Use Cases and Deployment Scope

BetterCloud allows us to automate tasks that would otherwise take three fulltime employees to execute each month. The SaaSOPS management platform allows to save on Google Licensing costs as we delegate administrative access thru the platform rather than using additional privileged accounts. BetterCloud also allows us to integrate different Saas Platforms to facilitate actions within each of the Apps, simplifying and correlating actions related to user access.

Pros

  • Actions on individual accounts, managing access thru automation using well defined and customizable triggers
  • Provisioning actions across different SaaS Platforms unifying and simplifying access
  • Data Loss Prevention through Data Protection scanning and actionable information that can be automated

Cons

  • More data exposure/insights available via the interface
  • Scheduled reporting functionality within the Enterprise SKUs
  • Improved service integration capabilities in services that have been in play for some time (Google)

BetterCloud, a necessary tool for managing Google Workspace where Admin Console is lacking

Use Cases and Deployment Scope

We use BetterCloud for both Google Workspace automation and reporting/auditing specific Google Apps. There are many features missing from Google Workspace that only BetterCloud can do (or using Google API directly) can do. Reinstead of reinventing the wheel and building in-house solutions, it's much cheaper and more efficient to use BetterCloud and their massive databases for Google Workspace. And it doesn't require any Google API coding experience, so a non-dev team can use Domain-Wide Delegation tools.

We use it for many things, including:

<ul><li>Assigning delegates</li><li>Bulk assigning email signatures and forward</li><li>Automated offboarding of Google accounts</li><li>Auditing Google Group licenses</li><li>Auditing Google Drive files and taking ownership of specific files</li></ul>

Pros

  • Allows us to quickly audit and assign delegates to email account, something that's completely missing in Google as an administrative function
  • Allows us to automate offboarding of a Google account
  • Allows us to perform bulk actions, like assigning email signatures and forwarding to hundreds of accounts at a time
  • Allows us to audit Google Drive files. Orphaned files are very common in Google Workspace, and BetterCloud allows us to find them and take ownership of them.

Cons

  • BetterCloud's application suite is split between the older g.bettercloud and the newer app.bettercloud. Most of the more useful tools are still on g.bettercloud. They need to combine these 2 tools better
  • You're only allowed to do a complete sync your Google Workspace data once a day on g.bettercloud. I would like the ability to sync certain parts of the Workspace on demand (e.g. syncing just the Google Groups, which shouldn't take long)

  • Positive impact. It's expensive, but it's worth it. More like: we have no better alternative since Google Admin Console is missing so many features.

We use Bettercloud currently and have used it for years to facilitate offboarding and deprovisioning of G-Suite user accounts. We use it to setup auto-replies, and inheritance of the off-boarded user's Google products (Drive, Groups, Calendars) to another user. We do not use it for onboarding: we use an on-prem app to create users and sync that information to G-Suite, Azure, and local AD. That information appears in Bettercloud automatically as it syncs with our domain.

We are trying to use Bettercloud to automate on/offboarding of new hires/terminations, but Betterclouds integration with Workday does not include the ability to create a username/email address in the very common first initial, lastname @ domain.com. This is a very frustrating situation because we want HR to be able to dictate who is and isn't an active user based on their employment status. This means Workday would be the source of truth in terms of "should a user have access to company services/data," while not necessarily being the source of truth for "what does this specific user have access to?" We can handle that with titles from Workday and security groups from Azure. It's kind of ridiculous that the Workday integration can't create a user based on the first initial when the first name string exists. This seems like a simple engineering change to the integration that Bettercloud has little interest in doing. It's also surprising that other clients have no asked for this because it means the clients are doing more work to stick to years-long and firmly established naming convention for hires.

Pros

  • Deprovisioning users (auto-replies for terminated users, suspension and reminders for final deletion)
  • Handling object ownership (calendars, email delegation, etc.)

Cons

  • Automated workflow integrations (more data points should be available, if the API of the service accessed is the limit, then the engineers should be able to modify data pulled from the API in a way the helps the client in Bettercloud's interface)
  • Ownership for calendars can be very buggy--inheritance, especially of private calendars that need to be managed by multiple people, does not always go through despite confirmation from the web UI. Sometimes we will have calendars that show a certain user has access, but they do not. Removing that user and re-adding them, occasionally multiple times, has to be done to fix the issue. Though I am unsure if this is an issue with Bettercloud, G-Suite, or a lag time in syncing calendar membership data. That said, the interface for managing such access is much better in Bettercloud than in G-Suite itself.

  • For deprovisioning users, the product works as expected with some performance hiccups, but it streamlines our manual processes.
  • Workflow automations at this point do not seem like a product worth purchasing as it will require more work on our end to get automations to do what we want them to, which defeats the purpose of automations.

BetterCloud - If your budget is there, this is your must have tool to automate IT Operations

Use Cases and Deployment Scope

We primarily use BetterCloud to automate our onboarding and offboarding processes. Our normal offboarding process would take 15-30 minutes (per person) if we didn't have BetterCloud workflows in place. The product itself saves our team a ton of time with its ability to automate day-to-day tasks. The overall UI is incredibly easy to use in comparison to other similar products. There are a number of integrations that BetterCloud offers and they are continuously adding more applications in their integration center. Whatever app your business is using, BetterCloud likely already built the integration so that you can create workflows for that app.

  • I think the dashboard could use a redesign. I can't say for sure what the dashboard should look like but there should be the ability to edit the dashboard to show information we want to see

Use Cases and Deployment Scope

We integrate Bettercloud with Google for use in onboarding and offboarding accounts. It is utilized for group movement in Google via work flow mmanagement. We have used it to automate and save thousands of hours of manual user processing. Within education both staff and studnets move schools and change not only their location but also email groups, calendar shares, document shares, etc. THe workflows allow us to automate this function.

Pros

  • Onboarding of accounts for Google and O365
  • Offboarding of accounts for Google and O365
  • Customer service
  • Alerting of documents with sensitive data and restricting external sharing.

Cons

  • Integration with Google in the App version to allow pushing of email signatures, this feature is available in the legacy version.
  • More canned reports, although custom reports are available for you to build yourself.
  • More onsite visits with customers if available, to be onsite and see what challenges are available first hand.
