Use Cases and Deployment Scope
We use Apptivo to keep all of our contacts organized and together in one simple and easy to use online program. We are able to have several different address books and assign contacts to certain leads. It provides everything we need and more, and the best part is everything is contained in one single program!
Pros
- Allows for various address lists to make sure contacts are in the correct category.
- Can assign contacts to different leads.
- Allows you to add notes and personal information for each contact.
- Program is all online, so it doesn't take up any space on your computer.
Cons
- When I export addresses, I can't choose to have states abbreviated - I have to go back and manually change them in the Excel spreadsheet after the fact.
- It is not very easy to import new addresses. They have an importer, but I've found it's sometimes faster to just manually add them.
- The platform may seem a little bit out of date. They haven't really updated the format of their site, logos, etc..
Return on Investment
- We are able to send correspondence to donors allowing for additional ROI to be gathered.
- We are able to offer subscriptions and have an opportunity for ROI through that. Subscriptions are very easy to manage through Apptivo.
- Can be time consuming (cost money in hourly wages) to do small things like abbreviate states, etc.

Usability
Not ready for the prime time
Pros
- Built in support for new users.
- Basic crm works...just dont expect it do anything well beyond the basic.
- Price.
- Google Apps integration is better than a lot of the competition who charge and anwful lot more.
- They are open to and try adapt quickly based on customer feedback.
Cons
- Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
- The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
- They frequently messed up our contact data.
- Multi currency exists on invoices but not on other apps.
- Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
- No consistency between the apps.
- Often there is little or no integration between the apps inside Apptivo.
Return on Investment
- It cost us money.
- We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

A basic system with various CRM apps
Pros
- Good for streamlining project management on projects over a long life cycle.
- Helpful in keeping contacts up to date and relevant.
- Streamlines processes across the organization where there are many departments.
Cons
- Dashboard and interface subsections are a bit clunky re: functionality.
- Built-in email client isn't always a feasible option for efficiency (signatures are different, contacts don't always update accordingly).
- Consistency and integration between apps is not always optimal.

- Helped us increase time to completion of projects.
- Allowed us to execute on customer service and response times.
- Elevated our department's visibility within the organization for a more streamlined workflow.
