrally localized in one spot.

  • Can be a little glitchy at times

The list functionality in Microsoft SharePoint is utilized for a more standardized storage of tabular data .Also Microsoft SharePoint allows integration into teams which is useful for easy access within teams

  • Easy collaboration with team by sharing links to files
  • The site access can be restricted to only selected users and also modified for read-only /edit type of access as per use case

Cons

  • The teams integration has some glitches at times .The Microsoft SharePoint site doesn't load into teams and teams needs to be restarted to view the site

Microsoft SharePoint is a pivotal platform for cross departmental collaboration. It supports off-server communication and file sharing and allows for seamless editing and reviewing of files. This supports ease of access for work-from-home and remote workers, where having a local drive isn't easy or doesn't make sense. The ability to see file edits/changes is pivotal in following critical updates made by others without having to spoon-feed data changes/inputs. Previous version file recovery allows files that have major errors/issues to be reinstated with any re-work. Microsoft SharePoint also supports B2B collaboration, by supporting sharing and editing outside of organizations. This allows for a single source of truth/live document that reduces costly errors and supports a collaborative approach that is necessary in today's business.
