We use Quickbooks Online Advanced projects to cost associate each job. The individual projects profit & loss is a great function. I love that we can assign tasks to individuals and set up approvals for posting transactions of junior employees. We are able to utilize the estimates to progress bill. Having the amounts automatically deduct from the project helps to keep our progress billing clean and on track.

I am a big fan of the projects because you can cost account and list different P&Ls per project. Having attachments is very helpful to keep our source documents organized within our accounting software. Quickbooks Online Advanced is useful for companies that have many projects going at the same time because staying organized is easy.

QuickBooks Online Advanced is well suited for any business. One can keep all of their transactions in one software. The accountant for the business can also log in and retrieve or add transactions, retrieve information for tax returns.
We use QuickBooks Online for all of our GL, Fixed Asset, Billing and Payable activity. We also track our grants via the tagging feature, but will need to learn how to do this now that the tags are going away. We particularly enjoy the ability to scan receipts and attach other documentation to every transaction. This makes auditing so much easier - usually able to be done remotely.

As a library, we use QuickBooks Online Advanced software in a somewhat limited capacity. We don't invoice patrons or vendors, nor do we use it for employee payroll. The majority of what QuickBooks Online Advanced is used for is on the expense side in the writing of checks for various expenses. There are regular deposits into accounts that are entered, which then are reconciled. There are a number of monthly financial reports that are prepared.

The vendor list under Expenditures is not consistent, sometimes the full list is within one screen to scroll down while other times only a small portion (ex. instead of listing all vendors A-Z, you might only see A-C) That requires additional steps to search the desired vendor which takes more time.
Often there seem to be bugs in the software- functionality can be inconsistent. At times, the only solution is to close completely out of the program and start again.
One issue that happens frequently is in the writing of checks. A payee and bank account are selected, payment date then bills are added. Those fields then change and revert back to different payment dates or check numbers.
A regular problem that occurs frequently is check numbers changing AFTER they've been printed. For example, if vendor
ABC Co. had a bill selected for payment on 1/1/25 with check number 25000 after that transaction is saved and printed going back to the vendor history the check number may appear as 25002. This seems a common issue in the QuickBooks Online Advanced user community. No solutions seem to correct this problem. The window that allows you to select next number check to print doesn't allow the user to change it to another number.
Changes made in account settings sometimes stick, other times fields revert back to previous. For example, again in the Check area a selected bank account changes every time the option is chosen. Ex. with more than one bank account once a different account is selected and a check gets printed, the next time you go to write a check the account is different.

It all depends on how a business will be using the software. In a limited capacity QuickBooks Online Advanced should be sufficient without too many issues. If you are simply entering deposits, writing a few checks and running monthly reports the software typically runs without issue. It would be nice if there were different usage options, say a limited, basic or full package with a suite of applications. The old desktop version was much more stable and reliable. Our organization ran into a horrendous scenario online where all of our data was locked and we were forced into an upgrade. It can be a nightmare calling support, customer service representatives not always proficient in providing solutions to issues. It can be very time consuming to get the help needed.

Quickbooks Advanced is an all-in-one accounting solution that is cloud-based and solves many of the common accounting issues while also allowing you to integrate it with POS systems, eCommerce stores, etc. It's great for a smaller office environment as being cloud-based, it solves many IT issues, such as the configuration of a server. The reporting is good enough for most needs. It lacks features such as built-in shipping, which QB Desktop used to have.

It helps keeping them all on track, we can do or we can control how their internal bookkeper does all the online bookeeping. It also links directly to our accounts software TaxCalc.
