I don't use monday.com in my own organization, but I've helped deploy and train users on it—plus build a bunch of monday.com automations to support their business processes—for my biggest client. That client benefits from the increased org-wide visibility into other teams' work and progress on shared tasks, and the ease of commenting on tasks and tagging others in context. They've adopted it for basic task management and collaboration, and I'm in the process of helping migrate several automated request intake and management systems into monday.com too.
The IT team has started using it to track computer inventory and assignments, the HR team for tracking new hire onboarding tasks, and more! Another client of mine uses it for tracking program participants and their medical claim status, as well as their staff and contractors' contact information and assignments.
Pros
Relational database functionality (via Connect Boards and Mirror Columns)
The UI is reasonably user-friendly - not too overwhelming, compared to other platforms in this space

The sales process was rocky and almost felt like a bait-and-switch (rep promised various features we needed were possible natively, but ended up being wrong about some big ones)
The reliance on third-party apps to fill some fundamental functionality gaps is frustrating—monday.com support seems to think that if there's an app that does what the user is asking for, that's the solution (even when that app may carry its own cost and/or fail to meet security benchmarks). monday.com also pushes third-party apps far too much, popping up and recommending them to users "proactively" even in HIPAA-compliant orgs that cannot use them
It feels like monday.com nickels-and-dimes its customers—when a new feature is developed, it seems like the first thing they ask themselves is "how much extra can we get people to pay for this?" while other platforms take a more holistic approach to dividing features between subscription tiers
I feel the quality of support is usually terrible (at least for power users. I could see it being okay for new people with very basic questions)
The notification of an automation or workflow failing is severely lacking, and when you look at an automation's run history, virtually no helpful troubleshooting information is made visible
Its integrations are typically EXTREMELY limited and non-customizable, making many of them useless in practice

This actually depends HEAVILY on the colleague's needs, technical acumen, and other available tools (and those of their organization.) If relational database functionality is needed, it's up there with AirTable in ease of use. That's lacking in some competing platforms (though they usually have other methods of providing the desired functionality, like allowing a given item to exist on multiple boards simultaneously).
If the colleague's processes are simple, with light automation needs, it'll do the job. If the colleague is a power user and heavy automator, and they don't already have an iPaaS tool available, they should not adopt monday.com.
Even when the fit is perfect, I will always share warnings alongside my recommendation (like the third-party app thing, the fact that items can't exist in more than one place, the extremely limited form functionality, and the lack of generosity when it comes to making useful features only available to the most expensive subscribers.
monday.com has been such a useful tool for my teams & my organization! This site helps us stay organized as a team, as well as helping me individually organize timelines, and due dates for all of the areas I am responsible for. One of our organizational values is to write everything down, and this makes it possible for us to stay accountable for our outputs! We love this service, and I would recommend this to any business or organization that strives for success!

Sometimes the forms don't work correctly. I will submit a form and find out that it didn't actually submit. It's not often but it happens.

My organization uses monday.com as a CRM but also for so much more. In addition to keeping track of our members (we are a membership organization), we also use it to track projects, timelines, organizational goals, communications, and keep ourselves organized. The product has simplified how we keep track of things. Previously, we had spreadsheets and documents everywhere for our events and projects, and were constantly confused. Now we keep our project plans in monday.com and send reminders through it, as well as being able to mark things done!

We use monday.com for our nonprofit diapers, wipes, and period products programs. It helps us to streamline our program registration and reorder system for our new and returning clients. Clients complete a new client registration form or a reorder form, and the information help us keep up with data for our potential grant funders.

I prefer the version of the form they have now instead of the new version for 2025. The current form shows the questions in bold font, and the new version does not. This may mean it could take our volunteers longer to get to the pertinent information on the form.
It would be nice if monday.com staff had monthly webinars showing how to use some features. such as, using formulas effectively.

The platform is very well suited for our nonprofit programs that serve low-income clients who need diapers, wipes, and period products. It has helped us run our programs, capturing information and allowing us to view the data for reporting purposes. The ability to filter data is very helpful by allowing us to categorize information to get a better picture of the progress of our programs.
monday.com is used throughout the various departments to help keep track of information. It has been very helpful in organizing tasks and conveying statuses of those tasks to multiple stakeholders across the organization. This includes using it to help organize and track large projects. Recently we have started to use it to create product roadmaps. The different views available on a board and the ability to link boards together help solve use cases for multiple users of this information.

monday.com is a great tool for keeping track of items, recording their progress, and conveying statuses. Given its flexible nature, it may not work as well as bespoke systems that track information for a particular use case.
I use monday.com to manage nonprofit organizations that I handle for project management and nonprofit governance and development. The problems that I am able to address using monday.com are managing the overall scope and detail tasks for each project, maintaining a high-level view of progress as well as a detailed evaluation of tasks and team members who are responsible for the completion of tasks.

Integrations: There are several third party apps that are being connected to our monday.com project workspace which helps streamline syncing information.
Isolations: I manage multiple projects with varying team members. Some projects are restricted to executive management. I am able to isolate team members based on their respective responsibilities and protect confidential project information.
Templates: Monday.com also has simple to use CRM templates that have been extremely useful in donor management and volunteer registration.
Cons
I have only been using Monday.com for a few months so I do not have any feedback on improvements yet. If I do, I would be happy to provide that feedback at a later time.

monday.com has been very useful in sharing information about project status with volunteer committee members without jeopardizing the integrity of the project boards. I have not yet determined areas where the application is less appropriate. As I utilized the features more if I have feedback like that, I would be happy to share.

A terrific tool for managing projects whether you're new to project management, or certified. Tracking change within the organization and how it impacts the various organizations - this helps identify projects that have high risk, or areas that are overly burdened by the amount of change relative to other organizations within your company. Meeting management works well with monday.com too!

We track projects, deliverables, bits of data, parties, events, and even more compliance and governance matters. Notably, monday.com is used by Project Managers and non-Project Managers. monday.com found a deep following within our organizations. Primarily because it is simple for all to implement. However, it is also implemented org-wide because it is colorful. We found color drives acceptance amongst our creatives.

Sub-Tasks are not as flexible as main Tasks. For example, I cannot ROUND the summary of a set of SubTasks. So I create a Formula to ROUND the SubTasks.

monday.com is excellent for non-Project Managers who must manage projects. it is easy to start and get the Task, Work Item & Deliverable tracking you need. monday.com is appropriate for short-term project tracking. It is also superb as a database, similar to AirTable. It is not for building a nuclear power plant nor traveling to the moon.
We use monday.com to manage projects and tasks. Various projects such as: art design, group formation, and people management. It helps us ensure that no one falls through the cracks in our pathways and pipelines. It provides peer accountability because others can see the deadlines associated with a task. It helps anticipate milestones with creative design.

monday.com is fantastic for remote teams. Teams can collaborate on the platform from wherever they are on whatever device & platform they are using. However, monday.com is great for in-person teams. Coming out of a meeting, monday.com will help with assigning action items (projects, tasks, sub-tasks) to the appropriate person.
