Use Cases and Deployment Scope

Our Foundation uses Submittable to manage our grant administration processes for two external grant programs (and one internal program for our employees). Before using Submittable, our application process was manual, with a high administrative and IT support burden. Since making the switch to this platform, our efficiency has increased significantly.

Pros

  • Easy to use! Resulting in confidence and independence when using platform.
  • Exporting reports to Excel files makes internal data sharing a breeze.
  • Tech support for grantees frees administrators from resolving issues on their own.
  • Automatic and customizable communications with applicants and grantees.

Cons

  • I'd like to see applications that are in process but not complete.

Return on Investment

  • Time is money! Submittable has eliminated many tasks I used to do manually, thus freeing my time for other work.
  • Decreased support calls and emails from applicants- Our applicants are able to successfully access and apply for our grants.
  • No internal IT support needed to use this platform. That team is able to focus on their larger business projects and needs.

Use Cases and Deployment Scope

We use it for multiple things: grant application submissions, our state film incentive applications, and reporting needs. There are multiple grants opportunities and it keeps track of them in different folders, so it's easy to keep up with what we have going on and how many people have jumped in.

  • Reporting can be a bit clunky
  • Personalized graphics on submissions
  • Requires all users to create an account...can be a bit annoying

Use Cases and Deployment Scope

I used Submittable to manage a portfolio of grant programs and projects that are used to fund innovative programming across Tennessee. These projects are focused on increasing student success and enhancing innovative practices in higher education. The projects have varying terms, objectives, scopes, and funding amounts. The Submittable platform allows for management, review, tracking, and archiving of these projects.

Pros

  • Drag and drop form creation.
  • Customer services.
  • Quest to update and provide the best experience.
  • Attentiveness to my perspective as a customer.
  • Ease of use and easy to adopt/learn the system.

Cons

  • Allowing of sharing of project across users.
  • The internal role differentiation could be more robust.
  • Changing/updating original submissions are not as intuitive as initial creation.

  • I can get things inputted into Submittable fast - much faster than previous tools.
  • Our end users are reporting to very much enjoy the look and feel of the platform.

Use Cases and Deployment Scope

We use Submittable to gather and review grant applications. It allows us to have a secure platform to communicate with applicants, send documents, and we can easily search applications using many different criteria.

Pros

  • We can receive documents from applicants in a secure way without having them be downloaded to our computers.
  • Submittable emails you directly when someone emails through the platform which is extremely helpful.
  • Submittable allows us to have many different forms on file to easily send.

Cons

  • It would be nice if you could send an email through the platform and attached a certain application to an email not listed on the application.
  • I wish you could change the search within applications rather than just by the applicant's name.
  • I wish you could have different file folders where you could put applications to separate them after they are complete.

Return on Investment

  • It has saved us so much time because applications can be easily reviewed.
  • It has allowed us to monitor applicants - making sure replies are done in a prompt manner.
  • Occasionally emails with attachments are lost in the system which can increase the number of email communications.

Use Cases and Deployment Scope

We use Submittable for our CSR programs, including grants management and employee volunteerism. Our national grants program launched in Fall 2023, and it was seamless to set it up on Submittable. We also host an open employee relief application that works well for our users. We began using the employee volunteer platform in Spring 2024, and have been happy with it as well.

Pros

  • Easy to use as a grant reviewer and as a grant applicant.
  • Strong reporting capabilities.
  • Excellent support team.

Cons

  • We are some of the earliest users of employee volunteerism, so there have been some things to work out. However, because of that, we've gotten a lot of one-on-one support to help make minor tweaks to the system in a way that works for us.

Return on Investment

  • We were able to launch our first-ever community grants program on time, and received over 300 applications (we were anticipating ~50 in our first year out.)
  • This has substantially improved our application and tracking capabilities for our employee relief fund grants, and ensured we are following IRS guidelines.
