Use Cases and Deployment Scope

We use Paycom as our HRIS and payroll processing company. We use Paycom for all tax processing, leave management, and benefit management. They process our WOTC and accruals. We utilize the report writer function to process benefits payments, track points and time for hourly employees, and manage other HR tasks. We use Paycom for all our needs except our learning management system.

Pros

Process our payroll.
Organize our leave management.
Applicant processes through the applicant tracking.
Reporting for accruals.

Cons

Getting your specific benefit specialist on calls.

For our company's needs, Paycom has been our source for 10 years. In the five years that I have been administering the payroll and benefits, the system has steadily improved, and the customer service I have received has been wonderful. Paycom has been instrumental in supporting its clients.

Use Cases and Deployment Scope

We use it for payroll. We use it for org chart. It's our HRIS system to onboard. So we use it for recruiting, onboarding, some training and payroll.

Pros

It's easy for employees to use in terms of requesting time off, knowing their schedule, being able to see their pay stubs

Cons

We need to learn how to use the various modules better so that it's a one-stop shop. I think there's a lot that the system does that is not easy to integrate, so it does require a little bit more advanced knowledge.

Likelihood to Recommend

I think it's well suited for an organization that has, I think we have a small staff of 100, but I think it could scale up, so I think it's well suited for organizations of all sizes.

Use Cases and Deployment Scope

Using the full suite allows you to have all of your information in one place. Allows you to help employees and streamline all of their employee lifecycle in one app.

Pros

I think you guys do very well. The ATS Applicant Tracking System: Amazing. Have no complaints with it.
Another one that I think would do really good to mention is your employee record. Like all of the information for the employee, that's really good too.

Cons

Certification management needs a lot of improvement, especially in the industry that we're in. Performance management needs a lot of improvement is very repetitive or it's prone to allow with one single click assignment of performance reviews to everybody. That causes a nightmare because people have already taken some of the reviews for that year or it's assigning it to all of the supervisors and it is assigning employees that don't even report to them. It creates a nightmare with just one click. So that would be something to improve.
Your reporting capability. What I discovered is that while it is strong, it could be better because modules should speak to each other as far as combining information to see all of the information that you have from beginning to end. It doesn't do that.

I think it is well suited for the new supervisor because the new supervisor can be able to learn how to see employee information with time sheets, with performance management all in once a week. So it works great for a new supervisor. Once that supervisor gains certain proficiency in the system, then it becomes a little harder. They start seeing the holes.

Use Cases and Deployment Scope

The program helps us go from a manual process to a more automated process in helping to attract and retain our candidates. It's an easy platform for our managers to use as well, and so they've been very good in providing us with training modules for staff and for our managers to learn how to use the product. So that's been very helpful.

Pros

I think it does very well in helping us review the candidates qualifications and skills and abilities so that it saves us time and making sure that we have the most qualified candidates come through the system.

Cons

I think we probably would like to have an opportunity to provide some questions that the candidates could answer beforehand, so that would be a nice feature to have.

I used it approving time. For me, I personally, in my usage of it, I don't have a problem.

Pros

I would say emailing when someone submits a time off.

Cons

IIt seems pretty straightforward in the way that I use it. Right. It's just more monitoring and logging in as a client is pretty straightforward. Logging in as an employee is pretty straightforward. Navigating the different prompts for compliance. In terms of, again, for my personal use, it seems pretty straightforward.

Likelihood to Recommend

I would say more on the accounting side, back end administrative pieces. Maybe there's a gap there based on the conversations I'm involved in. But since I'm not the user specific for it and I just more log in to do approvals, I do see, and I am going by memory, the prompts where it's like you are waiting for certain items to get approved. Something with compliance, there's an update for, there's no information coming out. So in that scope of work for me, it's there. I just have to click. So that seems pretty easy.

So many layers. How we use Paycom at the organization is we use it for timekeeping to submit payroll and we also use it for talent management. So onboarding background checks. We don't use the full recruitment cycle though. Additionally employees use it for PTO requests to view their benefits. We also use it for open enrollment. What I use it for specifically is for HR functions. So again, talent management, which includes open enrollment as well as onboarding and talent acquisition, which only includes the background check portion.

Pros

The current specialists that we have works particularly well in addressing concerns that we have down to how we can go about resolving those concerns as well as offering other solutions.
It seems to be very easy for our employees to use it on their end.

Cons

We wish that Paycom would offer more hands-on help. A lot of our specialist is great in helping us to resolve whatever issues that we have. However, it's just a list of steps to get there. It's not necessarily like, "hey, here you go, here's the resolution to your problem." So if we don't already understand how to do something, providing steps doesn't necessarily clear that understanding up or provide any clarification.
Additionally, I find that for our organization in particular, we have specific niches within it that Paycom doesn't really address or has any solution on how to address it. It just remains unresolved to this day and we continue to have errors in that area.

Likelihood to Recommend

I think Paycom would be well suited for an organization that has many departments where they can kind of handle the different various issues that have occurred with ours and maybe for a larger organization that has those bigger departments where more people can be more hands on in resolving those issues that I mentioned.

I would just mainly say accuracy of payroll. We have people that are remote contract, some people get bonuses, some people don't. So it does a really good job to make sure that if it's a non-exempt or a salary person, it's really user-friendly and really smart. It's very easy for our managers to use. That was a big deal because we've always done it the old way on paper, but that was very good as well.

Cons

I would say the performance management piece, it's not as user-friendly. We used to do it one time a year. Now that we've changed doing it three times a year, it hasn't been as easy. I think we still have that part open so we can access them, but we're currently, since the last year and a half, haven't been using that product. Maybe if we might not be using it correctly or there's been some changes since, that would be something I'm for sure our accounting manager would be interested in.

I know I keep using it, but I think just working in a company where you have all different roles, different departments, it makes it super easy to do payroll.

I think lot of our efforts right now is to automate a lot of work. So I think Paycom is been really helpful with the employee self-service side and helping staff enroll in benefits and fill complete forms. We do enrollment forms online as well, so it's really helping us cut down on increased efficiencies, cut down on administrative work for the HR team

Pros

I'd say one thing I really like is the customer service is very responsive. So we have a specialist and she's very responsive. If I send her an email, she responds within an hour, and there's always someone you can pick up the phone and call, even if your specialist isn't available, you'll talk to someone else on the team who can help. I think Paycom is helpful. I think employees find it helpful for going online, looking at their pay stubs, enrolling in benefits, open enrollment time, also new employees helping them get set up. I think it's really helpful for them to be able to just go online and enter all their information. And we recently started doing the E-Verify through Paycom as well, and I've taken a few webinars, trainings of Paycom too. Those are sometimes pretty fun. And I recently did the EEO-1 reporting, so I thought that was really helpful, just the way that you can just export all the data, set it up in Paycom, export it, and it easily, there's no issues uploading it directly into the EEOC website. So I thought that was a pretty smooth process. I've been doing it for a while, but this year I've done it a few times now, so I just feel like it's just really easy.

Cons

I think sometimes there's parts of the system where you have to reenter information, different places for it to show. For the EEO one report, the job category has to be entered on form three, and then it has to be entered under the position. So sometimes it seems like you have to do multiple entries or multiple, complete multiple steps to get to where you want to go. So I think that that's sometimes can be a little frustrating just because it's not as efficient as you'd want it to be.

Likelihood to Recommend

I think it's helpful for mid-size companies or organizations to manage their workforce. I think maybe not the best for larger companies because it's just, I don't think Paycom is trying to target that market. I can't think of anything else.

So we use most of the full suite. There's a lot of good and there's quite a bit of bad. And we've been working with you on the bad stuff.

Pros

The user app for the front end employee self-service is really nice for our users.

Cons

I think you guys can definitely work on building out a better integrated structure.

So we use it obviously for payroll. It's also our Human Resources Information Management System. We use it for performance management for basically everything that related to performance management. So from not just the reviews, but also discipline counseling forms. We have participants. So we're pretty much there reporting their attendance or their absences on the “Ask Here” feature. So we're using “Ask Here” back during the height of COVID, we were using Clue to track results vaccination. We use it for pretty much everything. And anything track Paycom learning, yes, we just use it for everything. Everything. Onboarding, everything.

Pros

It's a centralized place for everything. For our onboarding, so we're using applicant tracking also. So it took our one-stop shop pretty much. So it does really well that it's up to date with the state regulations. It updates, nobody due. Onboardings are all done through Paycom, so we don't have to worry about a lot of the federal forms because those are updated automatically through Paycom. You don't have to be sending anything. So as far as they're doing well, they're up to date with everything that's no legal and trends, everything.

Cons

So there are certain things when there's an update, we don't know that there's an update and we just realize, now there's certain things are changed. And sometimes the accessibility is like you have to go back and change the permission profiles. Other things, I don't know, maybe it was just we get so used to using things in a particular way when there's an update we have to relearn. It's not like a big shift, it's just knowing.

When I call, even if we can't get through our payrolls specialists, there's somebody also within the team that can always troubleshoot. And I've had a specific experience with a particular report that I wasn't able to, I kept pulling the report and pulling the report and I was just not getting the results. When I called our rep, the person that I got on the phone, she was very persistent and she didn't give up. She didn't, because a lot of times I called somewhere and it's like, okay, let me just take them the notes and get back to you. But this person was okay, no, we're going to figure this out together. She figured out the report, I feel like the customer service, that the aspect. Okay, we're going to follow through.
