What is Microsoft SharePoint?

Microsoft's SharePoint is an Intranet solution that enables users to share and manage content, knowledge, and applications to empower teamwork, quickly find information, and collaborate across the organization.

Great tool to add to your Toolbox

Use Cases and Deployment Scope

We use SharePoint as a "Home Screen" for internal staff. When you open your browser, it defaults to this screen. It is used to navigate most departmental functions and link you to your software that you need to use as well. This helps with making everything an employee may need centrally localized in one spot.

Pros

  • Building of the Site is Easy
  • Linking softwares/sites/procedures in one spot
  • easy navigation

Cons

  • Things can get lost in folders
  • Can be a little glitchy at times

Return on Investment

  • Positive impact on spreading of information
  • One database for all information

Other Software Used

FMX, Cityworks from Trimble

Use Cases and Deployment Scope

We use it to organize, share, and distribute information. It is a good way to publish information to different departments so they can find general information about our team and what we do. It fulfills multiple needs as a landing page for team info, a wiki, and document storage while keeping it all fairly organized.

Pros

  • Document storage
  • Collaboration
  • Team sites for general info

Cons

  • Pages can be hard to hard
  • Permissions can be confusing
  • The Different types of sites can get confusing

  • Easier to share info
  • Easier to share documents

Return on Investment

  • Included with existing products so we don't pay for dropbox.
  • Accessible from anywhere on internet.
  • No need for paper files.

Definitely Fit for Purpose.

Use Cases and Deployment Scope

We use this as our Intranet. All documents are stored in Sharepoint so that everyone has access to it. And since it is in the cloud, it is accessible at any time. We can also easily ensure a particular document, folder or library can have restricted access. The use of metadata is also useful when filtering or searching for a particular document. The fact that multiple users can edit and collaborate on the document at the same time is also really useful. It also keeps previous version(s) which can be rolled back at any time.

Pros

  • Easy collaboration.
  • Able to specify specific access.
  • Notifications from workflows.
  • Metadata

Cons

  • It is not easy to identify "archived" documents. When searching for documents, all documents show. The only way to do this is to put "archive" in the document name before setting the metadata to "archived" (eg [ARCHIVED] Document Name).

Return on Investment

  • SharePoint has delivered measurable ROI at our organisation through improved compliance, reduced manual effort, and better collaboration.
