Use Cases and Deployment Scope

I use deputy as an employee in order to clock in and out of classes that I teach. It is what our manager uses to schedule us. We can offer shifts up and or put in vacation requests. It keeps us all on the same page and helps our manager with pay roll!

Plenty of reminders

Cons

You used to be able to quite easily go back in and change your time but now that does not work the same. If I miss a shift I have to clock a different one. I used to be able to start the shift I forgot to sign in for and then adjust the time
Reminders for longer than an hour in advance
an integration with apple calendar!

Likelihood to Recommend

Great for shift work and for scheduling employees who get paid by the hour. Not great for people who don't necessarily need to clock in, those who just need to get the work done.

Well suited for a small to moderate sized business. It takes time though so it should be an employee's job to take care of it, not someone higher up or the owner persay.

Use Cases and Deployment Scope

We currently use Deputy to manage our staff rostering and timesheets and integrate with MYOB for payroll. The added functionality of being able to assign tasks to not only individual employees but also areas is handy, along with the Newsfeed being able to keep all staff members updated easily.

Newsfeed: The ability to schedule when messages are sent to employees would be advantageous.
Tasks: Being able to assign a task list to multiple areas instead of just being limited to one.
Leave Requests: the ability to have customizable cut-off times for submitting leave (e.g. Leave requests for the next week can only be submitted up to 5 pm on Thursday the week prior).
Tasks: Being able to assign tasks to individual employees and schedule when they receive the notification (i.e. if I am setting tasks at 11 pm at night for staff commencing work at 5 am).
The ability to have a designated (management) employee included on ALL Newsfeed messages regardless of if they have been included. This would ensure proper moderation of the platform.

Likelihood to Recommend

Deputy is a great all-around program for managing not just rosters and timesheets but also being a communications platform for staff and management alike.

Use Cases and Deployment Scope

We use Deputy to track all of our retail store employee hours, and then import that over to Gusto for our payroll. It works really well, and we haven't had any software issues. We tried a phone app before Deputy. However, the problem we ran into was that after phone updates it didn't auto-launch, or an employee might forget their phone, etc. So, having Deputy run on a tablet that they can check into every shift was the far easier method. The ability for it to intergrade with Gusto was also a plus!

Cons

It sometimes gets stuck on the clock-out function. You may have to hit that button several times occasionally.

Likelihood to Recommend

I think that if you have hourly employees that need an easy way to clock in and clock out, that Deputy succeeds in providing an easy to use, and inexpensive solution. The only other method we've used is time cards, but I can't stand being that antiquated. Plus you would need to manually enter everyone's times into payroll.

We set up an off-shore team comprising our customer service team and other departments. We needed a platform to manage the scheduling (Workforce management) and leave balances of our entire off-shore team. We currently use a deputy to manage this. Our teams’ schedules change on a monthly basis and the deputy makes it easy for us to create rosters in advance and track who starts when, who is late, and who is on leave.

Scheduling: we use Deputy for scheduling our multiple teams. I like the way we can set up multiple teams and view their schedules easily. Our most used feature and I find it good. Timesheets: Timesheets are automatically created and are easy to review, edit and approve.Shift start and end: Employees can start their shift and end their shift easily, this allows us to see if they are working OT, starting early or late. UI: overall I like the UI, it’s simple and easy to use. Areas to improve: The integration page is not very flexible and limited, integrations can be improved.

Deputy is being used to track employee shift start and end times as well as breaks. It has conveniently been set up on a wall-mounted tablet, which also enables it to capture a picture when accessed. This prevents employees clocking in or out for other people. Managers are also able to easily publish schedules and access or edit timesheets and record time off.

Deputy is great for a small to medium-size businesses that has multiple locations. As part of the process, it will track how an employee clocked in/out and from what device. While you can also change the geofence settings to restrict clock-in access to a single device and ensure employees cannot clock in on their phone/off property, it still requires separate locations/areas to be set up for different departments.

I use Deputy to easily schedule, approve time sheets and post shifts. Deputy saves time with key features such as the ability to approve multiple time sheets with one click and the ability to copy and paste shifts from using previous weeks. The News Feed feature is also a great resource to provide updates to team members.

I use Deputy for rostering and timesheets. Previously employees had to write their times down on a hardcopy timesheet. Using Deputy allows staff to access roster and timesheet from anywhere and means I do not have to store hardcopy timesheets, etc.

Pros

Schedules are easy to read.
Able to easily differentiate between staff e.g. Clinical and Reception.
Timesheets are easily confirmed and approved.

Cons

I haven't previously used online rosters or timesheets so hard to compare. However, I find it can be quite clunky... approving leave is a bit of a process.
Ideally, when logging on to Deputy the current schedule and timesheet would be displayed. It seems I always have to change the date fields to align with the current date.

Likelihood to Recommend

New employees - employee onboarding is a great feature, however, it does not populate the employee's personal details (e.g. address field, next of kin). This can cause confusion to the new employee when I ask them to complete their personal details. I'm not particularly enamoured of the leave requests and processing however this is probably something I need to set up better in Deputy and Xero. I think using Deputy in a large company would be onerous.

Use Cases and Deployment Scope

I use Deputy for staff scheduling and staff communications of the DTC/Hospitality department here at the winery. We do not use it company-wide and we do not use it for timecard management.

Pros

Creating a schedule of part time workers based on their reported availability
Maintaining a communications channel with part-time staff members that are rarely on duty at the same time
Creating a schedule across several different job duties in a multi-role hospitality environment and a crew that is sometimes cross-trained for multiple job assignments

Cons

I have been disappointed at the ability to customize individual worker preferences without outright hard limits to hours permitted per week. (i.e. Person A likes to work 2-3 times per week while Person B prefers 4-5. Person C likes shorter shifts while Person D likes longer shifts) For this reason, I am not able to use the auto-scheduling function as I'd hoped.
There are odd and annoying glitches in the app. For example, the dropdown of staff available for particular shift auto scrolls when I move my mouse, sometimes making it quite difficult to select the employee I'm targeting without creatively moving my mouse in and out of the dropdown menu. This started happening a few months ago. Another example: When an employee is using the Unavailability feature and selects a "begin" date, the app always plugs the PREVIOUS day's date into the "end" date field. This causes some of my employees to have difficulty making their entries.
We do not use the app for timekeeping. Very disappointed that, despite that, the app always lists staff as late to work. This should be something that we can turn off since we don't use it for clocking in or out.
Would love it if the News Feed had more formatting options (i.e. bullets, bold, italics, that sort of thing.)

Overall, I am happy with Deputy's capabilities as it pertains to scheduling and staff communications. I have not utilized the timekeeping features but the fact that it integrates with certain payroll platforms would likely be a plus for businesses that would like that added feature. The fee structure of the monthly price per employee is very reasonable for what the app offers. There are some areas that could benefit from some improvements in layout and function but nothing too detrimental to the overall experience.
