The product Microsoft 365 is used in all 9 communities in our company across the state of Ohio. We primarily use it for emails, team meetings, calendar planning and booking, and for generally keeping track of important stuff. Outlook and Teams are probably the most widely used, while Word, Publisher, Excel, and others are likely secondary in use.

The need to create documents with Word, PPT, XLS, and be able to share them quickly for easy view or edit access, and collaborative work all around. Broadcasting through teams, news, SharePoint, and other tools effectively summarizes the use.

Permissions. They are challenging to manage when you want to get granular, as some things require erasing and starting over again. Additionally, some people or groups have permissions they shouldn't have, and root cause analysis is not always intuitive.
They need to pay attention to clutter and reduce it if the app's performance, such as Teams, is being harmed.
The tier system for services allows users to utilize some AI capabilities without requiring the most complex license.
Visio feels like it was forgotten when compared to lucidchart or Miro.

Office everyday things since time immemorial. It's hard for Google Suite or any other to compete with Microsoft. They have everything, and it all works great, with incredible tools and capabilities. The new integrations work seamlessly most of the time, such as embedding a Power BI in a PPT. Expecting too much AI, like note taking, or LLM-based PPT, is not available in my tier at least, so depending on the budget, you won't get all you may expect from an AI leader. For diagramming and process maps, you're better off with other tools like those above.
This is our main business software for documents and emails. We also use sharepoint and onedrive for collaboration. I'm not sure that Office 365 actually solves any business "problems". We use it simply because we have been a Windows shop for a couple of decades, and this is the office suite that is made by the same company, so compatibility is good. We have about 100 users worldwide, in-office and remote, and we no longer allow users to save docs on their local systems, so one drive is handy for that.

Stop taking all the options away from the (Teams/Outlook/whatever) UI and calling it "a new look!" That is stupid, and your "improvements" just make my job harder.

Works fine in a windows environment, but there are lots of better options out there. And most of those cost a tiny fraction of what O365 does. In any other type of mixed environment (or Linux shops), it would be a ridiculous choice. I think most managers buy O365 because of sunk cost fallacy - they already paid out the nose for windows OS licensing, so they might as well stay in the MS world.

Microsoft 365 is well suited for every company that needs to send and receive and create email and documents. Because of Sharepoint in combination with OneDrive it allows for a central point of data. If you work alot with external customers thats an amazing point.
I haven't actually seen a scenario where Microsoft 365 wouldn't be a good addition.

We use 365 primarily for Outlook—we don't use the Exchange server, but we do use IMAP, so this serves our purpose perfectly. We also use Word for some minor invoicing and Excel for our pricelists. Sometimes, we will use Publisher, so we are glad we still have the option to use it.
Pros
It allows us to keep our email organized. I like the fact that I can create folders in Outlook, and they replicate on my mail server.
Excellent for drafting and saving those documents as PDFs without needing PDF editing software.

Fix Outlook. It crashes constantly, uses way too many resources, and freezes to the point that I need to shut it down in the Task Manager.
Excel could use an easier numbering function. I used to drag down, and it would number the cells ascending. Somewhere, it lost this function and just copied the same number down the column, which is kind of useless.
Someone needs to create (and include) a quick and easy cheat sheet for commonly used formulas. It would be nice if a drop-down would let you choose a formula (without all the prior programming).

I usually recommend Microsoft 365 to my clients to keep them away from the Exchange server (sorry!) Our business has a lot of issues with exchange email functions and copy machines. I always recommend they download the desktop version and use the online version as needed. You never know when you will be without an internet connection, but you can usually trust your laptop will have a decent charge, and you can still be productive! Let it sync when the powers are back on - or your connection is alive.
I daily use several applications inside the Microsoft 365 suite. I use Outlook as a desk application to manage emails. Despite of the most app available in the store I consider for now maybe one of the best tool for this purpose. Microsoft Word is used to write and access documentation together with Powerpoint for slides presentations and some Excel to create tables and some calculations.

I prefer other vendor tools for online calls because Teams is very heavy and Skype not useful in general for my organisation where some other products are mostly used.

We are using Microsoft 365 which includes Exchange Online for mailboxes, SharePoint Online for collaborations, Teams for messaging, etc. There are 2000 users in all and we use E5 license for all the users who use company laptops. We also use Security and compliance feature in Office 365 to keep our data safe. Exchange Online archiving is enabled for all users. All the mailboxes are on legal hold so that data would be available even if user tries to delete it intentionally or has left the organization. Sharing of files and documents from OneDrive and Sharepoint is not allowed externally. Only internal employees can share within themselves. In case users wants to share it externally we add the external users as guest through Azure portal and then allow them to share it via Teams after getting the Non Disclosure Document betwen the parties.

Microsoft 365 really needs to work on protection part. In complex environment it is not reliable as compared to its competitors like Proofpoint. There are many instances where it fails to perform effectively.
In SharePoint Online the versioning feature of the document needs to be improved by Microsoft. Sometimes when we have to roll back to the previous version it does not work as expected.
In Teams messaging and app permission policies can be improved. There are some settings where we have to add a lot of things manually.

I have been working on this product for more than 10 years now. This product has evolved and made tremendous improvements during this period. This product is a complete package and suitable for almost every environment. It will work in simple, medium, large and complex environments. Exchange Online, SharePoint Online, Teams and OneDrive will fulfill your business requirements. There are features like Data classification, labelling, records management, Ediscovery, Legal hold, ATP, DLP, Defender which are must in every organization.
The only thing I am a little not confident about this product is its reliability on protection. It is not as efficient as anybody would want. Even if you apply stringent of restrictions it can still be broken and Spam or other malicious activity can enter.
In our company majority of the majority of the tasks are linked to Microsoft 365 in one or another way. In our company we use Microsoft Outlook for the communication purpose and Microsoft teams for the meetings. Our data is stored in one drive and we use Powerpoint and excel to present ir manage data. Microsoft 365 helps a lot even with its security features. Our authentication app is also Microsoft Authenticator which makes it seamless to login to various Office products. The combination of all these Microsoft 365 products makes to very easier for us to carry the office work. For example Outlook and Teams makes the communication through mails and meetings very easier. Microsoft also provides many security features to our company like My apps which authenticates logging into some company specific apps easier. The only thing I dislike about Microsoft 365 is these softwares occupy a lot of space in the oc and makes it slower sometimes. With providing the lighter versions of these softwares Microsoft can make these softwares run faster on even low end devices

The scenario where the Microsoft 365 is well suited is when a meeting is scheduled in the Teams, the outlook will send mail to all the members who are included in the meeting. The person who wants to conduct the meeting need not to communicate with everyone separately. The less appropriate scenario is like when the data is sent through teams to other collegue, the data sometimes changes it format and some format files cannot be transferred using Microsoft 365 softwares.
In my case, Microsoft 365 is one of the products that we offer the most to our clients. Not only because of the number 1 office suite in the world, but also because of the added value of cloud services.

Onedrive is a software specially indicated to take advantage of cloud services in a company. It is definitely a must-have software.
