We use Submittable for our CSR programs, including grants management and employee volunteerism. Our national grants program launched in Fall 2023, and it was seamless to set it up on Submittable. We also host an open employee relief application that works well for our users. We began using the employee volunteer platform in Spring 2024, and have been happy with it as well.
Pros
Easy to use as a grant reviewer and as a grant applicant.
Strong reporting capabilities.
Excellent support team.
Cons
We are some of the earliest users of employee volunteerism, so there have been some things to work out. However, because of that, we've gotten a lot of one-on-one support to help make minor tweaks to the system in a way that works for us.

Submittable is well-suited to a program like ours, which wanted the capability to host a national grants program for a specific period of time (in our case, 6 weeks) as well as an internal employee-specific program with rolling applications.
We use Submittable for submission and review for our grant programs, board nominations and committee organization, as well as workshop volunteers. Submittable provides a very simple platform that's easy to use and navigate while providing security, flexibility and decent reporting features. Our previous vendor was stagnate and not flexible whatsoever.
Pros
allows a one-stop-shop for reviewers
allows for blinding of documents and review comments
is very easy to change and adapt for basic forms
Cons
The reporting features are basic and although they work well, the output options are flat.
I wish there was an option to set a report up for not only to download the raw data but also to set to a presentation mode. As it currently stands, no one on my committees can read the data we pull from reports unless we create a new document that just displays the data.
I wish there were different sub levels within the security settings for users.

It's very easy to learn and use and very flexible so you can make changes as you go. We appreciate the blinding of documents and reviewers and also being able to communicate with submitters within the tool. Although we do not currently use the financial features, for a smaller organization, this would be a huge benefit.
Our Foundation uses Submittable to manage our grant administration processes for two external grant programs (and one internal program for our employees). Before using Submittable, our application process was manual, with a high administrative and IT support burden. Since making the switch to this platform, our efficiency has increased significantly.
Pros
Easy to use! Resulting in confidence and independence when using platform.
Exporting reports to Excel files makes internal data sharing a breeze.
Tech support for grantees frees administrators from resolving issues on their own.
Automatic and customizable communications with applicants and grantees.
Cons
I'd like to see applications that are in process but not complete.

Submittable has been so helpful on an application requiring a photo. Before using this platform, all my grantees had to email me their photos individually and then save them in a file. Now, the needed file is required to complete an application, and I no longer have to continuously follow up with applicants requesting more info.
We use Submittable to administer two award programs. It allows us to combine the entries in a streamlined way and then conduct judging for the award winners. It’s all done digitally, and it saves lots of time. Our award program was not affected during the pandemic because we had already done the online judging. It’s been an invaluable tool.
Pros
Maintain archive of all entries over the history of your account.
Stream lines the collection of documents.
Cons
It used to be easier to download submission files from the submissions screen; now, you have to run a report and request a download.
Giving access to reviewers could be easier. It would be nice if we could create the email account and password and then give that to the reviewer. Right now, the invites are often junk, spam, or quarantine.

Submittable is a great platform for collecting entries for review in various settings. Whether it’s grants, awards, contests, or such events, It offers security, vetting of people to a high degree, and a non-destructive history, which can be essential if you are audited. The platform is easy to set up and can be used in simple or complex ways for judging and reviews. I am unsure in what cases the platform would be unsuitable; it just works.
Grant management: application submission and stage management, providing technical assistance, tracking reporting documents and forms, communication with grantee, Dept. of Social Services, and other LIIF team members, data reports.
Pros
Database of our child care providers and their grants
Managing communications from email, notes section, ability to pull up review while on calls, attaching necessary documents
Segmenting the data by project
Cons
Labels! Please allow us to segment these out by project and not have a complete running list of all labels ever used...the scrolling is getting out of hand!
Better document retrieval and storage - documents uploaded to the application are not easily viewed and I often have to download them, making this time-consuming.
When closing out a document, the submission returns you to the top of the page instead of anchoring to your location.
Make it easier to pull data!

This has worked well for most of our grant management. We do not use it for record-keeping or tracking employee data, such as technical assistance hours.
My organization uses Submittable for grants and funding opportunities. We post between 4 and 6 funding opportunities each year, accept grant applications, and have panelists review applications to select our final roster of grantees. Applicants can fill out the grant questionnaire and submit corresponding documents. Additionally, we can communicate to applicants through the portal should information/documents be missing.
Pros
Great customer service.
Reviewers are able to see all documents on one screen instead of opening multiple windows in order to review the application.
Applications are easy to build and edit.
The review portions is user friendly.
Applicants find the forms easy to use.
Cons
The CRM functionality is new and not user-friendly for those not using UEIs to track applicants.
There doesn't seem to be an easy or cost effective way to use an outside CRM source.
Limited functionality with multiple languages - we need to build one application in English and another in Spanish to meet the needs of our users.

We love using Submittable for our grant applications. Sometimes, we've run into issues with filters inside the system not clearing -- and we lose access to some of our information. Submittable Customer Service is quick to respond and assist us in solving our problems quickly to get back up and running. We find their training videos to help us learn new ways to use the system.
My organization uses Submittable to accept applications to competitive arts awards and grants. It helps us organize and adjudicate all applications (often hundreds per program). It also helps us communicate with applicants.
Pros
Application Organization.
Flexible review systems.
Easy Communication with applicants and reviewers.
Cons
I'd love to be able to bulk send attachments that are specific to each applicant.
I wish there were support you could chat live with on the site instead of email (though email is pretty swift, sometimes the question needs to be reiterated through a few emails).

Submittable is an amazing platform for accepting arts applications since the upload capability is very in-depth. I don't really like how the conceal feature automatically hides some fields from reviewers that I don't want to be hidden.
We use Submittable as an applicant platform for our grants program. it helps keeps the applications in an easy and clear folder and allows the review team to look them over equitably and in their own time.
Pros
user friendly
intuitive interface
good communication
Cons
Ability to work with additional inboxes
more accessible financially
more frequent updates on product changes
Likelihood to Recommend
Submittable is great if you have a manageably-sized program that you're looking to manage submissions for. They gave us a discount as a non-profit and were always personable in their interactions. If you have a program with a very large volume of submissions, it may be more difficult to use, especially if you need to manage a lot of different programs at once.

I used Submittable to manage a portfolio of grant programs and projects that are used to fund innovative programming across Tennessee. These projects are focused on increasing student success and enhancing innovative practices in higher education. The projects have varying terms, objectives, scopes, and funding amounts. The Submittable platform allows for management, review, tracking, and archiving of these projects.
Pros
Drag and drop form creation.
Customer services.
Quest to update and provide the best experience.
Attentiveness to my perspective as a customer.
Ease of use and easy to adopt/learn the system.
Cons
Allowing of sharing of project across users.
The internal role differentiation could be more robust.
Changing/updating original submissions are not as intuitive as initial creation.

For tracking projects over time, Submittable is fantastic. There are lots of types of forms that can be created to match and fit any situation. Submittable is great at customizing a project to fit the needs of the customer. This platform might not be so good if there is something that doesn't need to be tracked over time. For instance, a survey or scholarship application. Submittable is good for allowing multiple users to interact with a submission. However, if this doesn't need to be looked at in the future, this tool might be too powerful. With all the features, something simpler could work more efficiently. However, when more eyes need to be on a document, Submittable is useful and up to the task.
We use Submittable as a fundamental tool for handling the grant process. We use it for all the internal messages and the evaluation process. Also, for handling the underlying documentation, from the submission to the milestone review. It enables efficient focus on the personal task to accomplish and a broader view of the outstanding projects, thanks to efficient filters.
Pros
Notifications
Clear view of the overall process, from the submission to the approval
Efficient filtering for retrieving projects info
Cons
Notification of necessary action in order to proceed forward
Setting a deadline for answering
Setting a reminder when the deadline has passed
Likelihood to Recommend
Submittable is a tool that is necessary if a company, especially a start-up with no clear structure, has to implement an approval process; for grants in our case. The selling point is that you can tune the different steps in the procedure according to your needs and it's properly integrated with a messaging system that enables you to communicate with prospective grantees. At the same time have all the relevant info available in one single place.
