Use Cases and Deployment Scope

We use ActivTrak to monitor computer and laptop usage to ensure policy compliance. The policy states that the end user must use the company laptop at all times, and ActivTrak helps us make sure the computers are actually being used and not just sitting on a desk somewhere.

For our use case, the data collection, reporting, and ease of use made it easy to choose ActivTrak. It works great for ensuring that users are actually using their computers, working, and being productive. It is a great tool for a hybrid or full remote work environment.

We use ActivTrak to manage productivity of employees. The business problems the product addresses is use of time. We typically utilize this tool to ensure productivity in the workplace. It is especially helpful with remote employees of whom we have alot. Most of our staff works remote and this lets us look through the window into use of time when performing tasks.

  • Shows employee time spent on tasks
  • Measures productivity across employee range
  • Analizes levels of time spent on certain platforms

Cons

  • I would like it to be able to send me reports
  • Reporting usage without having to search would be nice
  • keep me informed or alerted when productivity slips

When describing specific scenarios where ActivTrak is well suited id have to say that it does a good job of providing a whole picture of employee productivity and non productivity. I feel it is less appropriate for me to view into the employees screens and I do not typically utilize that function for much at all in daily use.

With most organizations embracing remote or hybrid models, the need for a tool like ActivTrak is eminent to get insights on how the workforce in an organization is performing to help take appropriate decisions: 1) either to involve them within product development/implementations. 2) or to coach to get some personal time off for family and self. 3) or to help them reach the next level in their career. With recent changes in the org which lead to a new team working on building a product from scratch, there was a need to look for a tool like ActivTrak which provides insights on the utilization as well as understand any blockers leading to underutilized team members.

Pros

  • Provides details on focused hours vs multitasking hours within productive hours
  • Good enough coaching points for underutilized team members, though high level
  • Provides active dashboard capturing current status of team members
  • Provides the ability to schedule Personal Insights which provides an opportunity to improve on utilizing time effectively.

Cons

  • With teams working across time zones, provide customization to select the time zone for a team member under a manager. Though a time zone filter is provided for tiles, appears refresh would not change metrics. Also does not show all standard time zones.
  • Should provide customization opportunities as in how many workdays should be counted per time period, like integration with tools like workday or ADP is being missed to capture leaves.
  • An hour worked on the weekend is messing up averages as it's counted for work, provide the option to add hours vs ignore hours on weekends without counting a day.
  • Provide customization in terms of selecting visuals per manager vs providing standard visuals.
  • AI/ML utilization to provide detailed insights focusing on helping individuals improve is the topmost requirement for a product such as ActivTrak to dominate the market.

Likelihood to Recommend

Well suited for teams working in a remote or hybrid model to provide insights on how the team is working and to uncover common patterns within the team to identify collaborative hours in geographically diverse teams. Less appropriate for teams working in office model as this primarily captures screen hours as any robust algorithm still needs manual intervention to identify productive vs other hours effectively.

ActiveTrak doesn't help us much to understand remote workers' productivity in a COVID-19 operating environment

Pros

  • Know what people are working (or not working) on, when it works
  • Use and extent of time spent on non-productive apps
  • Know if people are really working or faking connectivity issues, etc.,

Cons

  • Lag in data capture--sometimes never captures
  • Reporting on non-productive apps (report) has inadequate/incorrect hyperlinking

We rolled out ActivTrak during COVID to ensure that employees were remaining productive and also to watch for burnout. The platform delivers exactly as promised - we had some initial hiccups in attempting to get usable data out of AT for use in other systems, but we've generally figured it out at this point. As someone that is focused on building a team and a positive place to work, the biggest suggestion would be to make sure you are clear and transparent with employees on how you will use this data. We spent most of the implementation time crafting a fair and transparent policy so that employees knew what we were monitoring, how it would be used, etc.

  • Reports out data in easy to read dashboards

Cons

  • Would be great to allow user access to data, but specify what data they can review
  • Better public dash boarding system
  • Better pricing model (annoying to have to go back to a sales rep for more seats at a discounted price)

Likelihood to Recommend

For larger, distributed companies it would be incredibly helpful. Now that we're back into a hybrid work model, it's less effective as it can't capture productivity in live meetings.

I use [ActivTrak] across all the PCs in our office. The metrics for productivity are very useful. The 2 features we utilize the most currently are website blocking and Alarms with screenshots. Going into a disciplinary meeting with these screenshots and logs has been an incredibly helpful tool to show someone just how much time is being wasted. Since implementation we have had less and less issues with time wasting on the PCs. This is mostly from our employees knowing the software is in use.

Pros

  • Blocking websites
  • Alarming for things like USB Drive connections, File downloads, accessing social media and more. You can setup the alarm to close the page, take a screenshot and email you if you deem them alarm critical enough.
  • Productivity tracking

Cons

  • I don’t have any complaints currently. The software has received critical updates over the years and it is a solid platform.

Likelihood to Recommend

Offices and businesses where employee workstations are constantly online seem to be the best fit. Some places that it would be less appropriate are for mobile technicians or where workstations are not online all the time.

If you have employees and computers, you need ActivTrak!

We use ActivTrak to monitor employees, especially in departments that deal directly with our customers, i.e., Sales, Technical Support, and Help Desk. While most of our staff worked remotely during COVID-19, the Working Hours reports were invaluable. It really helps you see the Total Time, Active Time, Productive, Unproductive, Undefined, and Passive Time by User.

Pros

  • The application is very intuitive and easy to use!
  • The reports are invaluable to the success of any company, especially when you have staff members that are working remotely.
  • The Dashboard lets you see things at a glance, then you can dig in from there.
  • The blocking mechanism that restricts Social Media, Video sites, etc. really helps.

Cons

  • When you have an employee that is fired or quits, it would be nice to be able to remove them from a group even when using Active Directory.

Likelihood to Recommend

ActivTrak is awesome for monitoring the productivity of employees. It helps when you are training a new employee because you can review what they are doing. Additionally, when you have a problem employee that isn't doing what they are supposed to be doing, it gives you the details that you need to make counseling or firing decisions. On the positive side of things, when applications and websites are categorized, it shows you which employees are extremely valuable to your organization because they are going above and beyond.

We have some employees who struggle to stay on task, and others who are remote, and we lack clarity on how productive they are toward goals. ActivTrak provides highly relevant insights and enables us to measure individual performance against the averages for someone in their position, based on their peers at the company. This means we have enough information to help implement corrective action or weed out employees who just refuse to dedicate their work time to doing actual work.

Pros

  • Track total time spent on productive tasks.
  • Compare productivity and at-computer time between employees.
  • Provide reporting that can be used for corrective action plans and dismissals.

Cons

  • Better categorization of what is productive vs non-productive.
  • Adaptive measurements, such as Slack in a call being considered productive, but Slack in a DM session beyond X minutes at a time is non-productive.

Likelihood to Recommend

ActivTrak is well-suited for hybrid companies with employees working both onsite and remotely, allowing you to compare productivity in different locations. It is also highly helpful when you need to discipline or dismiss an employee and need concrete data showing a lack of productivity beyond missed deadlines.
