PowerDMS is used by UCF Student Health Services as it is an accredited entity with AAAHC (PDMS supports). ALL SHS policies/procedures are managed in PDMS as well as the majority of employee training. SHS uses PDMS to manage the assessment for AAAHC's review. The last review was in October 2021.
Pros
Creating and managing department required training (HIPAA, OSHA, etc).

Provides easy access to all documents (including policies, reporting forms, training reports, etc).
Cons
When running a report for a course/test, there is not an option for selecting only those persons who have not started the course. It can filter for those who have completed (whether passed or failed) and those who are pending completion, but, I have not found a way to filter those who were assigned the course/test yet haven't even attempted to start, let alone open, the request.
Likelihood to Recommend
I think it is most beneficial to companies who are at least 20 - 25 employees. Anything less than that it seems it would be a lot to pay to manage policy/training communication to such a small organization.
PowerDMS houses all of our policies, forms and training. Before PowerDMS we had policies on 3 different sites, now they are on one easy to search and use site. We would run into problems of policies not be updated in all spots, so now that they are in one location, updating is no longer messy and it removes room for error.

I would recommend PowerDMS for any company or group that is looking to organize things. Or if you have staff that need to be more involved, the workflow function is perfect!
PowerDMS is the document management system we utilize to house all of our Standard Operating Procedures, Policies, Training, Certifications, etc. The ability to edit documents in PowerDMS streamlines the process for housing documentation, as well as provides the ability to compare previous versions to currently updated copies. The ability to create a workflow, and allow permissions for certain users for various documents makes this software particularly unique and beneficial to the organization. PowerDMS is a fantastic software tool and I would recommend it to anyone.
Pros
I particularly like the function of being able to hyperlink documents within PowerDMS. For example, I can create a checklist for credentials and hyperlink the certificate or license to the checklist.
Our organization uses PowerDMS tagging to create "buckets" for various departments. The organization uses a list of about 20 tags and this makes finding documents very easy.
The ability to customize workflow is a crucial feature our organization uses in PowerDMS. I can set-up a workflow so that all users in the first stage must approve before going to the next stage, or allow everyone to view for approval at the same time. I also like that you can set an expiration date which makes it much less to keep up with when a policy or procedure needs to be reviewed. Whether that is annual, biannually, etc.

I think for those administrators who use PowerDMS often, it has to be very intuitive. However, I find that users who do not regularly use the system do not always utilize some of the efficient functionalities.

PowerDMS is well suited for mid to large organizations, especially those that may be geographically spread out. As a document management system, it not only operates as a cloud for housing information, but it streamlines processes for creating, updating, and sending documentation. It creates an archive of previous versions of documents and allows organizations to track training and certificates. Additionally, I find it particularly helpful that each document created has its own unique hyperlink which can be used for linking documents within the system.
PowerDMS is being used as our primary document management system. Within PowerDMS we are housing all training documentation, orders, past shift schedules, and anything and everything to do with our department policies. PowerDMS has helped us to address major document management and retention issues within the department and it has helped our Training Unit become more effective in our daily work. We are now able to pull records within seconds instead of needing hours at a time to review paper files. It has helped us streamline the training process by allowing us to offer courses online that once had to be reviewed in a classroom setting. Instead of being out of compliance we are now fully in compliance and that in itself makes the product worth every penny. This has also helped us to address other document management needs within the department. All of our files are kept in one place and it's helped us keep things much more organized.
Pros
PowerDMS makes collaborative policy writing easy. It allows you to have multiple sign-off options which help to ensure that users agree before a policy is fully approved. The notes section allows for changes to be suggested without multiple people accessing the document at a given time.
Training and Documentation Storage is wonderful inside PowerDMS. The folders feature allows you to sort material and different types of documentation as if you had a copyright in front of you. The different file type uploading option for documents makes it so we can also store videos.
Accreditation assessments are a breeze with PowerDMS. I love all of the features of the assessment. I am able to schedule task reminders to pop up for standards that are coming due. You can choose a file that you've already uploaded on PowerDMS as a proof and this feature is also very nice.
Cons
PowerDMS does not allow you the ability to reassign a document or policy to an individual without republishing an already signed off document. This makes remedial training very hard and cumbersome because everytime one individual needs to review a policy we have to republish it for the entire department.
Users cannot receive individual notifications for documents or policies. This is a big issue when it comes to our Personnel Orders which are stored within PowerDMS because people only receive a group notification. If the developers would create this it would make the product much more user-friendly.
As of right now, PowerDMS is a very functional, but basic software. The lack of customization, outside of website photos and material, is very problematic for end users. If users had a place to store and manage their own records it would be very helpful. As of right now, our training team is storing them under each user's file tab, but the users themselves do not have access. When we are in a situation where we need a person's entire file it makes it difficult to have to go through and print every certificate individually.

PowerDMS is a very good document management system. It is well suited for a company or organization looking to store departmental material such as training records or personnel records. It is not suitable to be used as a training tool for FTO's. There is no ability to customize the website to include add-ons such as FTO Training Software, social media add-ons, etc. If it was possible to add other elements to our page it would make the product even better.
PowerDMS is being used by the Vanderbilt University Police Department for policy review and accreditation. Employees are able to access PowerDMS and review updated or new policies and sign off on them they have read and understood. Our accreditation team uses PowerDMS to stay current with standards and maintaining proofs.

PowerDMS is best suited for members of management if they are needing to track completion of tasks for their employees. In our particular field, administration needs to make sure that an entire department of personnel are reviewing memorandums, SOPs, policies, and training bulletins in a timely manner.
PowerDMS was selected by our quality control team. As a leader in higher education, we were also looking for an application that would allow for efficiencies in the training of our Provider workflows. We have found this in PowerDMS and recommend the application!

It works well for training our providers on specific workflows. It could be improved upon by enhancing the initial options for submitting training requests by focusing more on supervisor driven type of requests vs. individual user requests. Currently we do not allow our users to submit training requests, this is all initiated by the supervisor.
We use PowerDMS for the on boarding of our employees which include training, credentialing and personnel files. PowerDMS houses our policies and procedures, courses, tests and certificates. We use the assessment tool and standards to show compliance for our accrediting body. Managers are able to review our policies and procedures electronically on an annual basis, make edits, send the edits through a work flow for approval and distribute it to staff by assigning the documents to staff.
Pros
PowerDMS has an agreement with our accrediting body which allows us to attach our documentation to an assessment to show compliance within PowerDMS. When we are surveyed, the surveyor is given temporary access to the software. This is more efficient by allowing them to start reviewing our documentation before their onsite visit.
Training of our staff is conducted in PowerDMS. Instead of blocking schedules to conduct training, staff are able to log into PowerDMS to complete all of the required training when they are free.
Review of policies are quick and easy. You can schedule a review to be conducted on an annual basis. PowerDMS automatically places the review in the appropriate parties' inboxes.
Cons
Certificates need be revised so that they can be assigned to new employees as well as award an employee a certificate at a later date to start their annual cycle for training. We like to conduct the training at a time during the year when our department is slower. If an employee is hired at a busy time of the year and are awarded a certificate during their on boarding, the way certificates work right now, they will have to renew their certificate one year after their hire date which may be during a busy time of the year.
Subfolders are needed for groups and document types.
Certificates do not allow pdf files to be uploaded. It is an added step for us to scan a document and then change it from a pdf file to a jpeg file.
Likelihood to Recommend
Well suited for a large organization that has a lot of policies and procedures. It probably wouldn't be as beneficial to a small company with a handful of policies.
