This product assessment synthesizes insights from 7 recent reviews covering overall satisfaction, strengths, weaknesses, and ROI related to Microsoft Planner. Microsoft Planner is primarily used for task and project management, often across multiple teams or for individual projects. A majority of reviewers find it suitable for basic project tracking, with 5 out of 7 reviews reflecting this utility. The tool's value proposition centers around simple project planning and team collaboration, but it falls short for organizations needing advanced features. Indeed, 2 out of 7 reviewers consider its functionality too limited for sophisticated business needs. While some users report improved team efficiency (2 of 7 reviews), others cite reduced productivity due to functional limitations (2 of 7 reviews), indicating a variable ROI depending on the complexity of the use case.
Pros
Facilitates basic project planning, particularly using Kanban-style boards.
Enhances team collaboration through integrated features.
Improves team efficiency in some contexts, especially when aligned with Agile methodologies.
Cons
Lacks advanced project management features such as Gantt charts.
Offers limited customization options.
Can reduce productivity if users expect more advanced functionality than it provides.
We currently use it for our content assignments. A piece of content is assigned to a user to create, from there it is then assigned to another user for editing and then to another user for publishing on the website, and then finally to push to our social channels. It is great to use in conjunction with our SharePoint as you can link documents to the tasks. We have our content grouped by product type so we know how much content for each of our products we are creating.
Pros
Categorizing channels and product types
Assigning participants allowing commenting
Attaching documents and files
Cons
Would be nice to see a calendar view instead of a list view
Permissions aren't configurable, anyone can delete any task at any time and there is no recycle bin
Notifications aren't great, you have to be attached as an owner to a task to see comments and be notified of changes, and even then notifications aren't shown for a lot of things

My rating is higher because as a tool that is included in our Office 365 / SharePoint account, it allows us to manage our content workflow from planning to publication without having to spend money on additional tools. With 80+ users needing to have access to this, purchasing an outside tool would be pretty costly, and this is a decent alternative. That being said, there are probably much better tools out there for content management/assignment.
[Microsoft Planner is used for] task and workload management. Too often, I and others I work with
utilize sticky notes, notepads, etc. to try and remember and keep track
of immediate "To-Dos" and long term projects. Microsoft Planner not only
makes it easy to quickly create tasks for an individual, it helps us
assign tasks in larger projects, remember tasks on the go, keep track on
the progress of tasks/projects, and so much more.
Pros
Task Management
Project Management
Team Collaboration
Cons
Task board layouts, especially for team collaboration
Creating tasks with complex details

For myself - Microsoft Planner has allowed me to keep track of everything I'm working on, the status of those projects/tasks, and see all the previous work I've done so much easier than I was doing before. Grouping my tasks in different buckets and using flags helps with me being able to prioritize my workload quickly and easily. Since I physically work at multiple different locations, having all my tasks/projects in a digital format also makes them easy to transport and access from anywhere that I may be.
For my teams - I regularly work in cross-functional teams and committees, and because of that I'll commonly integrate Microsoft Planner into Microsoft Teams so that we can all access a Planner board together, assign tasks/projects accordingly, etc. It makes it that much easier to collaborate, especially when it comes to long term group projects.
Our Marcomm department uses Planner to organize tasks and workflows. We also use the forms function to allow other departments to submit a request that we can then assign to the correct user for execution. This allows the team to prioritize requests instead of taking orders.
Pros
Organize tasks by person
Cons
Assigning dates to sub-tasks
Making tasks dependent on one another
Calendar

I think this is a good built-in option for someone using Office 365 and doesn't want to spend additional money on a project management tool.
Microsoft Planner is used in the company as a ticketing tool, for collecting user requests, and as an activity organizer. We are using the tool on a daily basis to assign tasks to various members of the IT department. A very useful and functional product for planning and reporting on activities requested by other company departments.
Pros

Simple and intuitive
Immediately ready for use
Cons
Customizable notifications per user
Advanced task scheduling
User response management
