We use Apricot as a Customer Resource Management tool to track clients as they matriculate through our job readiness training, which prepares individuals for a career in the arts industry. We can track their data, including the exact training they received, their employment status, the type and amount of supportive services they receive, and so on.

Pros

A good choice of fields for entering data.
Well-organized folder system.
The software has good security protocol.

Cons

The ability to delete an incorrect entry.
The ability to enter internships into client profiles, as opposed to only permanent employment.
Making it to where it does not let you enter a duplicate name.

It assists us in tracking the quality of the work we do as well as the track data of all the tasks we are completing. It helps us to show donors and funders how there money is being used to build stronger and safer communities.

Pros

Allows us to set notification reminders when residents of our program advance through out program
Allows us to create reports tailored to the information that we need
Allows us to update information efficiently and in real time so that everyone on the team can be on the same page.

Cons

Figuring out a more fluid way to be sure data is saved as there has been times when I complete a document and go back to see the information is no longer inputted.
Better navigation to make changes when documents are not working.

I would say the way we are able to track information amongst our team of 4 but serve 30+ active program participants, 80+ graduates, volunteers, and staff engagement, which was complicated before doing most of our documentation and tracking through Google Suite. With the system there is imbedded accountability for case managers and leadership to be sure we are all doing our part and simultaneously tracking data which helps us to have more time to engage face to face.

We use Bonterra Apricot to help us serve our clients the best we can. That includes intake, case notes, and file needs. We have recently started to use Apricot to create reports and we have found that to be very helpful when having to report to the State our yearly numbers.

Filters on reports
Sometimes Bonterra Apricot can be slow and prohibits you from doing your work in a timely manner
Some functionalities could be easier to use. I have to reteach myself to do some functionalities each time I go to use them.

Bonterra Apricot is well suited for any type of case management needs. Once you know how to use the functions on Apricot, they are very helpful in making sure your team is equipped to care for their clients well.

I use Bonterra Apricot as a case manager. This is where majority of my clients informationis stored.

Pros

Keeps track and tells me when my 6 months and yearlys are due
I can easliy store docuements
I can access documents easily

Cons

I would say creating a household for a client is where my struggle comes in. I always have to remind myself of how to do it.
It would also be nice to go in and make corrections. Example: If I mistakenly leave something out of my case notes. I can't go back in and correct on my own.

Bonterra Apricot is used to document our interactions with clients. It is streamlined and straightforward, and allows us to see the previous interactions the client has had with other staff members. Bonterra Apricot is useful in documenting of services provided to our clients as well, and with our program administrator able to tailor the website to us, it helps keep everyone informed of our activities. It also helps our staff stay protected as we can document what we offered and what is within our scope of practice. Our organization rely on Bonterra Apricot tremendously.

I think Bonterra Apricot could be more aesthetically pleasing
It could be easier to navigate
it could be clearer on where information is input

It is well suited for documentation of client services but it is less appropriate when those interactions do not require documentation to occur. For example, small interactions with client are difficult to document due to the limited coding sections,, however i am unsure if our program administrator would be able to address those concerns

We use your software to keep track of our clients and follow up with them as needed. We have many team members to coordinate, like advocates, therapists, and grant writers. The software it replaced was very confusing to use, so Apricot has been a huge improvement over the old program.

I use it for participant records, specifically tracking who needs to be met with, recording the date they were met with, the subsequent follow-up, and additional contact information.

Pros

Flexible form creation.
Flexible report exporting.
Being an All in One.

Cons

A bit more control over report output.
More variables to sort data by.
I can't think of anything else.

I've used it in 2 different job roles, both tracking participants. One was tracking for SOR grant interviews; the other was participant check-in as a peer navigator. I also use it as a resource for follow-ups for another department.

when scrolling through data if you click on something then click out it takes you back to the beginning it would be nice if it saved your place
sometimes when you try to search a client by name they dont pop up unless you only put in partial names

We use Bonterra Case Management (Apricot) to track services we provide to people impacted by domestic violence, sexual assault, child abuse. We also assist people with basic needs items and referrals to community partners. Apricot helps us stay organized by having all client information in one place to prevent duplication of services. It also helps us know who we currently have in shelter, who is being assisted by which advocates in our outreach program, and how many presentations we have provided to folks in our service area. We also use Apricot to help us gather information needed to report to grantors and donors who want to see how their money is spent and how many people we are able to help. I used Apricot at my previous job in another victim services organization so stepping into my current role and seeing Apricot made on-boarding super easy.

Cons

I'd like to see an "Abuser's Profile" section or something we can link clients to the person who offended against them. Then if we see an abuser having multiple victims, we can work more effectively with local law enforcement and our clients.
Across programs, if Apricot could list items given to clients in their services drop down that would help cut time searching.
The duplicate warning comes up when there isn't a duplicate, which is confusing.

Likelihood to Recommend

Looking up services that a client has received previously can help our advocates see patterns where clients struggle. That helps us safety plan with them more effectively or assist with budgeting so they aren't scrambling every year at a certain time for utility or rent payments.
