Great company for outpatient OTPT practices

Use Cases and Deployment Scope

We use WebPT for both EMR and RCM. We switched to WebPT last May and both the EMR and RCM teams were wonderful during our switch. Both systems are OT/PT specific, which helps our business stay in compliance with all insurances.

Pros

  • Has helped our business during an insurance audit

Cons

  • Hard stops when a POC is ended, not just Medicare
  • EMR hard stop when 10th visit/30 days in due, not just Medicare

Use Cases and Deployment Scope

In my opinion, WebPT is not the same as it used to be. For me, this system has many issues, including extended lag time, frequent downtime, and inconsistent reports. I have submitted concerns about switching systems, but they are trying to keep us in contract. Unfortunately, it is challenging for me to run a business when your missing notes report is incorrect, your accounting is incorrect, the information doesn't transition over to the billing software, the information doesn't always save, and more. I think there are better systems out there, and I would not recommend this system now.

Pros

  • It allows you to have multiple charts open at once.
  • The standard assessments calculate your scores and allow you to have the patient fill the assessments out in the system.

Cons

  • Customer services, you have to wait for call backs.
  • In our experience, Reports are inaccurate.
  • In my opinion, Templates have too much information with redundant information.
  • In our experience, information doesn't carry over consistently.
  • In my opinion, Accounting and billing for the system is horrible. In our experience, making payments and tracking payments are inaccurate. To me, it seems like you are dealing with two different companies because, in my experience, they don't communicate.

We use the platform for use of billing and documentation within home rehab therapy. Having everything located in one place has been helpful along with the supporting when there has been an issue. The system is easy to use and offers a quick and easy work flow to maximize our time within the office

Use Cases and Deployment Scope

We use WebPT for scheduling, documentation and electronic medical records. It also flows into their partner product, Therabill, for medical billing. This takes care of most of our daily needs so we do not have to have multiple products, which helps keep our system unified and efficient. We do use the digital intake paperwork to save our patients' time. Our patients also appreciate how easy it is to access their information when needed. The electronic benefits verification saves our time when checking insurance benefits, so we are also grateful for that feature. We also appreciate the appointment reminders which minimize no shows and cancellations. It's much more effective than calling patients, which is convenient for our staff and helps patients feel more cared for. It helps give our business a professional appearance as well. Overall, this is a very good product and we enjoy using it in our practice. The time savings are appreciated by both the practice and the clients.

Pros

  • The scheduler is very adaptive. There are options to change colors and textures for different insurances and appointment types with make it easier to differentiate patient types and issues at a glance.
  • Digital Paperwork Intake saves time for both the patient and staff.
  • Electronic Benefits Verification consolidates verifications so that we do not have to use multiple websites.

Cons

  • The transition between clinic locations could be smoother. We are often kicked out of the site and have to log back in during these transitions, which take time.
  • It would be helpful if Patient Info saved as we're working instead of requiring it to be complete before saving.
  • The Quick Add feature for adding physicians in the patient case is nice but it would be more helpful if we were able to add all of the physician information at that point instead of having to go into the physician record to complete it later.

  • The detail in the documentation system has increased accuracy, therefore decreasing claim scrubbing in the billing system.
  • The multiple products offered save staff time and increase productivity.
  • Practitioners are better able to monitor patient progress through notes, documents and reports all being available in the same system.

Use Cases and Deployment Scope

We use WebPT for all our patient files. The EMR is used to collect patient information, track treatment notes, submit follow ups to doctors, etc. We use the billing side to submit to insurance companies, track patient payments, run reports on our clinics, etc. The product helps keep all our information in one system and allows us to easily access the information we need. There is an analytics portal that allows to to track our trends from new patients, cancellations, no shows, etc. We can see what doctors have referred and see when they drop off for a while so we can reach out to them. WebPT is a full service system that allows us to stay on top of our business.

Pros

  • Integrates patient information across platforms of intake, care, and billing
  • Provides easy access to home exercise programs that can be sent directly to patients
  • Provides reminders for patients via multiple avenues such as text, email, and phone calls
  • Gives detailed reports by providers/clinicians, by location, by the company to track business trends
  • Analytics to compare trends easily to previous months and or years.

Cons

  • Online payments for patients without going through a third party affiliate
  • Allow for changes in online intake information at the clinic level rather than going through the company and waiting for their design team to do it.
  • Provide more transparent status of patients in the collections stage allowing for reports to be run as to when those are paid/status of contact
  • Better "tasking" process that allows tasks to be easily cleared once complete on the clinic end. Now if the clinic marks "complete" the task goes away when in reality there may still be work to be done on the WebPT end.
  • Have a better system for adding modifiers to patient billing

Return on Investment

  • Negative - is when a claim sits for over 90 days and isn't worked to get reimbursement. We have had to push for those to be taken care of.
  • The cost for WebPT is expensive, and we pay to have access to a lot of information in one place.
  • We do have improved therapeutic outcomes because of WebPT as we can see what codes are paying better than others and treat them accordingly and appropriately.
