I recommend When I Work to those companies that are looking for a way to manage work schedules and want to increase the productivity of all employees. This is an important platform that would bring excellent results to small, medium and large companies. This is a constant monitoring system which allows employees to complete their tasks in the indicated time, When I Work sends automated alerts when an employee is not complying with their tasks and this allows us to know exactly the productivity we are having in each one of the sectors. It is an excellent platform for planning and administration of working hours, it has a very easy-to-use UI that allows schedules to be easily managed. Without a doubt, When I Work would be a perfect implementation for any sector or company, since it has a lot of potential to collect exact data on compliance with working hours.

  • Consistently making updates to better serve their wide variety of users
  • Allows for a decent amount of customization - you can put in different tasks for different departments, you can put in project costs on a one-time or recurring basis to compare time to money, etc.
  • It's pretty easy to pull customizable reports to fit what data you want to look at.

  • When I Work allowed me to color-code each employee's schedule.
  • When I Work allowed me to show who was "off" during what time of day. This was essential for morale, as our event included 16-18 hour days, and I wanted to show that everyone had down time each day.

Cons
  • We would love to see Harvest build a feature for more detailed proposals that could be signed by the client and then automatically be turned into a billable invoice. The estimate falls short of this for larger projects.
  • Sending an invoice directly to the client from the Harvest dashboard can sometimes fail. Because it's coming from a spoofed email- some clients never get the invoice because it get's trapped in their spam folder.

  • Customer service only available by chat or email. No phone- which is crazy, in my opinion. Slows down, getting things done.
  • Understanding their charges is a pain. I still don't know what I am paying for.
  • If you are being overcharged, they don't care; they keep you on billing for something in a group.

Usability
Again, just a minor compatibility issues using with other platforms such as Basecamp, but it does do everything promised. The only downfall we have found is having to create a job in both platforms and then connecting them later vs being able to create a project once and having them automatically connect.

While it's one of the better apps, my only complaint is the icon layout of the dash; mouseover sometimes doesn't work for my system.

Support Rating
I have not actually had any customer support issues as the product just works for me and I have not needed it. So using that as the basis of making my assessment on support I would reckon the team are pretty responsive and attentive to customer needs. I have only used the solution on Chrome and Android so have no idea what the experience is like on other browsers or phone operating systems.

Every time I contact When I Work staff with an issue, someone is there with a quick solution to my problem. I love the chat feature. I can continue to work on other things while the When I Work representative assists me.

Alternatives Considered
Everhour is just very rudimentary and ugly. It did the okay for time tracking and basic reports — but it wasn’t very intuitive and could’ve been a lot more elegant. You couldn’t edit other users time or make corrections it was just a data pull and that was it.
Open air is even worse. it’s like something out of 1985. Extremely ugly and not at all easy to use. It fulfilled the basic requirement of tracking time and we did not use it for anything else. When they raised the price to eight grand a year, despite our limited use of it’s functionality. We quickly dropped them.

When I Work seemed a bit easier to implement for our team and employees. When I Work had all the things we needed without a lot of the bells and whistles that we wouldn't really utilize. When I Work was also a bit more affordable for our budget. Overall, it was the better choice.

Return on Investment
  • Better tracking of time for projects = better quotes for clients! In turn, they trust us more, because we're only billing for the time used and projects completed.
  • We can also have clear conversations with employees about productivity and provide feedback with real numbers that the employee has control over.

  • Compared to what I've used before, When I Work allows you to interact with your staff more than other scheduling apps.
  • Though I don't know the cost, I was told it was cheaper than it's counterparts.
  • The app doesn't have all of the features as the full website, but it's pretty close.
