Square 9 Softworks - Great automation

Use Cases and Deployment Scope

We use Square 9 Softworks mainly for invoicing and approval. The ability to quickly scan in documents and do OCR on them to properly identify the fields on the scanned documents is a big time saver. We are looking forward to any improvements in the process but so far it's been great.

Cons

  • Additional AI features (seems to be the trend)
  • Logging in via web or desktop is confusing and probably unnecessary (web works great)
  • Setting up user permissions in proper groups could be easier

  • Invoices are applied correctly to our ERP system with nearly 100% accuracy.
  • Due to the automations with email notifications, invoice approvals are almost always done on time.

Use Cases and Deployment Scope

We use Square 9 Softworks for data storage and retrieval. All of our invoices and cash receipt records are scanned using global capture and are stored and able to be queried and retrieved in global search. We process hundred of invoices weekly and have no room to store them on premises. We frequently need to refer back to invoices for pricing and delivery information. Global search makes this possible and does it very efficiently. I look forward to seeing the software continue to develop and become even more detailed and accurate with searches. It did take a bit longer than we expected to get it up and running, and it is quite pricey, but overall it is a good product and fills our needs.

  • the filter function is a bit confusing

Use Cases and Deployment Scope

We use Square 9 Softworks in a variety of Business Processes. Ordering Equipment, customer satisfaction surveys, warranty repairs, and warranty submissions we utilize GlobalForms. Within GlobalCapture, we submit delivery and acceptance paperwork, and accounting paperwork. It extracts data off the pages and pushes the documents and data to GlobalSearch. Using GlobalSearch, we store all of our records for long-term retention. Using GlobalAction, we introduced workflow to enhance our processes without manually email people to get business decisions done on time. We use every aspect of Square 9's platform to enhance our business.

Primary use right now is in document clerk function (scanning/storing of supplier furnished docs and creation of master document package for the customer at time of shipment). This was a labor intensive process previously that had many opportunities for data entry error. We eliminated those opportunities for errors by automating the process through the use of Square 9 Softworks.

  • Merging documents with use of 3rd party software (PRISM)
  • Key free indexing is a great feature

Cons

  • Allowing for docs to be removed from workflow before completion
  • Improved thoroughness on data extraction (sometimes truncated and only partial data is extracted)
  • Status bar showing % completion of workflow process

Return on Investment

  • Reduction in human error through manual data entry process now being automated
  • Reduction in cost due to automation allowing the function to not require a full time employee
  • Reduction in time spent performing the previous manual tasks. Example: on our consolidated shipment days, it could take doc clerk 2-3 hours to prepare master document package. This has been reduced to 30 minutes or less (depending on size of shipment and time needed for OCR to complete)

Document management solution for all our paper. All our client's contribution forms for every client, 10 of them for over 50 employers. We have client warehouse we convert older documents to archives. all of our staff has a scanner on their desk, so every paper communication is scanned in the GS for safe keeping. Database is backup offsite.
