Integration with Corporate Performance Management (CPM) systems
Board member meetings and discussions around governance, compliance, financial risk analysis, and risk management. The sharing of confidential documents is very secure and well-suited to use. The security of discussion is a great feature among members and leadership. Business record management is easily shared and managed, and we’re very pleased with the outcome.
Pentana is great for monitoring PIs and risks. We find it less helpful for monitoring projects (with the Actions module); it isn't quite flexible enough for our needs, though the support team have been very helpful in adding custom fields for us.
Enhance business compliance by maintaining records and documents for all our processes and reports, which allows us to not worry about training new people in case resources are transferred.
We integrated risk assessment tools and business continuity plans, which allowed proactive identification and mitigation of potential business risks.
It helped to secure communication channels with confidential discussions and document sharing among team members and leadership.
Pentana is excellent for monitoring, recording and reporting on PIs. Very easy to use the PI module.
Pentana is excellent for monitoring risks at various levels (service, strategic etc.). Risks are displayed very clearly in a tree structure and the module is relatively easy to use.
Pentana could improve the free Documents module that comes with Pentana Risk. At the moment documents have to be linked to an action in order to display query results (such as how many documents are due for review) - this can be confusing for users who don't understand why there is an action linked. There is also no easy way for users to see the documents that are assigned to them.
We would like to use the Actions module fully in order to monitor our corporate projects, but it a bit confusing for users and not very flexible when a project doesn't mirror Pentana's way of monitoring actions.
Some modules are more user-friendly than others. It's sometimes not obvious where to click to update the fields (or even that field titles can be clicked on). We have written 'Howdys' to help users. There can also seem to be a lot of steps/clicks to updating risks and actions. The Reports module on Pentana classic is certainly not user-friendly, particularly the Report Layout and Charts modules - we were told these would be integrated into the web version but this hasn't happened yet.
HighBond by Galvanize support has some of the best and fastest support that I have experienced. Though we only contact them through emails, they were quick to provide insightful information about our problems. Whenever we email them about an issue, they would be able to reply in less than an hour, ready and prepared with useful solutions to address the issue.
I was not involved in the implementation, but i do think the interface works well and is a great tool to centralize our compliance program. I'm currently in the process of exploring many of the advanced features and using the Diligent Academy to learn about some of these exciting features to add value to our organization. I recently attended a CPE and was very impressed with the presenters and their energy and knowledge of the product
The tool is extremely rigid in its definitions. We tried to implement it for almost a year and nothing happen. One time a team member made a mistake and uploaded a wrong list risks to it was not possible to eliminate any of them we had to take the database down, erase everything and start all over. DIligent One is very manageable on that front
We selected Pentana because our neighbouring authorities are users and had spoken highly of the product and given us demonstrations; some of our staff were also familiar with Pentana when it was called Covalent. It seemed to be the best product on the market for monitoring risks, PIs and projects.
A lot of time and efficiency has been saved for my team as we continue to find different ways to automate tests, continuous monitoring projects, etc. We have been able to shift our focus on enhancement projects that previously had been on the back burner until we had switched to the Diligent One Platform.
Pentana Risk has allowed my team to focus on other areas of work whereas before we would be manually chasing for updates on PIs and risk. Pentana Risk does the chasing for us!
We are able to produce reports for audit purposes very easily, rather than sending spreadsheets which is what we used to do.
New managers can easily inherit risks, projects and PIs and see all of this on a custom portal, saving them time when they start.
