We utilize WebPT's documentation and billing software for our Speech Pathology practice. There are limited EMR's that support Speech Pathology and provide add on features such as billing and AI supported documentation.
Pros
Sales process is very thorough and explains all services clearly.
Course that train on each component that you purchase are easy to follow and understand.
Friendly Staff
Cons
Once the product was purchases, I was not contacted. After 2 weeks, I contact them to get the process moving.
Poor support by my lead consultant. Missed meeting, poor follow through. I ask for someone new and the manager acknowledged my request but did not follow through.
Training and documentation lack SLP specific content.

WebPT is well suited for PT's for documentation. With adaptation by the SLP, it will work well for SLP's. Well integrated systems. All needs can be met by one company.
We used WebPT as are EMR for in-clinic use for our specialized PT clinic. We utilized it for scheduling, documentation, HEP's and RTM. It helped organize everything into one concise location. All therapists, not dependent on discipline, were able to access patient charts, information and update on a day to day basis.
Pros
One concise location
simple format
updates
Cons
0 had some functional errors in terms of staying up
was not a fan of the long scroll in 2.0
more of 1.0 version

From my experience, I think most outpatient clinics could benefit from WebPT. Especially if you are unspecialized and general, it is a clean and simple format to utilize for day to day patient care. I am not sure on the higher end of clinics because it can be hard to fit the scope of what you are doing in some of the treatment tabs or any other setting is outside my scope.
WebPT is used in our current practice consistent of physical therapy, occupational therapy, speech therapy and chiropractic services. The system in itself is easy to use and navigate through. There are some challenges that are encountered on a daily basis. Chiropractic is a separate LLC so we constantly have to toggle back and forth between clinics which causes the system to often freeze. We also use therabill which is included in our WebPT package. We’ve had 3 instances when the notes did not automatically cross over causing a delay in billing. The therapist has to go back into the note each time and add an “addendum”.
Pros
Easy Scheduling
Reminder of pending notes
Comprehensive with built in macros
Cons
Creating a balance when a patient pays a partial copay
Ease of data transfer from one clinic to another
Cancelling all future appointments for one patient if needed
Likelihood to Recommend
WebPT is well designed for some areas of rehab but not well suited for others. Speech seems to be a challenge for this type of EMR. Perhaps not the best type for this discipline due to limitations. For the other disciplines, it would be nice if the system suggested only specific tests per diagnosis code rather than all available tests in the EMR
We previously utilized WebPT, primarily in the outpatient orthopedic Physical Therapy setting. The business problems that WEBPT mainly addressed were scheduling evaluations and follow-up appointments for patients, utilizing WEBPT as a medium for producing SOAP notes and documentation for each patient case, as well as for billing purposes.
Pros
Scheduling Appointments.
Concisely displaying patient cases.
Ease of use. while writing SOAP notes.
Cons
Ability to see when progress notes are required.
An online attachment for Therapeutic Exercise Inclusion.
Templates for constructing patient evaluations.
Likelihood to Recommend
WEBPT is well-suited for practices with higher volumes, primarily in an orthopedic-based outpatient setting, where ease of use is crucial for ensuring accurate and efficient documentation display. This also helps clinicians and front desk staff organize appointments and initial evaluations. WEBPT would be less appropriate in a lower-volume practice or setting where there is limited staff.

We use WebPT for scheduling, documentation and electronic medical records. It also flows into their partner product, Therabill, for medical billing. This takes care of most of our daily needs so we do not have to have multiple products, which helps keep our system unified and efficient. We do use the digital intake paperwork to save our patients' time. Our patients also appreciate how easy it is to access their information when needed. The electronic benefits verification saves our time when checking insurance benefits, so we are also grateful for that feature. We also appreciate the appointment reminders which minimize no shows and cancellations. It's much more effective than calling patients, which is convenient for our staff and helps patients feel more cared for. It helps give our business a professional appearance as well. Overall, this is a very good product and we enjoy using it in our practice. The time savings are appreciated by both the practice and the clients.
Pros
The scheduler is very adaptive. There are options to change colors and textures for different insurances and appointment types with make it easier to differentiate patient types and issues at a glance.
Digital Paperwork Intake saves time for both the patient and staff.
Electronic Benefits Verification consolidates verifications so that we do not have to use multiple websites.
Cons
The transition between clinic locations could be smoother. We are often kicked out of the site and have to log back in during these transitions, which take time.
It would be helpful if Patient Info saved as we're working instead of requiring it to be complete before saving.
The Quick Add feature for adding physicians in the patient case is nice but it would be more helpful if we were able to add all of the physician information at that point instead of having to go into the physician record to complete it later.

We have found that WebPT is well suited to all of our scheduling and documentation needs, including patient onboarding, initial evaluations, plan of care, note taking, billing, coding, and communications with colleagues and patients. We are satisfied with most aspects of the platform, except the reporting and data analysis tools. We appreciate the report options, such as the Lost Patient Log, Missed Notes, Plan of Care Log, and Ending Authorizations, but they are not robust or integrated enough. If these features were upgraded, we would be fully satisfied with the platform.
I use WebPT daily as a PT for documentation. It is an easy platform for our clinic to use and everything is streamlined with patient charts as well as scheduling. It allows for easy communication between front office staff and clinicians with the messaging option. For documentation purposes, everything is organized, easy to learn, and I enjoy that information is carried over from note to note to make documentation quicker and easier. I would recommend this platform.
Pros
Organized documentation
Easy billing
Organized scheduling options
Cons
Often lose connection and it will be down for hours
Tasks is confusing at times for new users
Allow for more specific questions on patient intake to be uploaded to initial evaluations
Likelihood to Recommend
WebPT is great for general PT clinics, especially for outpatient clinics. It would not be as useful in a hospital setting for documentation as some EMR systems like EPIC allow you to access more medical records. All medical records need to be uploaded manually to WebPT which allows for some things to not be included. It is very helpful and easy to use in an outpatient setting for fast documentation.
I use it for physical therapy documentation of initial evaluations, re-evaluations, SOAP notes, and progress reports. This product flows directly into my billing software which is ultimately much quicker and faster. It allows for everything to be consolidated without extra paperwork.
Pros
Comprehensive software
Flows into Therabill
Allows for quick clicks and additional information if needed
Allows for easy searching of icd-10 codes
Cons
Go back to smart texting
Pulling up patient information
Improve visibility of number of treatments
Less outages and maintenance of the software causing unnecessary downtime/no access
Likelihood to Recommend
Relatively easy to use. Able to enter your own information as needed. It could auto populate more common statements to make it faster.
Gave it a 7/10 because of the frequency of outages. Has improved recently. However, there are times when I am unable to access my notes and schedule all day. That causes unnecessary disruption in my workplace. Software like this should be consistently reliable.
We used WebPT as our EMR system. We also used WebPT's billing services as well. We are a small physical therapy office, and the software was meant to help us manage our patients, fax updates to their doctors, submit billing to insurance companies, and to follow up on claims as they cleared or denied. Over roughly 12 years of use, the quality of the EMR remained fine, but the quality of the billing services decreased so sharply that we had no choice but to switch services.
Pros
Thorough and secure medical records
Learning curve on documentation, but mostly provider-friendly
Claims sent quickly
Cons
In my opinion, little to no customer service
In my experience, billing team can take upward of 2 months to reply to questions
ERAs often applied incorrectly
In my opinion it's VERY expensive
Likelihood to Recommend
WebPT would probably be great for a large, high-volume clinic where therapists are seeing such a high volume of patients that billing mistakes/delays don't have as big of an impact on the bottom line. A clinic with a dedicated billing team would also probably do well with WebPT. For a small, independently-owned clinic with 3-5 therapists and 2 full time front office staff who also are managing scheduling and other clinic duties, in my opinion, WebPT is not a good system: they make too many mistakes, response time is too slow, and the clinic does not have the permissions to correct mistakes themselves.
We use WebPT as an EMR in which our physical, occupational, and massage therapists are able to store patient information and records, schedule patients, write notes, and analyze performance, treatments, and visits.
Pros
Ability to store patient information, PMH, and electronic documents in a concise manner and the ability to add additional notes and descriptions to the account.
Scheduler is easy to manage - schedule patients, add providers, move the order of providers, quick links for patient (i.e. update status like check-in / no-show / cancel, make a payment, get to account, etc), color code visits, track # of visits per provider for each date of service.
For what I need to do in the accounting department, I like how I can print out the daily schedule with ease, the color coded dots next to the patient name to indicate whether a note has been started, in progress, or completed, print out payment logs.
Adding insurances and medical providers is easy and stress-free.
Our PS likes that they can fax reports from WebPT to doctors and adjusters with ease (aside from the occasional glitches).
Cons
I know there is WebPT University, and even though we have been using WebPT for just over 2 yrs, I do not feel I know how to utilize WebPT to its fullest capacity - analytics, functionality. Perhaps there could be a topic of the month that pops up and if it interests a client, you can click on a "learn more" button or something to learn the details of how to use that feature. I believe WebPT has tons of good features but when you are so focused on just getting the work done, it's hard to make time to learn new aspects, even if it can make your job easier.
Sometimes when I am in the patient's account, I need to see some of their patient info and to see it, I need to click on that tab and then come back to the Records tab or have 2 tabs where I go back and forth to check patient information. Would it be possible to have a feature where you could be in the Records / notes section and hover your mouse over a tab to see a quick snippet, like a quick view, of the other tab. It might be a lot of work to develop but just a suggestion.
I'm not sure on how this could be resolved but we do not use the flowsheet section when writing the SOAP notes to list all of the exercises and activities that our patients perform. A large percentage of our patients are workers' comp patients and they are often here for > 1 hour, up to 2 sometimes 3 hours. It is too time consuming to select 50+ exercises on each note and write the set/reps for each. Even if you pull a note forward, you can't do a side by side (date by date) comparison or quick review of the patient's progress without going into each note. We use our own template to list the exercises, dates of service, and the reps/sets (or notes to HOLD or discharge as appropriate) and then upload the spreadsheets as pdfs into edocs. It would be great if WebPT could add a feature like a spreadsheet where the therapists can log exercise info straight into WebPT so we don't have to keep an external chart and upload it. Then when the claims are sent, you could select the specific dates or date range that you want to release or send with the SOAP notes. Obviously, it wouldn't be for everyone but for clinics with lots of therapy happening, it would be a HUGE time saver for us.
This is a suggestion and I'm not sure if this is already a possibility as I am not fully aware of all of WebPT's capabilities. On the home page where it lists the agenda for the day / list of scheduled patients, we are able to see if notes have not been started, in progress, or completed as indicated by a colored box. Someone at our clinic goes in weekly and makes a list for all the therapists to finalize all unfinished notes. Can there be a feature to run a report based on a specific date and date range and list patients who have unfinalized notes? This would be great instead of having to check for every date of service and scrolling and writing down all the patients, a report could be quickly generated of the patients with unfinalized SOAP notes.

WebPT is a great EMR. I have used a couple of different CRMs in the past, and similarly, it was easy to navigate WebPT for me on the medical aspect side. Our previous database was custom made for us so we were a little spoiled as to changes being made as we suggested or needed it to be. WebPT is excellent at all the patient information storage side - recording demographics, documents, scheduling, and note taking. There were a lot of hiccups for a while where we were not able to consistently able to fax out, access files, upload documents, print SOAP notes, or experienced downtimes / inability to access WebPT in general while updates or data transfers were going on. Most of the downtimes were outside of our clinic hours but being in Hawaii has its ups and downs in regards to having access to assistance up until 6PM Hawaii Standard time but also a lot of bugs are usually worked out by the time we login for other issues. I do wish the Analytics capability was stronger at pulling specific results / isolating specific measures that we are are looking for to analyze certain CPT codes, types of treatment performed, average units billed, analyzing data during specific time periods, etc.
