About a year ago, I was made the Accreditation Manager for my division (Corrections/County Sheriff's Office). I cannot imagine trying to do my job without PowerDMS by NEOGOV. I deal with policies all day long, and I had an audit pretty early on in my tenure. PowerDMS by NEOGOV was invaluable before, during, and after the audit.

At our police department, we were struggling to manage forms and every officer had a different version of the form that they had saved or printed somewhere and there was no consistency. We also were using a printed policy and procedure manual which was not updated very often. The updates were printed and handed to each employee and we trusted them to remove the outdated policy and replace it, however not sure that got done. Now with the PowerDMS Solution, all employees (sworn and non-sworn), can easily search for any form, policy, contract, agreement, etc. and have full confidence they have the current version for increased consistency. We also use PowerDMS to document every employees training throughout the year and also through their career. Beyond that, we use PowerDMS to create courses, and assign certificates complete with tests and surveys on a variety of topics. I would highly recommend this product and am so glad that we found this company when we did. The onboarding process was very smooth and they held our hands as we developed "our" system. If you are on the fence, give this a try - you'll be glad that you did.

This software is very well suited for law enforcement agencies of all sizes from 5 to 5000 officers. There is a mobile app that allows officers to quickly and easily search while out in the field or on a call. They can quickly review a policy, locate a form, pull up a map and much more using either the mobile app or the desktop application.
We use PowerDMS to manage our departmental forms and policies and other reference documents used by the agency. Our Accreditation Team also uses the software to manage all aspects of our accreditation program compliance. All employees use PowerDMS to automate training requests and many other intra-departmental communications via the PowerDMS approval workflow feature.

Getting 100% signature compliance on policy updates used to take months but since automating out policy management updates in PowerDMS, we can get 100% compliance in as little as 2 weeks. Internal requests for things such as training, purchases, etc used to be pushed up the chain of command via a paper copy and would often get misplaced or lost in a full mailbox. Using PowerDMS to automate those requests put the power back in the requester's hands and increased transparency and accountability across the organization.
PowerDMS is used by UCF Student Health Services as it is an accredited entity with AAAHC (PDMS supports). ALL SHS policies/procedures are managed in PDMS as well as the majority of employee training. SHS uses PDMS to manage the assessment for AAAHC's review. The last review was in October 2021.

When running a report for a course/test, there is not an option for selecting only those persons who have not started the course. It can filter for those who have completed (whether passed or failed) and those who are pending completion, but, I have not found a way to filter those who were assigned the course/test yet haven't even attempted to start, let alone open, the request.

I think it is most beneficial to companies who are at least 20 - 25 employees. Anything less than that it seems it would be a lot to pay to manage policy/training communication to such a small organization.

Power DMS is excellent to use and house language. It is very easily navigated, and everything is housed together. I use Power DMS for all of our language, directives, maps, phone numbers, EPP, school maps, it is a great tool for officers on the street when they need to look up information.
We use PowerDMS as a repository for our fillable forms, policies, and reference documents. We create and manage distributed training. We track our training and accreditation program compliance. We also share information on our policies and access to forms with the public through our Public Facing Documents page.

Policy distribution, forms repository and internal distributed training are very user-friendly and effective. For our organization, PowerDMS has been a significant game-changer in how we manage our Accreditation program. Our Accreditation organization (PLEAC) is partnered with PowerDMS to provide our manuals and the framework for us to populate with our proofs. Because we are on PowerDMS the assessors can remotely review and comment on our files which saves time but was absolutely essential during COVID restrictions.
It is being used across the whole organization and [I feel] the biggest issue I have seen is that it can be a little confusing to use especially for new users. For instance just to upload a document there a bunch of steps I have to go through. I am not sure if that is the company that set it up that way or if it is just the way it is.

I do like that it sends me emails when I need to view a new document or course.
It makes it easier to get certain documents to be seen by multiple people at one time.
The fact that they have site specific keys is nice since I don't have to worry about any other companies stuff.

They do not require people to use an email address so unless everyone is keeping an eye on things then not everyone knows they have stuff to do.
There are times when a document is viewed and signed and it still shows that it hasn't been done yet.

To be honest the fact that I am able to see what documents employees have viewed and courses that have been done are nice but the notifications seem to glitch out once in a while. Meaning that after viewing a file and signing it would still say that I have a document to view but when I click into the tab there is nothing there.

PowerDMS is being used mainly by my organization as a whole to put out policies for all shifts be it night or day. They can then use this information to look up best practices. Another tool that we use is testing, You can create a test in PowerDMS that is due on a certain date and time. Then you can create a sheet that shows compliance by all employees. This helps keep everyone on the same page. Lastly, it allows me as an Accreditation Manager to comply with CALEA requirements and upload any file type to show my department holds itself to a higher standard.

For any agency that is looking for an easy solution to put out training to all shifts during Covid, this is the product for you. Easy automatic grading and lists of who has completed the training save time and money doing it in person. It has a counter that shows how many trees have been saved and I believe our small department has saved 11 trees of paper.
Our agency has used PowerDMS for about 8 years as Accreditation software, but we recently obtained the rights for the Training and Policy manuals. PowerDMS helps with accountability and accessibility.

I love that PowerDMS is very responsive to customer feedback. We have representatives from PowerDMS at all of our conferences and they will sit down with you to troubleshoot issues and take feedback for usability improvements.
The online training is wonderful. They have PowerDMS University, which has in-depth videos to teach users how to use the product.

The PowerDMS app is great, but it doesn't have Assessments available. I use PowerDMS mostly for Assessments, so it would be great for when I am away from my desk.
Documents uploaded to PowerDMS aren't searchable by using CTRL + F. The mobile app will allow you to search the document, though.
In Assessments, it would be useful to be able to select multiple items to delete or move. If I wanted to delete or move more than one attachment, I have to do each one individually. It would be nice to be able to use CTRL or SHIFT to be able to select multiple items.
Highlights (in Assessments) should be more of a "highlighter" selector, instead of a rectangle. It is nice to be able to select certain sentences or words in a paragraph instead of having to "highlight" a large rectangle of text.
In Assessments, Proofs of Compliance should have a boxes available to attach documents. (Like the Bullets and Required References currently have boxes to link items.)
In Assessments, it would be nice to add a page to an uploaded file. If I had my proof uploaded for Year 1, I would like to be able to add the Year 2 proof to the existing file. Currently, I bind the files in Adobe, upload the new file, and delete the old file.

PowerDMS is required by our accrediting body, so it is well suited for any agency being accredited by the CFA. If would be less appropriate for an agency that is accredited by a body that requires another software.
