Use Cases and Deployment Scope

We use Optimum Solutions in our Payroll/HR department to manage our employee information as well as for weekly hourly, semi-monthly salaried, commission and bonus payrolls. Currently only our Payroll/HR department utilizes the software but we are in the process of rolling out portions of the software to be used by employee supervisors and their employee self-service module that the employees will use to view/change their personal information as well as selected deductions.

Pros

  • First and foremost in my opinion Optimum Solutions has great customer service. We are assigned a specialist and can work with that person for every issue or question that arises. The specialist becomes familiar with our company and processes which makes interactions with them faster.
  • Optimum Solutions knows our business and offers helpful ways for us to work with their software to achieve our goals.
  • The turn around time for any question or issues is usually 2 hours or less. If our specialist doesn't have an answer they will work diligently with other employees with the company to provide us an answer in a quick amount of time.
  • Everyone I've dealt with at Optimum Solutions is friendly and knowledgeable . You can tell they love what they do and are always willing to help. Most employees have been with the company for a long time which tells me it's a great company to work for.

Cons

  • We are currently using the software designed for the iSeries but are moving to their Windows platform. We are moving to the Windows platform to gain some functionality in terms of a robust Employee Self Service module.
  • In the iSeries software the Payroll and HR functions are separate which makes it a little more difficult to see the whole picture of the employee record. In the Windows version the Payroll and HR functions work as one.
  • The security for the iSeries side is a bit cumbersome in my opinion but we hope that is not the case in the Windows version of the software. We are planning to open up parts of the Windows version to the employee supervisors.

Likelihood to Recommend

Optimum Solutions works very well for all our payroll needs. We run payrolls weekly, semi-monthly, monthly and yearly. The end of year process is lined out very well and webinars are available to go over any new regulations required.
We haven't utilized the HR part of the software as much on the iSeries but are planning on changing that once we get converted to the Windows version later this year. The main reason for this is the HR part of the software on the iSeries is separate from payroll.

Use Cases and Deployment Scope

Optimum HRIS is the human resources and payroll software used by the account department. All departments in the organization use Optimum HRIS for time and attendance management. Optimum HRIS allowed West Virginia Media to bring payroll back in house to save time and money, while increasing the amount of control over taxes and reporting that was lacking from using a third party payroll administrator.

Pros

  • The setup of Optimum HRIS was intense as the software comes as a basic shell and everything is personalized to our organization. All earnings codes, leave time, employee types, job codes, taxes, etc. are set up for each company. While this was almost overwhelming at the beginning, we have so much control over the set up and better grasp of the inner workings of the system.
  • Tax updates come quickly and are easily applied. This is especially welcome at year end.
  • The built-in reporting is robust and offers a lot of options, but the ability to dig in to the database using SQL and Excel allows for very powerful reports that are infinitely personalized.

Cons

  • The web interface for Optimum HRIS has been less than user friendly but recent updates have definitely shown an improvement.
  • Cosmetically (and nothing to do with functionality), reporting could be "prettier" or allow for customization.

Likelihood to Recommend

We use Optimum HRIS in a very small department and generally only one person is working in the database at a time. I would be curious to know how effective Optimum HRIS is at handling a larger number of users modifying the database on a regular basis. For our small shop, Optimum HRIS works beautifully.

Use Cases and Deployment Scope

We implemented Optimum solely to support our HR department which consisted of 4 Generalists, 1 HR Administrator and a Director of HR in order to support a population of 500 employees. Optimum was implemented to be used as a HRIS where we could track all employee data, changes and to generate reports based on employee data. In today's business environment there are so many managers making arbitrary decisions without notifying HR, so Optimum was our way of controlling information and ensuring that these decisions were tracked.

Pros

  • Optimum provides fields for just about everything any HR professional would need to track so I found it particularly helpful to have a system that could track Worker's Comp, OSHA and training all in one place.
  • The reporting tool is user friendly and extremely helpful when having to analyze large packets of data.
  • Setting up Optimum in our environment was also a lot easier then other systems I have had to implement in the past and their customer service was very responsive.

Cons

  • When exporting reports to Excel I found the formatting to be difficult to work with and having to reformat the reports can be a nightmare. My company's IT department created its own business tools to make the reporting format more user friendly.

Likelihood to Recommend

I would ask myself what data am I looking to house in this system before implementing. It is a very robust system so using Optimum to say only track employee personal information such as address and phone number would be a complete under utilization. I feel Optimum is best used for keeping records on employees, training records, OSHA and workers comp.
