Love Hubdoc for my small business

After years of using desktop bookkeeping software and having to drive my hard copy files to my bookkeeper each month I was looking for ways to go digital and save myself time, money and headache. My bookkeeper told me about Hubdoc as we made the switch to an online system and it was a no brainer to set it up. I love that I can snap a photo of a receipt and upload from my phone when I purchase something so it's off my plate right away. I am a huge fan of a recent feature that allows me to snap multiple pictures for multipage or bigger documents so that my bookkeeper sees the full picture together vs pieces. It's also super easy to upload anything digital form my computer as it comes in. Hubdoc is affordable, easy to use and makes my life as a small business owner less stressful. It's one of the best subscriptions I have invested in and I would highly recommend it for any small business owner who wants to make their operations easier.

When I am out purchasing items for my business I can quickly take photos of receipts and upload via the app and not have to worry if I lose or damage a receipt. This is very handy for me. Hubdoc also allows me to get all my invoices, payments and statements to my bookkeeper very easily which saves me money and time. I only use Hubdoc for business purposes which is where I feel it is most suitable. I probably wouldn't use it for personal stuff as I don't track personal that strictly.

We use Hubdoc for our clients. They will send receipts and invoices into Hubdoc and we then post those to QBO.

This allows us to have the invoice/receipt attached to the transaction in QBO which helps during Tax/Audit time in locating backup.

Hubdoc also allows us to process transactions quickly with its AI and we no longer have to add the bill in QBO and manually attach the backup

Pros

  • its AI makes processing recurring invoices much easier
  • attaches to not only QBO but bill.com etc
  • Faster to process invoices/receipts in Hubdoc than manually doing in QBO
  • The search to find vendors etc in Hubdoc is easy

Cons

  • We cannot process deposits from Hubdoc
  • I wish it set up folders for individual vendors and automatically filed the bills in them
  • you have to watch the information it automatically prefills as it sometimes reads dates/amounts from wrong areas

Likelihood to Recommend

It is well suited for clients who are on the road and they can send their receipts in for purchases from their phones. This has enabled us to get receipts prior to being lost or damaged so it makes the matching process in QBO much easier for us.

Clients like to scan multiple pages at one time and vendors invoices/bills. This is less suitable as they need to do individual scans since Hubdoc cannot separate them out.

We use Hubdoc for all expense tracking. Miles better than keeping paper receipts and easy to use tags.

Good for recurring invoices and bills.

Nice that you can publish right to QBO (we use QBO for all accounting).

Pros

  • Tags

  • Cloud receipt storage

Cons

  • Can't select more than one receipt at once
  • doesn't auto-pull info from receipts unless they're super clear PDFs
  • Doesn't auto-populate the payment account code for QBO even if you've already tagged the receipt with a tag bearing the same name as the payment account code
  • When typing a new supplier name, you can type the new name, then select "+ new supplier" in the dropdown, and then you have to type the new name all over again.
  • Would be MASSIVELY HUGE if instead of creating 2 new line items for a receipt that includes sales tax (literally every receipt) you could just click a "includes sales tax" button before publishing to QBO. Would save ~60% of my time on Hubdoc.

Likelihood to Recommend

If you're the one using hubdoc daily for a company with a high volume of receipts, sorry. You very quickly find the holes in their UX/UI. Integration of some AI with their software that recognizes frequent moves or sequences within an enterprise's hubdoc account would take these guys to the next level. But it is extremely tedious in my opinion. I would recommend this only for companies where a massive chunk of expense are recurring or from the same set of vendors. If you're all over the place then this doesn't save a ton of time in my experience.

We implemented HubDoc for our company to automate recurring invoices from clients into the correct chart of accounts. It ended up saving a lot of time and helping to avoid mistakes that can happen when manually/arbitrarily assigning expenditures to accounts. It fit in well with our Xero accounting online package.

Pros

  • OCR automatically converts receipt images and invoices
  • Tie-in with accounting system works well
  • Customization of account assignments is flexible

Cons

  • Interface takes a bit of getting used to
  • If an invoice isn't processed properly sometimes it's hard to know why
  • Integration with QB on-premise did not exist

Likelihood to Recommend

If you're looking to automate categorization of expenses and help avoid human error, this is a good option. It takes a bit of dialing in at the onset but afterwards can be set to work very well on its own. Splitting invoices and other customizations was helpful in cases of large complicated invoices.

Great idea, poorly executed, cost our business much time and still not working.

  • Performance issues because of Xero integration.
  • Site crashes before invoices are configured and published to Xero.
  • Cost us time trying to set up, no response from Hubdoc when reporting issues.

Likelihood to Recommend

We can see value if it was quick to load Xero data, allow edits when configuring, then publishing. Unfortunately it's not worked yet.

We use Hubdoc with one of our larger accounting clients who use it as part of the software stack in the bookkeeping department. It's primarily used for automated feeds from suppliers including bank statements and other scanned in invoices to then be automatically filed by vendor which then archived in their preferred document management platform - ShareFile.

Pros

  • Extracts data from documents both from a feed and a scan really quick.
  • Availability of automated feeds directly from the supplier.
  • Integration with accounting software e.g. Xero (now owned by them) and QBO.
  • Ability to auto-archive to many different cloud storage locations such as Google Drive and ShareFile.

Cons

  • Ability to distinguish line details in an invoice.
  • Smarter AI/Machine Learning to improve process and remove manual processing.

Likelihood to Recommend

For those that use Xero and would like to digitise their invoices, along with direct supplier feeds, very fast data extraction and auto-archiving it can really streamline your bookkeeping function in any business. We also integrated their scanner functionality into a custom mobile app that fed straight into the Hubdoc system with document notes via metadata tags.

We use Hubdoc for ourselves and our clients because it is an easy way to capture important third party documentation (invoices/bills/statements). We use it for all collectible documents for all clients. It gives us an easy way to capture relevant documents for transactions. The documents are organized in Hubdoc and the transactions are in Quickbooks online.

Pros

  • Great OCR capability. Very good at reading and remembering which vendors are associated with which accounts.
  • Well organized portal, easy to use and very accessible.
  • Simple, efficient, cost-effective
  • Great associated phone app.

Cons

  • Although it is great that they can automatically get bank statements and transactions once linked, these links have been very unreliable historically.
  • Figuring out how to set up the automatic feed is cumbersome. You can land up being inundated with useless transaction data.
  • you have to upload each document separately. The program cannot differentiate/split PDFs.

Likelihood to Recommend

Hubdoc is great for all your clients. It provides your business with a very easy way to capture important documents and link them to the related transactions. That said, it is a change in process and for some clients, this can be very challenging. It is only as good as the data input and the client/accountant's dedication to the process.

Hubdoc is used to manage and record credit card receipts for our whole organization. It helps solve the problem of employees not keeping, or turning in, receipts.

Pros

  • Hubdoc interfaces with Quickbooks Online very well.
  • It has a well developed interface and is very intuitive to use.
  • Its ability to automate some parts of the organization of receipts is helpful.

Cons

  • I would love to be able to have separate accounts for each user that can be accessed by a single accountant, or that load receipts into a single accountant portal. There is some risk of corruption with all users having access to all other users' receipts.

Likelihood to Recommend

It is excellent for small businesses, especially for those with a single business card or user. It is workable for larger businesses with multiple users, but not optimal because of the inability to have multiple accounts for a single business.

Hubdoc is used across our organization and it is great as we are able to keep an 'electronic' file of all of our bills and invoices - no need for paper copies and paper filing anymore!

Pros

  • Fetches all bills and invoices - we do not have to go to separate emails or get these by mail any longer
  • Uptime - it is ALWAYS functional - never had any issues
  • It is easy to use - very intuitive

Cons

  • We have one credit card bill that Hubdoc is not able to retrieve - not sure if the issue is on the end of the bank or Hubdoc

Likelihood to Recommend

Any type of business where there are bills to retrieve or other types of documents to retrieve and file

We became familiar with Hubdoc because it offers a lifetime free trial account for QuickBooks Online ProAdvisors. Some time back we registered for an account (why not, it's free, right?) and I did the certification course they offer. I held off for a while because I did not have a real need for it at the time. However, I picked it up again and thought I would play around with it. I was very satisfied with the performance overall and plan to implement it through our entire firm. Further, we plan to offer it as part of a package we offer to clients to help them go paperless.

Hubdoc does three main things. It renames and saves documents that you scan and upload (or email to the custom email address they provide) into folders based on the vendor name, bill date, and amount. It can also take the information from those documents and post it to several different accounting packages. Finally, it can save the documents to several cloud storage services.

Pros

  • Filing documents by vendor
  • Syncing with cloud accounting and storage services
  • Accuracy of character recognition

Cons

  • Cannot understand all documents
  • Does not provide option to sync files directly to local computer
  • Pricing may be a little bit high

Likelihood to Recommend

I would recommend Hubdoc in almost any situation, except where Ledger Docs, Neat, or one of the other options out there made more sense with their workflow or with regard to pricing. Also, if most of the documents that are being scanned are handwritten invoices, or similar documents that a computer may have a hard time determining the structure or making out the text body, Hubdoc will likely not handle it well.
