I use Filevine to organize and negotiate medical bills. I like how it places everything in one place for medical information regarding each case. I also use the documentation tab to look up case information regarding liens and key case information that important in closing a case. Since I am in the closing department I also use QB accounting so that I can make sure case expenses are accounted for in disbursement of funds.

Pros

  • Vital Case information that right in front of me at all times
  • Quick Access to financial reports that are key to the firm
  • And great contact information that is found all in one place

Cons

  • Improving document tracking. I wish Filevine could automatically organize all files uploaded
  • Every time I log off, I lose the cases that I was working on for the next day
  • ChatGPT should be integrated into Filevine for more accurate analysis

  • Tracking Settlements for each month and improved accountability and incentivized more settlements for the firm by 40%

I use Filevine daily in my Firm. Filevine is part of the intake process through settlement and closing out a case. I have also used Filevine in my deposition preparation and information gathering within my cases. Filevine allows me to have quick access to important case information. With the new AI tools, I can get questions answered quickly and with citations to where I can find the answers within the file.

Cons

  • AI demands are lagging, but hope to be better
  • I would like to see a more robust AI sidebar...its too narrow
  • I would like to be able to scroll/scrub video without having to download it.

Our organization uses Filevine as a Case Management system. Allowing us to track a patient/client's case from referral till the case settles. Their system addresses everything from communication tracking to client accounting. Ensuring that we are tracking all providers bills, records, affidavits and subpoenas. We are able to task cases out for follow-up so we are not missing any important deadlines.

  • Portal access for clients, providers, etc.
  • Task follow-up
  • Contact cards (for all providers)

Cons

  • Automation customization is hard to navigate if you are unable to afford the cost of having a third-party do the set-up
  • Mailroom notifications for non faxes - We should be able to obtain notifications for emails that our sent into our mailroom

  • We've tripled our approved cases from 80 cases a year to now at 250 new referrals

backbone of case management. Used and relied on in every case we have. We manage over 270 active files. It allows emails, correspondence and text messages to be documented to the file. Retains all records and is customizable for the file sections needed and fields in most sections.

Pros

  • Set up fields as desired.
  • Set tasks as desired.
  • Set reminders and deadlines as needed.
  • communication with client via text and email and documented to file.
  • good trust accounting and billing.

Cons

  • Need to be able to clear the activity feed more quickly.
  • Less complicated field customization
  • easier changing of users when personnel leave the firm and are replaced.

Return on Investment

  • Allows much attention to detail on many cases. We can handle more cases more easily. Revenue is up for several years by at least 25%
  • Better client communication and less expensive with texting from the file. Less expense than letters. Reduction in letterhead and postage costs of at least $2000 per year. Emailed letters may not be noticed as quickly but text messages are.
  • Less time on billing. Saves on our bookkeeper tasks making it more part time and allows paralegal tasks to be added for this person increasing productivity.

We use Filevine for everything in our practice, but in my role, what I most love is its ability to feed QuickBooks Online our vendor bills and create invoices, making it by extension even our primary financial reporting tool. As a new, agile SaaS platform they are always improving (not always on the same priority as our firm, but not everyone can win each time). Our attorneys are using it to track time, and thanks to the codes we use I can generate exceptionally detailed reports from which to manage their workload. With the Feed and notifications, we have no need for a Slack-type program, which is remarkable given 300 active cases where several team members are contributing on each daily. We also were able to ditch our "server" shared storage thanks to the document management. Love this product even on days I don't get the features I suggest. My turn is coming.

  • Managerial Reporting - specifically Timesheet based. Too visible
  • Integrated real Adobe functionality (licensing issue I know)
  • Native QBO integration or replacement vs Consultant addon

  • No need for supplemental programs like Slack or Teams
  • Cloud storage tied to workflow is magical
