Use Cases and Deployment Scope

Payroll, Payroll Tax, HR, and Performance. We are consolidating everything into one system We are focused on HR files and conduiting performance reviews and year end reviews all in one secure location. We are using the onboarding system to streamline on onboarding and off boarding process where we hire a lot of seasonal help.

Pros

Excellent call in customer service.
When they demo a product, they effectively relate it to your business situation.

Cons

We had a difficult time post conversion with connecting to Ascensus. Paylocity was sending payroll files, and Ascensus was not receiving them because of the timing of when Paylocity sent the files. We are still processing our 401K manually because we do not trust Paylocity.
Our Director of Finance was receiving default notices on his 401 (k) loan due to the file transfer issue. We were deducting the contributions and loan payments, but the file transfer was not connecting to Ascensus.

Likelihood to Recommend

You process payroll and the system is pretty easy to use. We are going to be adding a few modules so I will see how that rollout goes from Paylocity. I find myself fixing and researching issues that come up. It is a new system for us so I am flexible. Your customer service is good at helping out.

Use Cases and Deployment Scope

We use Paylocity: Payroll processing, time & labor, ATS, on-boarding, benefit enrollment. It solves the manual and paperwork of the majority of these processes. For example, by utilizing the payroll product we don't have to calculate employee/ employer taxes, write checks. We don't have to remit withheld taxes to the respective agencies.

Pros

Customer service representatives are kind and professional
Data insights is a nice feature

Cons

Report writing leaves a lot to be desired. Of the canned reports, there's probably 4 or 5 that provide useful data that we then have to spend 40 mins to an hour editing down to the information we need. We then have to have Paylocity assist with writing custom reports.
Benefit module is clunky. And only the benefit census report provides useful data? We can't pay Paylocity to write us a custom report? There a cryptic email received when an employee makes a change
There's A LOT of steps to make employee changes ie: a promotion with pay increase or a new supervisor has new direct reports.
More streamlined notifications or ability to customize who received what.
It would be helpful to have more assistance available regarding tax setup/ resolution

Likelihood to Recommend

I think Paylocity is good if the company has less than 200 employees. If their not very complicated for example, most employees are salary and there's not a lot of variation in tax setup. I'd recommend benefits if there's not a lot of changes year over year and they have an uncomplicated benefit offering/ structure.

So we use it to input employee data to verify or check information. Also for our onboarding and recruitment process, our staff are really starting to engage it as far as giving out rewards or announcements or information or just giving employees kudos. But we're constantly checking it for data that we might need for various reports and information along with processing payroll. So daily it's open all the time.

Pros

I think it communicates as far as time and attendance, recruitment, onboarding, employee data very well in comparison to some systems that I've used in the past. It's not fragmented at all. I feel like it's very streamlined.

Cons

I don't know if I have any immediate cons. I think they're constantly improving the product. So when there are suggestions made, you see changes? I think when new features are added, it takes a minute to get accustomed to the new screen or what it looks like and how to find the things you're looking for. But overall, no specific cons.

Scenarios to where it's well suited, like I shared, recruitment and onboarding, selection of staff, and then generating data if it is analysis of salary, compensation, all of those things. Our data insight reports.

I have been using this as a full comprehensive HR system, right from the onboarding process to recruitment to doing payroll and benefits workflows and documents as well as time cards for all our staff. Were using it for performance reviews, the whole gamut that our company did not have a comprehensive HRI system. So you were using Paylocity for that.

Pros

It integrates a lot of systems that we had that were at different places, so we had to provide training to staff and now they just go to one portal and they're able to easily navigate from one to the other on the same place.

Cons

We have been talking to Paylocity customer support. We have some issues with workflows and documents. Sometimes it's a little difficult to navigate. We have issues with putting in the documents. And then recently we're struggling with scheduler plus something that the YMC is really used for scheduling for our aquatic staff shifts, requesting shifts, getting off shifts and we're struggling with that. And I know Paylocity is saying that it's going to take two to three years to work on that and we're working to make the best use of it and we're struggling with that, but we're hopeful that things will resolve and get better and I know that there are otherwise that they are struggling with that, but they use it differently and we have some other struggles so we're trying to navigate around it.

Likelihood to Recommend

I would say it's as somebody's looking for a comprehensive onboarding and recruiting plan, it integrates with a lot of other products that other payroll companies do not. And I can give you clear examples. There are a lot of rewards and recognition programs. There are a lot of culture building programs. One thing that comes to my mind is predictive index. Predictive Index integrates with Paylocity if we want to assess incoming candidates with assessment and it integrates right into Paylocity and I know other payroll companies do not. So I really love that feature, our benefit enrollment company, which is why benefits integrates with Paylocity and that really makes work easy for me as an HR person and makes it easy for my finance department because things integrate together. That's a big benefit.

We just are going to be implementing the recruitment phase. We started out with just payroll. We added the HRIS, we added the time sheets, went from there. We basically use it for everything. We also use the expense module, the learning management system, the performance management system. I said the time sheets and everything as well. We don't use the benefits systems currently, but that's kind of what we do. All of our HR stuff is generally done through there. We also recently, so since we started the onboarding, now everybody is digital online and then we also scanned and uploaded all of the personnel files that were not already digital and have them in their Paylocity files as well.

Pros

We really like that it's kind of all in one place. We really enjoy that.

It's great because there's also an app that our staff can use. It's pretty simple, especially for the clock in, clock out feature, things like that. They can download their W2s right from their app or from their desktop if they prefer, et cetera. So it's really user friendly.

Cons

Right now you cannot assign an annual training in LMS unless it's specific to onboarding. So I'd really like to be able to assign, for example, we have to do a HIPAA training every year. I'd really like to be able to assign those to my staff automatically and not have to set it up through workflows to set it up into LMS, which is kind of the workaround right now. I'd like it to be available in LMS directly. You can set up annual trainings in LMS directly right now, but it has to be associated with onboarding, which is only good for the first month that they're there.
We are a semi-monthly pay structure and so our salaried employees, we have many different labor allocations. They don't transfer over correctly. We have to manually intervene every single pay period for those staff. It takes a lot of time. It's about two hours out of our time each time. I would really like those to be able to have the system to be able to look at the time sheet, look at how much they're being paid per hour, and then be able to transfer it over automatically.

I have recommended this product. I've been on some calls with some other organizations who are thinking about switching to Paylocity to let them know of my own experiences. So I have recommended this product before. Well, it probably just goes back to the same issue that we have with it being we are a semi-monthly payroll. So that means that it's not always the same amount of hours work per pay period. And so it does provide some of those issues of reporting and actualities in the labor distribution section. So that's kind of my issue right now.

I think Paylocity is a great product for small to mid size organizations. The platform itself is friendly user compared to other HRIS. Their customer service is great, but at times it feels like some of the reps are thrown into situations/questions out of their expertise and cannot provide the best resolution to an issue,

We have had Paylocity for about a year and use several products of there’s including payroll recruitment community learning performance and employee voice. We have really found the tool to be very user friendly and super easy for our team to use. Our Rebecca Bell our sales person is a rock star and Stephanie who helped with our integration was amazing. Highly recommend this product to others.

Use Cases and Deployment Scope

Paylocity has been a huge advantage for our organization to optimize and centralize our HR processes and employee accessibility to information and learning. We use the HRIS for recruiting, performance management, survey management and engagement, mass communication, and onboarding. Our scope of use is very broad and we have enjoyed being able to utilize this platform in a variety of ways. While we do not use it to process compensation or benefits, it's been a huge convenience to locate information in one place.

Pros

Recruiting- being able to quickly access and update statuses on candidates across multiple applications and roles
Easily assign workflows and fillable forms for annual processes
Facilitate a smooth onboarding experience for new hires

Cons

Paylocity is not structured to support 2 to 3 levels of management for various processes that require approval on multiple levels in our organization. For example with evaluations, we would love to see the option to assign a notification and approval to a 2nd level leader
Accesses and updating leads and consolidating candidate profiles would be convenient to avoid overlap in tracking applicants, especially for future outreach.
