Use Cases and Deployment Scope

We implemented Google Authenticator for Multi Factor Authentication as a standalone tool for many of our internal systems so our users are not using a bunch of different authenticator applications. Feedback from our team has been that Google Authenticator is an easier authenticator tool to use and makes training users easier. We have been able to develop training documents to help guide users through the setup process.

  • Does not seem as popular as other solutions like microsoft authenticator
  • App has a lot of updates
  • Interface could be filled up more

Google Authenticator has been a great too to consolidate our users into 1 single multi factor authentication application instead of using multiple per user, and to make all users follow a standard application so we can better troubleshoot issues and onboard users easier. Google Authenticator makes it easy to add new accounts.

We use Google Authenticator as a tool for two-factor authentication while connecting to VPN. It is incredibly easy to set up on our smartphone and since the key updates every few seconds, the security it provides is extremely good. This is obviously a better option when compared to using a traditional OTP system for the two-factor authentication process.

Pros

  • Easy to set up and transfer when switching between smartphones since it is linked to your Google account.
  • Generates a random access key every few seconds which makes it safe and reliable.
  • Very quick in validating and authenticating the key.

Cons

  • Since the key updates every few seconds, we will have to wait for a new key to generate when the timer is almost running out for the current one.

- Works perfectly even when the smartphone is not connected to the internet.
- Easy to transfer accounts.
- Can use it to authenticate multiple tools.
- Scanning a QR code is all that is needed to set up and configure a new authenticator.
- Easy to take backups and sync in case the timing on the clock is not right.

This app is an important resource for securing accounts by saving and generating tokens. We recommend it for all users not only in an organization.

Pros

  • Saves tokens.
  • Generates codes.
  • Associates them with accounts automatically.

Cons

  • If you lost your phone you will lose all the info. There is no association with the Google Account. Data is saved locally.

Likelihood to Recommend

If you are sure you will not lose your phone or if you can do a backup, you can use it. Since data is saved locally, there is no risk of a third party accessing the data.

We use a lot of online services that require login, and the best way to secure the credentials is by using 2 factor authentication.

Google Authenticator is the simplest and most accessible solution for most users, and the one I usually recommend my coworkers, as all you need is a Google or GSuite account, which everyone has.

Pros

  • Easy to use.
  • Compatible with any phone.
  • Known provider that's easy to trust.

Cons

  • Sync across devices in real time, to computer for example
  • Allow exporting the data to be able to migrate to other apps

Likelihood to Recommend

If you want an easy to use, easy to recommend and reliable solution for 2FA, this is a great go-to.
If you want some more advanced features I'd go with Authy, or another solution that offers stuff like sync, export, privacy-first focus etc.

Additionally, some services only allow the use of text messages, which is a shame.. But for those Google Authenticator (or any other app) won't work anyway.

We use this authenticator as a valuable part of our security toolkit. Google Authenticator is easy to install on most mobile devices and quick to add additional services to for PINs. Two-factor auth is a requirement for many of our systems and this solves the problem across the org without having to buy individual fobs.

  • Fast to load.

Cons

  • Backup and loss protection can be challenging.

Google Authenticator Does What You Need

We found we really wanted to secure more of the logins at our company, and some of the other authenticator apps either froze up or wouldn't recognize the programs we were using. We implemented Google Authenticator as a one-stop-shop to enable 2FA in an easily adaptable, quick way across the company. All departments utilize Google Authenticator.

Pros

  • Easy to set up: this is helpful because no one likes trying to set up glitchy tools for something they know will make their lives harder.
  • Compatible across numerous platforms: I can use it with email, with Salesforce, and I never have to worry if I'll need a secondary program.
  • Easy to use: doesn't freeze up, works in real-time, and I never have to worry about missing a text for a confirmation code.

Cons

  • I wish Google would work with partners more to make it easier to know if I can use Google Authenticator.
  • This is lame but I wish the branding on the app reminded me more of Google than it does. I almost always go "where is this?" because I don't recognize the logo of the app.
  • I'd love to see an "authorize app" button vs HAVING to put in the code. Lastpass Authenticator has this and it's great.

Likelihood to Recommend

Google Authenticator is great for companies or groups of people that want to secure their logins, like if they travel a lot and there's the possibility their laptop could get into the wrong hands, or anyone dealing with a lot of data that needs to be protected because if your account gets hacked it's just a good extra level of security. In my opinion, I wouldn't use it unless I had actual data I needed to protect. If you're mostly worried about passwords I'd do Last Pass so the passwords are encrypted and such. So in my opinion, it's good for businesses that have a lot of people with different phones and such, less great for personal use.

Google Authenticator is used as a 2-step verification method for all account authentications with various software services that support its use. There are numerous forms of 2-step verification and so the entire organization is not making use of this particular method. It, along with the other methods, provides an added layer of security that is necessary within an enterprise as a security best practice.

  • 2-step verification
  • Convenience as an app

Cons

  • None. It works really well and does its job.

Likelihood to Recommend

Google Authenticator is well suited as a method for 2-step verification for authentication requests to various software systems. It is more convenient to use than a hardware security key (FIDO) since it is just an app installed on your mobile phone rather than a separate piece of hardware. With that said, it is not as secure as a hardware key.

My experience with Google authenticator is purely from a user standpoint. I have multiple programs I use that utilize Authenticator as a security step. I do not handle establishing Authenticator onto applications.

Pros

  • Authenticator is pretty easy to use. I use the mobile app to log into programs using the supplied code.
  • Authenticator keeps my login processes safe so I don't have to worry about malicious intrusion.

Cons

  • The only complaint I have about this application is how I have to get into a mobile app to access certain programs. If I don't have my phone handy, I need to go find it, and you aren't prompted each time you open the software to use Authenticator, so it's always a gamble.

Likelihood to Recommend

I appreciate Authenticator securing programs, but it can be slightly annoying at times. It's the best solution I'm aware of.
