Use Cases and Deployment Scope

When using BoardPro, the first considerable advantage is the fact of having all the necessary and useful elements in one place. This particularity has improved and enhanced the ease of communication and integration of the multiple development teams for projects and events in the organization. In addition, the use in real time has favored the cooperation of the work in planning and execution of tasks, together with the differentiation of documentation, making it an excellent tool for classifying useful information for the different teams.

The best scenarios for the use of BoardPro are highlighted when there is planning, development, coordination, execution and monitoring of projects and activities, in addition to being an information panel for all the members of the different teams of the organization, it provides the ability to hold meetings, an integrating element that stands out from other software. The management of the boards is exceptionally intuitive and easy to use, in addition to simplifying its content in a way that is easy to understand for all people, granting continuity and consistency to the work or works to be developed. An area of opportunity where it could be developed in a better way is offline work, since it will not be possible for your team members to work in this way.

Use Cases and Deployment Scope

For our organization, I'm a Project Manager and there are a lot of projects that I have to manage, in different areas and with different team members. With BoardPro I use an unique platform to manage all the projects also when I have to communicate with people outside the company. BoardPro is like a control panel (a board) where you can show all the details for every project without waste time or searching mails and documents in outlook or in your local repository. You are sure that the document you are working on is the last version and, when there are corrections or integrations you know when they were done and who did them. Moreover, every document is linked with an event in the agenda, so it makes easy to share the documents with all the people who participated in a meeting. In my experience the more relevant benefits are: a cleaner way to manage projects; avoiding waste of time to search and re-create the meetings (and also the ideas, the notes and the decisions that were taken) and give to the team members a space in which they can collaborate as a team.

For every project there are the details of every single meeting; and for every meeting you can easily look all the notes and the minutes taken

Likelihood to Recommend

BoardPro has potential when you have to manage different projects or, for the same project, different tasks. This because in my opinion, the main advantage is having in a unique board all the details for every single project without switch from outlook, to word, to one not or to local repository or so on. Moreover, when you have to manage different project often the subjects are different but the way to manage is quite similar (for instance, in the case of the "Agile method") and with BoardPro you can create some standard templates that you can re-use in different tasks. Less appropriate when you have to manage a simple task, with few people (groups of three/four people) to coordinate, because even if Board Pro can be use, you can have same results also with other instruments (basically only with outlook and its function of meetings and emails)

Pros

Enabling fast uploading and changing of documents.
User friendly and simple to understand.
Great storage for documents.

Doesn't let us use our own system for keeping minutes.
Creates an agenda when I already have one.

BoardPro is being used by our board of directors for a small not-for-profit organisation. We have a very diverse board, across the age spectrum and all members utilise BoardPro and find it easy to navigate and use. We are able to access board papers ahead of meetings and follow the board pack during meetings.

Cons

Include a feature where all information is displayed on one page. For example my finance and risk subcommittee and assests and investments subcommittee material and information is on the same page as the main board material and information.
I am not sure if this feature is already available but BoardPro integration in Outlook email or Gmail and other services.
The above suggestion will allow the invites saved on emails to update automatically.

Likelihood to Recommend

BoardPro is the pre-eminent tool to be used for board of directors. BoardPro is well suited for not-for-profit organisations or any board that is looking for a tool that is simple to use and effective. COVID19 has meant that we have no face-to-face meetings and a lot of decisions are required within a short time-frame due to the changing landscape because of COVID19. The flying minute feature has allowed us to make decisions quickly and efficiently.

Use Cases and Deployment Scope

As General Manager and Board Member I am the main user of board pro in the organisation.

I use it to create streamlined board meetings each Quarter. I upload any required docs (as does our CFO) before board meetings and send out board packs before meetings so everyone has time to read through and be prepared for each board meeting.

It removes the problem of not being organised for board meetings.

Plus it is a place where all tasks and actions are recorded and allocated to different board members.

Pros

Ability to upload documents
Ability to create a Board Pack - which can be sent out via the software to board members
A place to record minutes during the board meeting

Cons

Ability to upload large excel spreadsheets.

Likelihood to Recommend

I can log in at any time and add agenda items to the next meeting.

I can assign actions during board meetings and these are sent out to different board members after the board meeting to follow up - automated.

I don't have to redo minutes and send out - it is all done during the meeting.

It is being used by 3 Boards and 2 sub-committees across the group. The following functions offered by BoardPro are now considered fundamental to keeping on top of the group's busy meeting schedule and keeping Board members in touch and engaged between meetings: setting agendas, distributing Board packs, updating papers online, ability to annotate papers, writing well-structured minutes, distribution and approval of minutes, Flying Minutes for decisions between scheduled Board meetings, Interests Register, Decisions Register, ability to search previous meetings' documents, actions and action reminders, and more. All this is even more essential as we have moved to working online so much more during COVID-19.

The ability for Directors to update their own interests in the Interests Register is efficient and puts the responsibility on them to ensure this is up to date - this is automatically included in each Board pack.
The actions feature is fantastic - allocating a person responsible and an action deadline which then is followed up by BoardPro email reminders keeps people on tasks and allows the Chair to stay on top of actions as they are reported in the Board packs each meeting.

Cons

One feature which I believe is being worked on is the ability to allocate an action to more than one Board member, so everyone gets a reminder if it's a group action.
BoardPro are incredibly responsive to feedback and have continually enhanced their product over the years I've been using it and will no doubt continue to do so.

Likelihood to Recommend

I am using BoardPro in two other organisations - one of which is a national NGO and the other a small charity. Without BoardPro, servicing so many Boards and sub-committees efficiently would be nearly impossible. I have recently implemented BoardPro in the small charity to help it on its journey developing its governance and growing its service. This has been welcomed by the Board. The structure provided within BoardPro is excellent and they offer discounted rates for Not-for-Profits. I see it as being suitable for all organisations.
