What is Microsoft Exchange Online Archiving?

Exchange Online Archiving from Microsoft is a tool that helps the user solve archiving, compliance, regulatory, and eDiscovery challenges. Hosted on Microsoft globally redundant servers, with IT-level phone support 24 hours a day, seven days a week, Exchange Online Archiving is compatible with Exchange Server 2019, 2016, 2013, and 2010. It’s also available as an add-on service for mailboxes that are hosted online.

Use Cases and Deployment Scope

My organization has a special mailbox for specific files to be confidential and unique uses for the proprietary information in that mailbox.

Pros

  • Import data from a .pst file with the Outlook Import and Export option
  • Drag messages from my main mailbox to the archive
  • Restore items that I have previously deleted

Cons

  • Time to restore the mailings
  • To change the characteristics of the archive I need to communicate with the administrator
  • When the administrator eliminates the mail account it also eliminates the archives created

  • Archiving with rulers of retention and recuperation

  • I think the solution does not produce a real impact in the organization

Microsoft Exchange Online Archiving provides the best and most intuitive Cloud data encryption and data synchronization capabilities and the archiving through the software is effective. The ability to manage all the business data through Cloud and protect the data from any cyber attack is excellent and creating data reports is good as well as the issues management capability.

  • Effective multiple data management ability is useful.

  • Only its training curve is not that short.
  • To protective large amount of data may be trick to some users.
  • The import of big data capability can be still be advanced.

The most obvious advantage is that of sandboxing for the company. I mean, all your company's business communications are handled here. Passwords can be reset, accounts can be closed, and other actions taken by the administrator. Everything is fine here. With the help of this tool, you may speed up time-consuming daily tasks and reduce their inefficiency. I deal with hundreds of emails every week, if not every day, just like most of my coworkers. Timesaving and convenience-enhancing options are my top priorities.

Pros

  • In my opinion, Microsoft Exchange's ability to integrate with calendars and other tools makes email considerably more powerful and capable.
  • From any device, users can access their email. As a result, users can react to essential emails when they are away from their primary computer.
  • In an email-heavy workplace, I cherish the ability to swiftly organize and categorize relevant information. Additionally, you have the option to deliver files safely.

Cons

  • The learning curve for Microsoft Exchange Online isn't too steep. It's easy to use once you get the hang of it, although the user interface isn't as intuitive as Gmail's.
  • Depending on the administrator's configuration, attachments may never be able to get through the firewall.
  • My wish is that I could use a shortcut to archive files in the same way that users use the delete buttons. However, this isn't currently available. I rarely remove emails unless they are spam, so making the process quicker would be ideal.

  • Meetings with coworkers can be better planned if their schedules can be compared with those of other calendars. Before I book an appointment, I can see what my team has in store.

Great for user mailbox archive backups and downloads. No additional price, unless you want great value-added features like Litigation Hold.

Use Cases and Deployment Scope

We are an IT consulting firm. Some of our clients in Hong Kong, in the legal, auditing, or financial industry, need to keep all email data (regardless of deleted or undeleted) for at least 7 years. Since we host all our clients' email services under Microsoft 365's Exchange services, this native solution does the job and closes the loop for us.

Pros

  • Great granular-level management and backup of all Microsoft 365 mailboxes
  • Content search and investigation of mailboxes without modifying a user's password (without the user knowing)

Cons

  • Setting the role to use e-Discovery is frustrating. Although you're the global admin, you must assign yourself the role of e-Discovery manager in order to use it. Not even e-Discovery admin.
  • Assigning yourself the role of e-Discovery manager successfully, but does not reflect immediately. So you still get permission issues when doing a content search. You have to wait until the permissions propagate before you can access content search. No warnings whatsoever from Microsoft's success message. I was scratching my head off.
  • e-Discovery downloads must use Edge or Internet Explorer. Chrome, Firefox, and other browsers won't work.
  • In-Place Hold or Litigation Hold requires Exchange Plan 2, which doubles the price of Exchange Plan 1. Exchange Plan 1 does not come with this function.

Use Cases and Deployment Scope

Before we started using Microsoft Exchange Online Archiving, we were looking for a platform that would allow us to archive important data and set up retention policies, all whilst keeping everything safe in the cloud (especially for the Accounts department). Microsoft Exchange Online Archiving has proven to be the best tool we could find for this purpose. It's easy to use, set up, and maintain. I wholeheartedly recommend it to anyone needing a powerful archiving platform for a very reasonable price (as of April 2022).
