Expensify is primarily used by organizations to automate and simplify expense management, enabling employees to track, categorize, and submit expenses for reimbursement, particularly for travel and client-related costs. In TrustRadius reviews, it is widely adopted for its intuitive design and user-friendly experience, which contributes to efficient expense tracking and faster reimbursements. The platform's robust receipt scanning capabilities, praised by 55% of reviewers, allow for quick digital capture and processing, significantly reducing the administrative burden.
Reviewers consistently report significant time savings and improved operational workflows as key benefits, allowing personnel to focus on core tasks. However, areas for improvement include the mobile application's performance and user experience, which 25% of reviewers cited as needing refinement. Some users also noted issues with receipt scanning accuracy and the complexity of expense report creation. Despite these points, overall sentiment indicates Expensify positively impacts business objectives by streamlining financial operations.
Pros
Easy scanning, uploading, and processing of receipts with automated data extraction
Intuitive and user-friendly interface for expense submission and approval
Significant time savings by reducing administrative burden on expense reporting
Automation features for report submission and error checking
Accelerated reimbursement cycles for employees
Cons
Mobile application performance and user experience (responsiveness, menu clarity, setup)
Receipt scanning speed and OCR accuracy, particularly with varied file formats
Cumbersome or overly detailed expense and report creation processes
Automation improvements needed in auto-categorization and recurring expense generation
Difficulty editing reports or handling rejected expenses within workflows
We use Expensify for all credit card expense reporting. I like that you can have multiple cards all kept separately. Each card holder must load their receipts and enter information about the purchase and io get notification to approve or reject. I am no longer chasing down receipts. I can see what is being spent by who & when. The learning curve is also minimal.
Pros
I like the approval process and how you can set up multiple levels of approval
This software works well for individuals, starts ups or large businesses.
On compliance, you set up your parameters/requirements and Expensify makes certain expenses are within the company policy.
Cons
I tell everyone to use web browser and login because the mobile app usually does not work properly. It duplicates transactions, smartscan usually doesn't work. it really needs some attention.
Customer support could use some improvement. The Concierge is pretty useless.

Expensify is a great and powerful tool for reporting, saving valuable time with it's automation features. It syncs well with most any accounting software. I reviewed many other softwares prior to signing with Expensify and Expensify did have the best pricing. Completely remote or in the field workers may struggle with the Expensify app, as it does need some work.

Expensify is used throughout my company for both expense reimbursements and company card transactions. It increases spending accountability while also allowing users to easily submit receipts through their accounting and payment process. The online interface is adequate, but the mobile app is probably the best feature for the typical user. You can photograph your receipts on your phone at the time of purchase and then easily upload them into Expensify when the charge posts.
Pros
The mobile app is my favorite feature. I much prefer photographing my receipts inside the app versus scanning them and uploading them on my desktop.
GL items are fully customizable according to the unique needs of your organization.
Expenses automatically port into a rolling report, but you can make your own reports and recategorize expenses depending on your own personal preferences.
Cons
You can create triggers that allow Expensify to automatically populate some of your expense details, but in my opinion, this function could do a lot more.

My company is in the midst of a transition away from Expensify and toward a competitor. I don't know what made that decision, but I'm not looking forward to it! Expensify has always been easy to use for me and my team. I can't think of any company where it would not be useful.

Manager in Finance and Accounting (501-1000 employees)
Our company uses Expensify for our Petty Cash spending. Multiple employees have cards, all drawing from the same bank account. It's handy to have a bigger spending limit per card, as well as the automatic receipt generation for several types of purchases. Also, the repeated reminders to upload the receipt for larger purchases are a lifesaver. We have several employees who have historically thought of receipts as unnecessary paperwork, leading to accounting hounding the employees for receipts or spending time asking vendors to email missing receipts. This has led to discontent between departments. Initially, adding the new system created an organic change in procedure requirements that employees could understand but not take personally. Now, Expensify automatically does the "hounding," so forgetful employees no longer have a person to be mad at. When a card is lost or compromised, the ability to turn off a card and order a new one is very smooth. While waiting for the physical card to arrive, it is nice to still be able to use the virtual card. Altogether, I would recommend Expensify, especially for smaller businesses where all the employees know each other.
Pros
Spending tracking
Reminders for receipts
Detailed spending reports
Smooth turn around for replacing lost cards
Cons
Once a batch is closed I cannot edit any information, or add a receipt
Once a card is locked, I cannot order a new card. Your AI chat suggests to lock a card first, then order a new one, which then requires unlocking the card. The order of opperations needs to be switched or allow for ordering a new card once an old card is locked (which also makes sense).
Adding an option to talk to a person when openining Concierge. The AI is really good, but is still limited.

I think it's really good for small businesses. At least in the way we use it. It's very good for keeping an eye on employee spending in nearly real time. I'm not sure how it works for larger companies when there is a larger number of people to keep track of.
I've used Expensify as a corporate employee when my small company had zero useful accounting tools of their own and I've used it for my own small businesses. If the corporate job I had would have chose Expensify (over the "other guys" who are terrible but have made a name for themselves in expenses/travel), I would have been a MUCH happier business traveler. Expensify is far and away my favorite expense recording program. The app is actually useful and truly makes capturing and organizing expenses a breeze. As a small business owner I love that I can set up reports for whatever I want, quarters, mileage tracking, whatever works with my business flow and can export them into a spreadsheet for accounting purposes.
Pros
Easy report building
Accurately scanning receipts
Capturing mileage in multiple ways
Cons
Settings for defaults are a little buried sometimes
Easier set up for sole proprietors
Ability to hide/archive old reports

I've suggested it to many colleagues in real estate since you can track miles as well as expenses. It's also great for those small businesses who ask for spreadsheets and copies of receipts. No looking for that ...track it all in the app and send a beautiful report in a spreadsheet or PDF to accounting!
