We use Insightly in many facets of our business, but for me the tools addressing project timelines and management are most useful. With hundreds of authors marketing hundreds of books in cities across the country and Canada, it's useful to have every deadline (hit or missed!) as well as all incoming and outgoing communication about each project, at my fingertips. Pipelines and project funnels make it easy to get that high-level info at a glance, while historical sales trends help us decide where to acquire new projects.

Use Cases and Deployment Scope

It is a powerful CRM platform, used for project handling and managing customer relationships to track leads and view their insights.

We have implemented it in order to get the analysis of what is going on in our company. So that we can improve our communications with the customer. Also to streamline the sales process, so that we can get the timely updates about the deal or campaign progress.

Also we sometime use it to send our emails to the customers so that they will be aware about our offers.

UI
Its integration with multiple softwares
Sometimes the main pin points are missing in the software which restrict its uses
Also its limited customization hinders our process
You should improve the email template by drag and drop feature

Likelihood to Recommend

If we compare with mailchimp the feature Insightly are less, making us to redirect to use mailchimp or marketing cloud from salesforce.

Its also has very less prebuilt templates for basic common use cases and also has very complex reporting structure. If provided the drag and drop feature it will be very helpful.

Also email integration like there are many issues finding track of the emails, like when its open and sent.

Use Cases and Deployment Scope

Insightly is integral to our business. The sales team uses it to identify prospects, keep track of current customers, and process orders. The production team uses it to keep track of projects. The financial team uses it to identify which products are profitable and what marketing strategies are working. The best part of Insightly is that it is flexible and can be customized to exactly what is needed for each part of your team.

Pros

The reports are robust and easy to build. I can also schedule and email them.
The search bar is powerful and quickly finds the information that is needed.
The automations are easy to build and help to reduce work.
The software is flexible and can be easily customized for each user.

Cons

Automations can be affected by updates.
No ability to link the information on the related tab to the details tab on the projects.

Likelihood to Recommend

Insightly is perfect for keeping all the information needed in a central place for everyone in the company to access when needed. We use it to keep track of all our customer outreach, order processing, and marketing outreach. Our product development team uses the project pipeline. It is not quite as helpful for financial reporting to the executive team.

Use Cases and Deployment Scope

We use Insightly to manage all levels of the book publishing process. It helpfully compiles information across various departments (sales, media, etc) and presents them in an easily accessible format. I use Insightly primarily to catalog media appearances that I secure for authors, and to look at upcoming events they have so I can promote them. Insightly also creates reports that I can show to my superiors to demonstrate my success and area for improvement. Some occasional lag is the only issue I have with Insightly.

Pros

Allows me to easily catalog results that I obtain for each project.
Allows me to create easiy-readable reports that I can show to my superiors.
Allows my company to see progress via various charts and graphs for each book season — encouraging comparison with previous seasons.

Cons

The interface is sometimes laggy to navigate.
The log-in process requires one too many clicks.
There is sometimes a delay when adding data to reports.

Likelihood to Recommend

Insightly is well-suited to scenarios requiring organization of lots of complex data — presenting it a clear, easily manageable way that's not overwhelming and is simple to navigate. Insightly is also well-suited to documenting progress on certain projects, with its various tools to create graphs and reports. Insightly (at least the CRM platform) is not as well suited to sending out mass emails to contacts, and it requires users to be unafraid to get involved in adding data and organizing appropriately — the number of folders could get overwhelming if not properly explained.

Use Cases and Deployment Scope

Our company uses Insightly to track and manage our myriad projects and those projects' authors, designers, leads, communication, and files. We publish upwards of 100 titles per year and also use Insightly to track sales and generate reports based on a project's performance. Insightly helps us manage our book publishing from start to finish, all the way through a book going out of print.

Pros

Integrates a project with all of the necessary details, perfect for "one-stop shopping for information
Generates reports that are customizable and contain anything you can think of
Creates a clear, organized sales funnel structure

Cons

A very small item, but I'd love to see Insightly remove the underscores from the file name after download!
Another small hiccup, but sometimes when I click things on Insightly, the page shows a very basic HTML layout but once refreshed works
Some changes aren't always instantaneous, which can be a problem as we move very quickly at our company. But we've learned to work with "Insightly time!"

Likelihood to Recommend

Insightly tracks our projects and everything connected to them—from the contacts to marketing leads to sales performance—from start to finish. I can't think of any type of company that couldn't benefit from having Insightly.

I mainly use Insightly to keep track of books and the editing process. It helps maintain organization and is an easy way to see which stage of editing each book is in and holds important details about the book like dimensions, author names, etc.

I keep track of bids our department submits for various construction projects. Insightly let's me input multiple bids for the same project with different scopes of work. It also allows me to change the status of any project right on the opportunities home page without having to actually open the opportunity itself.

The ease of setting up and finding previous opportunities so I don't have to hunt through other department's projects.

Cons

I honestly can't think of anything with regard to what I use it for.

I can only speak to the projects that I use Insightly for: I can keep track of multiple scopes of work for the same construction project. It allows me to convert opportunities to projects easily. It also allows me to input deliverable dates and status changes easily. I love how I am able to easily see where each project is in the completion process.

It was used in the whole sales department and some of the people in Customer Success. We had a process to manage Inbound Leads and another process to do Outbound by prospecting based on Cold Emails. The problem for us, was that Insightly didn't have good tools to do prospecting with cold emails, so every salesman had to create their own tasks to do the follow-ups. That's the main reason why we changed the CRM. For Customer Success we used the "Project" tab that allowed the Project Manager/Account Manager to communicate the process of the implementation to the salesman.

Insightly is well suited when you are on a low budget and you have a small sales team that can work with most of the tasks manually. It's much better than working with a spreadsheet as you can have a history of all the leads but it doesn't have lot's of integrations and it doesn't scale when you grow.

Insightly is being used by our customer success and sales teams within the organization. The business problems that Insightly addresses, its that it allows us to have one holistic view of our entire sales pipeline and existing customers. With Insightly, our team members can easily transition deals and clients from the sale to post-sale.

Pros

Project Management allows us to organize tasks as a customer moves through the sales process.
Pipeline management, through Insightly, provides an easy way to score leads and distribute to reps.

Cons

Insightly, at times, can be very tough to maneuver internally.
Insightly crashes at times, or requires you to refresh certain pages after making edits.

Likelihood to Recommend

Insightly is perfect for an inbound and outbound sales and customer success team. With Insightly, we are able to incorporate all of our Sales Development Representatives, Solutions Consultants, Account Executives, and Launch Teams to work within the same dashboard accessing information at every stage of the sales cycle. This would be less appropriate for less robust sales teams that don't require as many touchpoints throughout the sales process.

As far as I know, my department was the only one to use Insightly. We used it as a CRM tool to keep track of our leads in business development (new accounts who might want access to our content to sell or make available on their digital media sites). It addressed the business problem of us having as many as 25 new accounts in the pipeline at any given time—helping us keep track of contact info, meeting notes, and where we were in the onboarding process.

Pros

Linking contact info to account info.
Allowing meeting notes to be stored in account pages.

Cons

I really disliked the word processing function in the meeting notes a part of the site. It was almost impossible to format spacing and bullet points, and it was even harder to copy/paste from Word. I usually would just upload my Word doc with notes to show up as an attachment, but that took longer to do and access later.
I didn't love the design of the site: I could have been easier to navigate and more sleek looking.

Likelihood to Recommend

It was pretty perfect for my department, where all we really needed to keep track of was account leads, contact info, and meeting notes. I would recommend it to anyone in a similar business development role. But if I needed to keep track of more, like sales data, I might want to use Salesforce or some other software.
