Workfront is used across our agency to track time sheets related to each job and client, open projects from a project manager and producer standpoint, look at workload, and more. It's been a good resource to ensure all time tracking is in one place and is really straightforward and easy to use. They also have great resources available online. However, their capabilities are somewhat limited.

It's well suited for time sheets, a high picture overview of hours burned and work spent per retainer, customizable dashboards to help with account and budget tracking, and more. It works well to ensure everyone's time is centralized all in one place and it's really simple and easy to use.

Workfront is being used across the entire organization to streamline. We made the switch to this software 3-4 years ago to consolidate all the other systems each department was using.

  • Workfront is a simple/user friendly software.
  • Workfront makes work across multiple departments easy to consume and understand where in the process it is.
  • Workfronts reporting allows you to build and customize reports for each users needs.

  • Workfront could expand its agile approach and offerings.

Workfront is a great tool for organizations working with multiple departments that each have a hand in the outcome. We use it for our operations/marketing teams. We are able to collaborate and keep work aligned with the project. We also work across multiple clients and this helps to keep the information specific to client.

Use Cases and Deployment Scope

As a Workfront Design Consultant, I help clients design and configure Workfront for marketing teams, departments, and organizations. At the consulting firm I work for, we use Workfront for our internal management of Workfront implementation projects. And as a client of Workfront back in 2014, I was the point person from our marketing department on the selection and implementation of Workfront - becoming a power user and system administrator.

Pros

  • Time tracking against projects - can be as detailed as you want.
  • Reporting and customizing views of those reports.
  • Collaboration via the Updates tab - this kills a lot of emails.

Cons

  • Being able to brand the instance - Fortune 500 companies, especially the marketing teams, will want to customize with logos, color palettes etc.
  • Customizing the Finance and Billing Record areas. Those teams acting as internal agencies who charge internal clients for services need complex financial metrics.

Likelihood to Recommend

Workfront is ideal for process flow and project types where multiple stakeholders are involved in the production and approval.

Great solution for large marketing departments that can't seem to get organized.

It is being used by our marketing department. It is supposed to help with transparency within the organization and to help improve project traffic flow. It should implement our entire process from project initiation through review and production.

  • Easy to organize many projects at one time
  • Can help facilitate complicated workflows

  • Better initial setup
  • Better initial training on processes
  • Confusing overlapping processes (multiple approval workflows on top of one another)

Workfront is well suited for marketing initiatives, creative review, legal and compliance review, centralizing projects and obtaining actionable, effective feedback. It can become complicated if you have lots of different workflows.

We use Workfront in our marketing department across many marketing functions. It addresses how marketing materials are requested, project managed and created. It also helps prioritize work and manage projects across the marketing organization. It allows for a central intake process so that people follow a set of rules in order to gain marketing support. This allows for a more well thought out strategy.

  • Workfront is easy to use and easy to train new users on.
  • Workfront helps prioritize work and manage work flow and approvals.
  • Workfront allows a transparent view for all people involved to see where a project is at.

Cons

  • Customer service can be better.
  • It does not have an overview of a campaign. Most projects are 1:1.

Likelihood to Recommend

Workfront works well for our organization as an intake tool and a work prioritization tool. It is great for assigning work to different teams and giving people access to view and keep track of projects being worked on. It is a bit harder to identify where larger campaigns and initiatives are in the process of creation and implementation.

Workfront is primarily being used in the marketing department, however the Education Services team within the Global Services & Support Team has begun to use the tool as well. Workfront addresses version control issues in the review cycle, keeps communication out of one-off emails that get lost, and saves creative brief data for reference. In particular, it helps our graphic designers prioritize their workload.

Pros

  • The proofing tool is very useful to track comments and review cycles. Document versions and the detailed history of a document is very useful as well.
  • The varied user interface, when assigned appropriately, is useful in that it doesn't provide users with more than they need to do their jobs. It's a decluttered workspace when used correctly.
  • Notifications. If you pay attention to your email, you'll never miss a thing in Workfront.

Cons

  • Just as it was a positive, Workfront's notifications can be a negative for the tool as well. For those that are not closely in tune with their email, Workfront's email notifications may get missed, delaying projects. Sometimes, people just want an email only at the exact moment when it's time for them to work on something, not leading up to it or after it's due.
  • The integration with Proof HQ has been rocky at times. The idea of deadlines for document approvals is great, but it's only in the Proof HQ platform, not the Workfront platform. This doesn't work for a company that only logs into the Workfront platform.
  • During training, it would be helpful if best practices were provided. We were told all the options, but we weren't led in a specific direction, which is what we really needed.

Likelihood to Recommend

Workfront is excellent for large Creative Services teams with a project manager or two. Its allocation functionality keeps everything streamlined and scheduled. However, in smaller in-house creative teams, some functionality is not applicable as workers are typically always over-allocated in these situations. The typical resource allocation does not apply here.

We use Workfront to intake all requests for my team - creative, copywriting, video, multimedia, etc. Our team was the first group to use the software, but it has since spread to other facets of the organization.

Use Cases and Deployment Scope

We use AtTask to stay on track with our projects, track accountability, deadlines, and as a storage option for the related documents and images for a particular project. It's primarily used by our eCommerce department, but the entire company is showing interest.

Pros

  • Setting goals and deadlines. It's clear who needs to do what and when, and who is holding up a project.
  • Keeping associated documents within a project. We require strict security access to various folders on our server, but everyone who needs access to associated documents can get them on AtTask.
  • Keeping project owners accountable. Project owners who wish they could pass the buck on a project with little information still have to go through our process.

Cons

  • This isn't a problem for AtTask, but sometimes it's hard to FORCE people to use a tool. We can only emphasize the need.
  • The comment threads are tricky -- everyone forgets to tag the right people in their comments so not everyone knows they need to check the comment threads. The average user expects it to be like Facebook.
  • Sometimes one project has a lot of associated documents and they need to be "shared" individually, instead of all at once so people get unnecessary emails.

Likelihood to Recommend

Ask yourself if you are working with people who juggle lots of projects and priorities. How tech-savvy are your users? Are they willing to use something like this? This is best for employees who are on their computers often so they receive notifications and can update project statuses as needed.

Pros

  • This was a great tool to manage projects with! We used it for all our advertising campaigns from start to finish.
  • We created tasks and assigned team members to each to show who was responsible for that particular task. This helped each team member know when the project was due and could manage their daily workload via the calendar.
  • We really utilized the communication aspect, (tagging people in tasks), to show when our part was done and any questions we had. This helped replace a lot of email back and forth!

Cons

  • I know there were a lot of tricks and cheats in AtTask but I wasn't ever trained. When using a template, it was challenging to edit some of the dates in the timeline without having to redo the whole thing.
  • Sometimes the notifications didn't always work. I'd tag someone in a task but they'd never receive a notice that I did.
  • With the amount of documents we'd upload on a daily basis, it got confusing to find what you needed. I'd recommend adding folders for easy sorting.

Likelihood to Recommend

When communicating to a team that is following the same timeline, and shares documents interchangeably.
