Okta Workflows (Azuqua) Keeps Your Company's Websites Safe

Use Cases and Deployment Scope

We use Okta Workflows (Azuqua) to house all the apps/websites that we use on a daily basis. It helps us keep our passwords and company save form hackers. Also it helps us in password protection so we don't have write down all the passwords for the programs we use every day.

Pros

  • Password protection
  • Quick and safe access to our programs
  • All our programs are accessible in one place

Cons

  • Sometimes the access if off and you have to log in a few times
  • Sometimes it picks up non-work website and add it to the list of programs but you can always delete those
  • A few times it picks more than one password

Likelihood to Recommend

When it verify that you are the authorized person to be using your company's programs. Saving all your websites in one safe place to help in password protection which is very important and necessary for cyber protection.

I really don't have any less appropriate ones other than when it added non-work related websites you may have visited.

We use it to keep record of customer's accounts, the contact each customer mades when he reaches out to us, to created cases related to customer contacts, which are typically about concerns or issues they experience, we use it to take chats, calls, emails, etc.

Pros

  • keep record of customers
  • take calls and chats, emails.
  • good aplication to combine different tools that we use on the worksite.

Cons

  • Sometimes it lags.
  • When connection is lost is difficult to get connected again, need to re-upload page multiple times.

Likelihood to Recommend

It is very good for taking contacts of customer and keep it as a record base, I think it wouldn't be as light or simple to use it as a application for creating leads or a sales company.

I use Okta for single sign-on. This is a very useful application for us so far. We are using multiple tools, software, and applications that are listed/added under Okta which gives us a seamless login experience.

Pros

  • Single Sign On
  • Ease of use

Cons

  • Sometimes single sign-on does not work. Not sure but they can work on providing alternatives.

Use Cases and Deployment Scope

We are currently using Azuqua to make an automated connection between Smartsheet and our Dynamics 365 CRM. Azuqua pulls data from each, verifies, then updates. This allows our other departments to freely share information with sales and for us to leverage CRM for customer service needs without requiring manual modification.

Pros

  • There is a customized help button for each card that gives details on what it does and sometimes examples of what it should work like. This helps decide the best way to accomplish the business problem.
  • During the trial period and for accounts at higher subscription levels, Azuqua has dedicated assistance people who will screen share or email you examples to help work through points where you are stuck.
  • Azuqua integrates cleanly with many software applications. We are only using it for two, but the possibilities are endless for what you can accomplish with it.

Cons

  • The help and community features are lacking depth and sometimes don't quite work.

Likelihood to Recommend

Azuqua is well suited to connect data based systems or to add an extra level of automation to Smartsheet without requiring the control center. It is also well suited for people who don't have in depth understandings of programming. The UI is mostly visual with click and drag systems instead of requiring manually entered variables.

Azuqua is being used by the IT department to automate tasks primarily in Smartsheet. In addition, there are many limitations in Smartsheet, so Azuqua provides a background extension to Smartsheet functionality (e.g.: automatically cleaning out old discussions/comments, providing cell update timestamps, and other tasks using webhooks and API calls).

Pros

  • Azuqua provides an amazing amount of flexibility with the various actions and functions.
  • Integrations across dozens of platforms
  • A Design Desk that will assist you in building complex Flo's

Cons

  • The learning curve for new users can be a bit steep, so more video tutorials would be great
  • Advanced design webinars
  • Additional usage tutorials and examples

Likelihood to Recommend

Azuqua is well suited for scenarios where you need to either connect to applications or automate tasks in another. Azuqua is not well suited for non-technical individuals.

Azuqua for Smartsheet

We're only using it within our department. The primary use case we had for using Azuqua was to consolidate Smartsheets. However, because we were kept adding to the number of Smartsheets we found Azuqua could not easily scale and therefore we have abandoned this use case. Our second use case was for 1-click update requests. This is where Azuqua is extremely beneficial as it is saving a lot of time in creating the update request. We have to send out multiple update requests based on standard wording but having to create those manually is very time-consuming. We can now check a box in Smartsheet and Azuqua will automatically generate and send the update request.

Pros

  • Repetitive actions which are fairly static i.e. do not change much. Once the work flows are set up they can be forgotten about.

Cons

  • Where there are constant changes. Using them for consolidating sheets where the fields in the sheets may change and new sheets are added starts to introduce a whole level of complexity which to be honest negates using Azuqua.

Use Cases and Deployment Scope

I am utilizing Azuqua to handle information flow cross-functionally both within my department and team. The flexibility, easy learning curve and depth of the product saves many hours of "busy work".

Pros

  • Cross-Platform: Huge strength is Azuqua's ability to connect data from multiple software platforms. This allows us to use existing technologies with new ones.
  • Workflow: Azuqua can handle very robust automated workflows that we use often to hold if/else etc. We can solve multiple swim lane workflows in a single Azuqua FLO.
  • Intuitive: the interface is sleek, easy to read and intuitive in design.

Cons

  • Support: Immediate help is hard to get as you need to submit a ticket and wait. This often times slows down the design of FLOs.
  • Help: Not great, if any, documentation on how-tos.
  • Forum: Not a great forum around to see how others are using Azuqua.

Likelihood to Recommend

Azuqua is great at collecting multiple data sources based on many criteria into a single FLO. It can process complex multi-team workflows in a single FLO.

We implemented Oracle Cloud and we used Azuqua to integrate Salesforce with Oracle so that we could pull in invoice information.

Pros

  • The user interface is great and makes sense.
  • The customer support was amazing and was key to us being able to utilize Azuqua.
  • It allows a non-engineers to manage integrations.

Cons

  • I wish it had an out of the box integration with Oracle. We had problems getting the files into Oracle.
  • I wish there was a place that we could save files onto so that we could pick up the files as needed.

Likelihood to Recommend

Azuqua is well suited to allow non-engineers to manage system integrations. Azuqua can be hard if the integration gets too complicated. It was difficult to train users on the complicated FLOs we built.

We use Azuqua to integrate multiple systems including Workfront, GitHub, Slack, etc., to support a handful of processes including ticket issue creation and reminder messages.

Pros

  • A vast number of ready connectors
  • A great support group that has helped with issues as well as customizations
  • Reliability

Cons

  • Having a separate FLO for looping is sometimes cumbersome

Likelihood to Recommend

If you have two applications that do not natively integrate, or have complex use cases that would not normally be handled by a native integration this tool is perfect.
