Use Cases and Deployment Scope

Google Workspace is used by my organization for email (Gmail), office suite software (Docs, Sheets, Slides), cloud storage, scheduling with Google Calendar, and as an identity provider for other services logging in via Google SSO.

The main tools we use for remote collaboration are Google Workspace, Slack, and Zoom - without Google Workspace, collaborating and running our organization would be a lot more challenging. We heavily rely on Google Drive to create and file important documents for easy retrieval by anyone in the organization. Google Meet has been a good backup when Zoom isn't working, and we've used that platform for remote teaching as many schools find it more secure than Zoom.

One of the best things about Google Workspace is that many people are familiar with the Google suite of apps and Gmail, so onboarding my less technical team members was very easy and relatively painless.

Pros

  • Docs - creating a doc is as easy as visiting docs.new.
  • Sheets - Google Sheets is a valuable tool for creating workflows in Zapier and storing small amounts of data in an easily accessible location.
  • Cloud Storage - We store a lot of PDF documents of sheet music, video files, and other large media. G Suite storage is relatively cheap and easy to access via the desktop Backup and Sync app which allows you to select which folders to store locally.

Cons

  • Drive - I have heard that the desktop Backup and Sync app will be deprecated soon. This app is a lifesaver for our org, so I'm hoping there will be other options besides the file stream app that doesn't allow for selective sync.
  • Drive - file ownership is tricky to change from a consumer user. Many of our files were originally uploaded by an @gmail.com user, and we'd like to bulk change the ownership to the G Suite company domain user. It isn't currently possible to transfer ownership from a consumer Gmail account to a paid G Suite user. The only means to do this appears to be downloading all the original files from the cloud and re-uploading from the local machine as the G Suite user at the company domain.
  • Passwords - it isn't possible to add a login to the Password Manager tool when logged in as a user in Chrome. The only way to add a password is to be on a site and wait for the automatic popup. This isn't a great user experience, so we use 1password instead. It also seems more secure to use a password manager that doesn't automatically fill in the password without prompting the user for a master password.

Likelihood to Recommend

G Suite for Non-Profits is free, so for any non-profit organization just getting started, I highly recommend G Suite. You get all the basic needs fulfilled - email, cloud storage, web-based document creation, spreadsheets, and more. This is a great package for starting an organization and managing your people with a simple suite of tools they will likely be familiar with and able to use.

I use Google Workspace in another much larger organization of 300+ employees, and it seems to have the same set of benefits. I'm not sure of a scenario where G Suite would not be an appropriate solution for the minimum of an office suite (Docs, Sheets, Slides), email, and basic cloud storage.

We use Google Workspace as full suite solution for our needs including email, authentication to an in-house database, creating documents, spreadsheets, slide presentations for talks, etc. We make use of Google Drive to share files between workers and to communicate with our Board of Trustees. Google Workspace is at the heart of our inter-office communications.

  • Google Voice.
  • Document conversion.
  • Tasks.

Likelihood to Recommend

Google Workspace is well suited for helping to organize a small business. I primarily implemented this as our office communications platform because of GMail. Being able to easily create accounts for staff and assign aliases makes transitions easy to manage. When the bookkeeper changes I just change the alias from the old bookkeeper to the new one and all of the emails that need to get to the bookkeeper now get delivered. Sharing documents and working collaboratively is also made easy with Google Drive.

Our entire organization uses Google Suite, across many departments and even internationally. Google Suite allows easy access to various documents in a shared space, effective email communication, form creation, seamless scheduling, and collaboration. I used multiple Google applications every day and could not imagine working without them. The integration between applications is so valuable; I can trust that my documents, calendar, email, etc. are all functioning within the same type of easy interface, will "communicate" between each other, and are constantly being updated and improved.

Pros

  • Integration - Similar user interfaces, consistent updates across the board.
  • Searchability - Hangout messages can be searched in email, documents are easy to find in Google Drive, calendar events are searchable.

Cons

  • I'd love for some of the email lab features to be made permanent and more effective, such as canned responses.
  • It would be amazing if there was a way to find, organize, and delete/combine duplicate documents in Google Drive - a suggested cleanup feature.

Likelihood to Recommend

G Suite is the ultimate easy, integrated, and functional solution for multiple tasks, communication, and workflow, no matter the company or industry. If you're sending an email, creating a document/form/spreadsheet, or chatting with coworkers, there is not a more elegant solution that is easy for everyone to use, as most people are familiar with some Google products in their personal lives. Perhaps there are more complicated situations in which a specifically tailored platform would be more helpful (e.g. sales), but for the basic backbone of an organization's functioning, G Suite is the way to go.

For me, G suite is a lot of things—reliable, accessible, feature-packed, and user-friendly. I've been using it for years and I can comfortably say that it doesn't disappoint. Now, I know that it's still a few features shy of being as good as the Microsoft Office suite, but it does have its fair share of perks and added features. So, in a nutshell, I use G Suite because it offers me the kind of accessibility I need to effectively and efficiently complete most of my office tasks. That's because I can use it to edit Word documents, Slide presentations, or even manage Spreadsheets. The best part is that I get to enjoy all its perks and features at absolutely no cost. Not to mention, the 15GB free cloud storage that comes with each Google account. That means that I can store all my files online where I can access them whenever I want and from any place or device. Amazing, right? Well, it gets even better. G Suite applications allow for easy collaboration. That means that I can share, edit, view, and have access to files together with my colleagues.

Pros

  • It's FREE to use.
  • It makes it easy for users to share and collaborate on their documents with others.
  • Has a great user interface that's easy and fun to use.
  • G Suite can be accessible at any time or place and from any device as long as the user has an internet connection.

Cons

  • You can use it without an internet connection.
  • Also, you won't get as many programs as you get with Microsoft Office (Access, Publisher, Project, and so on)

Likelihood to Recommend

If you're always away from the office or have a lot of document-work that needs team collaboration, G Suite offers you the right tools and features to get the job done. With it, you don't have to worry about access to your documents regardless of where you are, what time it is, and which device you're using.

G Suite provides an online presence for a company. I have been using G Suite since I started my online business. Google has different services related to business. Using your own company name in these app services ensures searchability. It provides a reputation with my customers. G Suite provides more storage area on the cloud.

Pros

  • Customized business name on Google applications. This feature is related to my company reputation.
  • Larger data storage area for your business provides flexibility when running your business.
  • Using your company name on G Suite's email extension means presentability.

Cons

  • The storage area provided by G Suite could be larger than what they offer now. It would be good to have 100 GB storage area for my business since my job turns around mostly large digital files.
  • There are no huge differences between the standard Google usage and the G Suite for my business. It would be better to see much lower prices on G Suite.

Likelihood to Recommend

G Suite is a must-have application for those who run a business. If you want to see your company name on the internet in a reputable way then you definitely should try G Suite. G Suite and its application ecosystem would help your business track your customers' data, send branded invoices, set up online meetings, keep your business calendar up to date, etc.

G Suite is used across our entire company of nearly 80 users, though different users use different aspects of G Suite. But we all use Gmail and Google Drive storage. We generally limit the use of G Suite for internal use for things like Docs, Sheets, and Slides for collaborative purposes.

Pros

  • Easy to share and collaborate on files.
  • Sufficient storage per user on Google Drive.
  • Easy to convert to or from Microsoft file formats.

Cons

  • Sheets should include more formulas that are similar to the Excel formulas.
  • Google should figure out a way to prevent companies from blocking docs.google.com. Or at least promote that is a trustworthy source of file sharing.
  • Provide more detailed print functionality other than just size and orientation.

Likelihood to Recommend

As described previously G Suite is well suited for use among the internal users in a company. It is perfect for sharing and collaborating on draft docs, sheets, slides. It is easy then to Download As Word, Excel or PowerPoint for external use. External use is the main sticking point. Many companies block docs.google.com from their employees so that sharing/collaborating across companies is a problem.

We use it across the organization - every department has access to it and we use it and along with Microsoft Office apps for external compatibility. Its sharing functionality addresses the dreaded email and merges chain that you so often get in office. It also handles our organization's email which is fairly well best of the breed.

Pros

  • Sharing functionality: collaborative editing
  • Best email system
  • Best spam filtering
  • Access from everywhere (phones, tablets, desktop)

Cons

  • Import/export from MS Word/Excel/etc is a massive problem (claimed to work but causes problems, can't copy/paste with comments/etc)
  • Spreadsheets are VERY slow
  • seems like it was more robust in the past: odd errors with permissions (you cannot access your own document) crop up regularly.
  • Support has significantly dropped off - the assumption is that it works and you can fix it yourself (and you can't always)
  • Offline editing still a problem (claimed to work, craps the bed)
  • Limited functionality: word and excel are slightly too massive beasts but google docs are too limited.

Likelihood to Recommend

Good for *very* simple documents, initial drafting, collaborative editing. Great for email - very reliable and robust. *very much not good* for anything involving offline/online editing (getting on an airplane and syncing up when you're there) - fails regularly Not good for anything mission-critical- can't trust it Not good for final proofreading/preparing for print

I use G Suite for my own business. The thing I use the most is its email function. It can easily create multiple emails for the organization and manage how it is being used. It is solving the issue of having a specific domain email. It makes our business look a lot more official. We use the Google Drive feature too and handle most of our shared documents on G Suite.

Pros

  • Easy to use. It's simple and anyone can learn how to use it.
  • There are a lot of resources - from organization users to handling business documents.
  • The help function! If you don't know how to use it, there's a simple help function.

Cons

  • GSuite can do a better job at connecting it Google Analytics vs. having a separate sign-in.
  • Their admin console could be more customizable and have things like analytics up in the front.
  • The pricing could be lower.

Likelihood to Recommend

GSuite is good for any small business looking to get started with some professional online tools. It has helped us get our emails and company profile started. It has helped us with managing users and documents. We wouldn't be able to function without G Suite as a business. I think G Suite can work for larger organizations, but it might start getting pricey.
