It's really an all-in-one solution for tracking the success of a sales team. You can establish unique earning paths per sales rep (user) to allow for flexible commission structures, bonus payouts for going above and beyond, and more. I think it's a great solution for anyone looking to get more insight into their sales team's productivity - and to expand an existing sales force.

The platform is absolutely amazing for all parts of the commission process. The only drawback is reporting. The new funcionality will be coming out and from the presentations it looks like the new platform will be taking care of the previous issues. I cannot give the software a perfect 10 yet; however, I am anticipating rating it a 10 after the reporting comes out.

Pros
  • We don’t have to calculate commissions in Excel anymore! It takes a fraction of the time it used to calculate commissions. Saves about 1-2 days on month end close. I like that it is easy for me and reps to drill down and see the calculations of their payouts. Reps can see calcs all month long instead of having to wait until the end of the month, so acts as a motivator. Sales managers can manage their direct reports better.
  • When I first started using QP, I was not thrilled with the quota attainment reporting for dollars, percent, and team management. I’m glad that they added leaderboards and are working on better reporting. I like the UX and UI of the whole software.
  • I like being able to export the following easily to Excel – resolved payouts for all payouts, payouts by rep, and Ledger (ASC 606) info.
  • Admins can request that reps acknowledge their plans through QP, which helps with compliance and ensures we are in agreement with calculations. I like that they are adding a docusign feature.
  • You can easily adjust earnings if a correction is needed, even after the month is closed. Just make sure you reverse from the end of the process (i.e. undo in ledger, undo the resolved payout, delete the unresolved payout, un-approve the deal).

Cons
  • More workspace roles with the ability to customize what each user is able to do. Currently, there's only member and team manager. The team manager currently has too much power and we want to remove some of the things they're able to do like approve deals.
  • When you sync a deal from the CRM, you can override the earnings but you cannot override the field value you're syncing over. It would be great if that was possible.
  • When you want to exclude a deal, you have to go in the filters and add a rule to exclude the ID. It would be better if there's an option to reject deals in certain paths as an approver.

  • It doesn't provide real-time results after updates are made that require recalculation. You have to wait for a refresh time to pass.
  • The ability to edit the Draw section, so that you can identify and/or distinguish the difference between Recoverable and Non-Recoverable Draws.
  • Customizing the rare and out of the ordinary situations. It can be done, but typically requires the aid of Support.

Likelihood to Renew
I don't have buying decision but we have input on the software or solutions we use and this has been a game changer to review our commissions. Quota Path makes it very easy to ensure we are on target. Saves us a lot of time compared to using spreadsheets

We have been using Xactly as a primary application to calculate the commissions payout on a daily basis and would continue the same as Xactly Incent meets our requirement. It keeps the process automated and reduces the manual effort to calculate commissions.

Usability

From an admin perspective, the software's usability is high. The different components are organized in a way that is easy to figure out, for example, all elements of a plan are under the Plan Design section. There are some areas where searching within the system is a bit cumbersome because after clicking into a result and back out it clears your filter. I found the software easy to navigate when I first started and the amount of documentation and helpful videos they have on the community and within the University make the system even easier to learn.

Reliability and Availability

In general the system is nearly always available. But the daily achievement calculation takes a hugh amount of time. therefore it was in the past month sometimes only from midday onwards completely updated and usable for Sales employees. Xactly support was and still is working hard to get it available early mornings. Availablility time has increased a lot. It's now down to around 10 am in the moring

Xactly Incent performs extremely well. I have not experienced it "slowing down" when usage is heavy. This is particularly true when it comes to the regular recalculation of credits and commissions. It is not uncommon for Xactly to be dealing with hundreds of thousands of orders/credits in a pay period, but the system handles it well. Xactly recently changed their calculation engine and the speed for regular refreshes increased significantly.

We got a dedicated CSM to help with bugs, troubleshooting, and redesign of comp plans. When we ran into issues with the calculations, the CSM was able to assist identifying the root case so that we could fix it. CSM was also very receptive of product roadmap ideas and willing to engage quarterly or more often.

They take the time to understand the system. They keep us updated on the status of our cases. Finally, their continued follow up ensuring the initial issue was resolved is very nice. They will not close the case out until they have confirmed that our issue has been completely resolved and fixed.

Xactly offers training on new releases on a monthly basis and training on basic principles regularly via registration. My experience with both is that they do not provide the in-depth knowledge necessary to truly master the system and advanced courses still do not go to the level needed to autonomously manage the system and plans. Professional services are a large part of any cloud based service such as Xactly and I feel a reliance on such paid consulting services is a great money-maker for Xactly.

Already commented in Implementation phases. Generally spoken: Be very well organized, try to use easy comp plans. Think in the most strange scenarios that could happen because it needs to be porgrammed. It will happen in big organizations for sure. Take your time and invest in Administrators. Try to get full time support from Administrators.

Alternatives Considered
Salesforce is better for more extensive and sales-focused companies with more nuances, but it also comes with a hefty price tag. QuotaPath is excellent for smaller teams kicking things off. I would recommend it as a beginner solution or an excellent lightweight solution for sales transparency and payouts to your team.

Our company was using a product called SNL Banker to share incentive data with our sales team. We were using this product for other reporting so it was an easy solution but it did not have any of the calcualtion functions of Xactly Incent. I used Xactly Incent at a previous company, so when we were ready to make the investment in our incentive process, we only looked at one vendor. Xactly.

It's very flexible. In most cases it can be adapted to your needs by programming which may cost extra money. We have a lot of different complans and close to 1.000 employees using Xactly in EMEA. It's mainly used by Sales and Finance

  • I can't quantify the time/money saved but we reduced the amount of time finance spent manually updating spreadsheets for comp statements.
  • We reduced the amount of disputes and issues people had with their earnings and payouts
  • We had 0 errors with deals being missed and not paid out to reps.

  • I am not aware of the company investment, but the overall result is fantastic. Employees visibility to commissions and components of their commissions is great. They have much more accessibility to their numbers and better understanding of how commissions are calculated. They can also review commissions at their convince on the application.
  • There seems to be more employee engagement and satisfaction with the overall commission process and reporting with Xactly Incent.
