Use Cases and Deployment Scope

We use Atlassian Confluence as a wiki for our company. A lot of articles, informations, knowledge are available in the tool such as : incident management process, project infos, architecture decision records. It's quite useful to keep a track of static knowledge.

The search is totally not good enough
integration with google spreadsheet should be improved
The management of knowledge outdated should be improved

If the need is capitalizing the knowledge of the company, Atlassian Confluence is probably the good tool. The way a wiki is working is very efficient to connect knowledge together. But the search function is not enough efficient. I spend too much time trying to find a specific content. At the end, I manage a lot of bookmarks to Atlassian Confluence pages to make my life easier because of the search not working well enough.

As a researcher, I mainly use Atlassian Confluence as a repository for all the current and past research reports that I can access to and share with other team members. In my team's space, I create pages to summarize the research findings and recommendations, while also attaching other related resources and files. I also leverage other teams' spaces and pages to refer to their resources, such as current and past product roadmaps, or if I want to learn about a specific team's work in more detail.

UI Design is very simplistic and basic could make use of more visually interesting colour choices, layout choices, etc.
Under the 'Content' menu, it defaults to having a landing page for all L1 and L2 category pages. Meaning as long as the broader content category has a sub-category, it still creates a separate landing page. In my team's case, this often creates blank pages, as we only fill out the page at the lowest sub-category (L3).
Hyperlinks are traditionally shown as blue, however, this results into very monotonously blue pages in cases where a lot of information is being linked.

Atlassian Confluence is a great tool for housing important information and resources across the organization, as it's very easy to search and find content across different teams and departments. The search function is mostly very accurate and the additional tagging with keywords also helps in the search experience. It's also good at tagging other team members, which triggers an automated email to them. Atlassian Confluence also has an extensive template library for all kinds of purposes like project management, etc., which saves time overall.

I am working in a software development company. In my role as a Product Manager, I need a reliable platform to create my requirement documents and collaborate with a variety of stakeholders. Atlassian Confluence serves this purpose perfectly. Due to the well-built integrations with the rest of the tools and services in the Atlassian portfolio, it is easy to connect the content stored within confluence back to the work items in Jira, or the list of ideas on Jira Product Discovery.

After filling in the requirements documents I can easily link the m to concrete Epics and User Stories in Jira. This is extremely handy when developing cross-platform products like mobile applications as there is a single source of truth for all supported platforms. The built-in features for collaboration like comments and version history foster collaboration while keeping a record of the changes for future reference.

Atlassian Confluence is primarily used as a project management tool for highly detailed tracking and documentation. It is predominantly used by IT teams in our organisation, with other staff as more casual users.
It is good to create a consistent format of project viewing across different teams and departments, and storing large amounts of data and documentation relevant to the projects.

Pros

Consistent formatting for project tracking.
Out-of-the-box features are decent.
Large storage capabilities.
Creates a centralised place for all single project-related info. - documents, charts, tables, etc.

Cons

The search function tends to return a lot of items that need to be scrolled through, especially if you have a large number of users in your organisation.
Sometimes difficult to find content other people have posted, as there are a lot of pages, subpages, and content to navigate.
Not naturally instinctive to pick up - requires some decent training and/or practice.

Likelihood to Recommend

Atlassian Confluence is great for very structured project planning and tracking. With consistent user application it can be a very useful hub of information, and supports many different types of info. as well - charts, graphs, tables, document attachments. Once familiar with the platform it can be exceptionally useful, but it does take some effort to get there. You can archive old pages and have different viewing/editing permissions for different pages which is handy. There is no dark mode for visual support.

We use Confluence as our primary documentation tool. We must collaborate on documentation, make it available to others in the organization, and provide good integrations with other products we use (Jira, Google Slides, etc.)

Simple, easy-to-learn interface.

Cons

Tables are improving, but they could provide better-advanced functionality when sorting/filtering. Sometimes, linking out to a separate spreadsheet doesn't seem required.
AI writing and creation tools aren't up to the standard of some competitors.
The mobile experience isn't great.

Well suited for highly accessible, large-scale documentation repository. Particularly in cases where transparency is particularly valuable. e.g., system requirements, how-to's, meeting notes, collaborative documents, release notes, etc. It is less appropriate for richer interactions such as workshops, where, for example, Miro might be a better option, or formal documentation, where Word or Docs would be more appropriate.

We use Confluence to support internal documentation needs. It provides a version controlled, access manageable, configurable repository of knowledge and documentation for the company. It facilitates indexing and search of the document database for quick access to information. We use it globally in the organization as a clearinghouse of information on everything from technical procedures to organization charting.

Sometimes search is overly inclusive or doesn't appear to be contextual, eg I may search for a keyword used frequently in a particular document, yet it appears lower in search results than others that use it less often.
Limiting searches, for example by business unit or time, can be clumsy or awkward to use.

Likelihood to Recommend

Confluence makes it relatively easy to produce richly formatted documents for an organization. By making it easy, Confluence takes away many of the barriers individuals might find for not documenting procedures, etc. The key to success with Confluence is to configure an organizational structure efficiently from the outset. It becomes more difficult to change or reorganize once something is established, and can lead to poor search results of a fragmented document store.

We used Atlassian Confluence as a collaboration tool across the various departments. It brings teams together when you have departments scattered around and each department is working on different projects that all tie into one solution. The blogs and page templates make it convenient for others to review or pass along information that other teams or individuals did not think of.

Unlimited individual wiki pages is a great feature when you have a large organization.
Document conversion
Permissions setting permissions on individual or team spaces to only allow access to those that need it.

Cons

It would be nice to have new features and enhancements for true power users.
There is a pain point of managing content in Confluence.
