Use Cases and Deployment Scope

Xinet is used to house our creative assets (Adobe). It is available to the entire company, but it is primarily accessed by our creative and production departments to store, manage, and share these assets. Additionally, Xinet is the tool we use to track the usage rights of our assets and to ensure that rights-managed assets are renewed or archived so that we are compliant with the usage agreements associated with these assets.

Pros

  • Tracking rights-managed assets. Xinet provides advanced features such as watermarking and expiration notifications.
  • Integration with Adobe. Xinet can be configured to access assets from right within the apps.
  • Desktop integration. Xinet can be accessed by the browser but also as a mountable server volume on the desktop. Unlike Box, Dropbox, etc., the mounted volume does not require consumption of hard drive space.

Cons

  • Limited video support
  • Adobe integration is not as robust as other DAM systems
  • Pricing is rigid and pricing increases have been unpredictable

Likelihood to Recommend

As a legacy DAM system, Xinet is great. But historically they have been slow to develop new features and they have allowed their competitors to take the lead with more modern features like video and digital/social support and more intuitive interfaces. It seems that most DAM companies have a cloud-first view on their storage, while Xinet, which emerged from on-premises servers, has only recently begun to move into that space. That said, Xinet is a niche product perfect for anyone needing to manage large, still photoshoots and rights-managed assets, and then share them with large teams since it is not based on a per-user pricing structure.

Use Cases and Deployment Scope

The last agency I worked at used Xinet to manage client assets (images and video) and clients, partners, and employees were able to access these assets through an online database, which we also managed.

Pros

  • We were easily able to set up security measures, that gave us control over who couls access these assets.
  • Assets were easily searchable through metadata.
  • We were able to control the usage of assets by assigning expiration dates.

Cons

  • For my position, I didn't learn enough of Xinet to truly utilize the whole program, only one or two people in my department understood it inside and out.
  • During my time at the agency, we were unable to get the annotations to work on assets. And that would have been helpful to have to streamline our process of asset quality control.

Likelihood to Recommend

Xinet is appropriate if you are working with multiple clients and partners, and with a high number assets that require certain security measures on individual assets. It would probably be less appropriate to use for a smaller company that handles more manageable assets and that doesn't have the staff available to man a program like Xinet.
