Use Cases and Deployment Scope

Our whole organization is using Zuora from sales to fulfillment. It allows us to effectively bill on a recurring basis.

Pros

  • Products are easy to use and create with Zuora
  • Much customization from email templates to billing to products.
  • Recurring billing and reporting.

Cons

  • They don't have very many out of the box payment plan options so that takes a lot of work to set up.
  • Back end functions and making billing/subscription modifications are complicated.
  • No list price field for products, at least with how we are using it so we had to build a workaround to have a visible list price.

Likelihood to Recommend

If you do a lot of recurring billing with little customization then Zuora would probably be a good fit.

Zuora is used to track invoices. For my purpose I use it to search the history of our clients' bills.

Pros

  • Good user interface
  • Simple to use
  • Detailed Reporting

Cons

  • To be honest for my role it serves exactly what I need it to be.

When I am on the phone with a client and I need to see their transaction or billing history it is very easy to search and find the information I am looking for while I am on the phone with the client.

Zuora is being used by almost everyone in our organization. The only problem that I currently experience is the process to remove and add subscriptions is very long and drawn out.

Pros

  • The billing process in Zuora is very straightforward and easy to navigate.
  • Zuora makes it easy to tell what invoices were paid and are unpaid.
  • I love how Zuora has big and bold, as soon as you go to a person's account, how much is owed or if nothing is owed.

Cons

  • The process to add and remove subscriptions from an account is very long and drawn out.
  • It should let you send invoices to emails other than what is listed on the account.
  • It should keep detailed notes of who did what in every account.

Great billing and payment system

We use Zuora every day mainly for our billing. The system also help us keep track of sales, AR projections, current/cancelled clients, etc. It's very friendly in terms of receivables, saves me a lot of time as it automatically sends emails to my clients with past due unpaid invoices, expired credit cards, or invalid bank account information. It's very accurate and you can customize it as you wish.

Pros

  • The automatic emails are definitely one of the things I love about Zuora. I don't have to worry about manually sending emails to clients with past due invoices, in fact all I see is their reply with the solution. Saves a ton of time.
  • Zuora keeps my clients credit card or banking information safe. Not even the people in my company with access to Zuora can see my clients' payment info.
  • One of the things find more useful is the "Bill runs" and "Payment runs." It allows me to automatically send invoices and payment confirmation emails to all my clients in seconds.

Cons

  • I would like to be able to edit the invoices and subscriptions after posted or saved, sometimes my clients want to change the products after receiving an invoice and because I can't edit it I have to create a new invoice with a different number and It leaves a lot of room for confusion plus it takes more time and work.
  • Reporting from Zuora was not very friendly at the beginning but it has improved a lot lately.
  • I would love to be able to search payments by reference, when a client tells me they paid something by cheque It's impossible for me to find out if the cheque was applied to a different invoice or client. I put the cheque number as "Reference ID" in the payment but I can't search by reference ID.

Likelihood to Recommend

If you have numerous clients and need to sand many invoices Zuora is the way to go, specially if you want your clients set up for Pre-authorized payments, as you can charge their bank accounts and credit cards automatically. It takes seconds to create thousands of invoices, it automatically sends them to your clients and gives you a summary of the number of invoices you sent. Same thing with the payments, you now almost immediately how much money you will receive in your bank as well as what payments were declined.

Zuora is used by our finance and analytics team. As for the finance department, we use it for billing and reporting mainly. It is used for reports on invoice aging, revenue recognition, bookings, etc. Analytics uses it for pulling different kinds of data: MRR, refunds, cash collection, etc.

Pros

  • Calculates pro-ration accurately
  • New reporting is quite convenient

Cons

  • It is very inconvenient that account credit balance cannot be automatically applied to the future invoice when it is generated.
  • We had situations when we were waiting for a customer to enter a new credit card, but we don't want it to be charged for the whole amount. Even if we close the old card and turn off auto-processing, the new card will be still charged automatically.
  • It would be better if PO numbers could be linked to invoices, not subscriptions (e.g. first invoice and renewal invoice usually have different POs).
  • It is impossible to enter a billing address in a different language (e.g. Russian).

Likelihood to Recommend

Zuora would suit SMB companies more than rather big ones. Some things like applying credit balance are not automated and need manual intervention. Reporting is sometimes rather slow and we are not a large corporation with tons of data.

Easy Peasy Payment Processing

We use Zuora as one of our main accounting systems for processing subscription payments throughout our entire company.

Pros

  • User friendly and straight forward.
  • The reporting feature is a life saver when pulling a report to calculate commissions and account statements.
  • Flexible payment options for customers to make it easier for us to receive payment.

Cons

  • One nuance is that when processing payments it defaults to select all invoices on a customers account with no deselect all option. Therefore if a customer has 100+ invoices on their account and only wishes to pay a few, I have to deselect each individually which is very time consuming. Otherwise, I have no complaints and would highly recommend it.
  • When cancelling a subscription the system generates a negative (pro-rated) invoice that can be confusing to customers. They feel they have a credit, but really they do not.

Likelihood to Recommend

I feel it is very well suited as a subscription billing tool. It also works well with our international client base. As I mentioned in the cons section, it can be a bit time consuming when processing payments for large customers.

We are a subscription based SaaS company that uses Zuora for our billing within the accounting department. It allows us to send 10s of thousands of invoices with a push of a button.

Pros

  • The way the system is structured allows our business to bill just about any way with minimal back-end support
  • The quickness by which Zuora can process invoices is huge for our company as we bill 10s of thousands of customers monthly within one day.

Cons

  • The Zuora support team sometimes takes more than one iteration to understand what the problem that needs to be addressed is
  • The revenue recognition software could use a little polishing to ensure that the intricacies are included

It is a fantastic invoicing tool for our company. We have massive amounts of data that gets pushed into Zuora and we can accurately invoice each month.

Use Cases and Deployment Scope

We use Zuora as a payment system for our clients that use a cloud-based application. We create an account for them and then we manage the subscriptions and payments for those accounts. All the payments are done using a credit card. Zuora gives us the possibility to manage all this in a centralized and easy way.

Pros

  • It's really easy to use Zuora and to navigate using the UI to manage accounts, invoices, payments, bill runs, etc.
  • Zuora offers us a great flexibility to adapt it to our industry and also an amazing scalability while we increase the size of our business.
  • There is a lot of information on the internet. For example documents, demos, forums, etc.

Cons

  • When working with Bill Runs you lose the previous configuration of Bill Runs if you make a change. You can't figure out all the information related to past Bill Runs.
  • You can't "reactivate" a subscription, you have to create a new subscription.
  • Bad Support! Most of my support requests I end up figuring out on my own and they just waste a couple days of your time by asking asinine questions.
  • You can't refund a partial amount of the payment consistently.
  • Even though it deals with multiple currencies, it doesn't have a currency conversion feature.

- Zuora is well suited for an environment where there is little need to modify customer's subscriptions frequently.
- Especially useful for e-commerce or web applications to easily set up and manage payments using a credit card

Zuora is used by our accounting/finance department. We use it to record customer accounts, products associated with these accounts, and to generate invoices for these accounts.

Pros

  • Zuora offers many built-in customer notifications. These are a great tool to reach out to customers and notify them of their account status.
  • We have customers who need invoices billed separately to their corporate account. Zuora enables us to set up accounts at the broker dealer level and have these accounts assigned to a corporate parent account for invoicing.
  • It is a great way to track individual accounts, yet offer our customers the flexibility of one invoice going to the corporate office.
  • Zuora sends informative updates about any new releases or changes to the product. It is beneficial to know how the product is continually adapting to our changing environment.

Cons

  • Customers constantly want a statement that lists their balance with recent transactions. The version of Zuora we are using doesn't allow us to easily provide customers with account detail. Currently, we have to download information into Excel and create our own statement to sent to the customer.
  • I have a hard time getting information out of Zuora sometimes. The reporting feature needs more work.
  • Amending subscriptions in Zuora is complicated.
  • We have old subscriptions in our tenant that we are unable to cancel due to our accounting periods being closed. We need the ability to cancel subs that aren't renewing even if the accounting period is closed.

Likelihood to Recommend

Zuora is well suited for an environment where there is little need to modify customer's subscriptions on a monthly basis.
